Managing Profile e-Certificates

Promotional e-Certificates are available in OPERA Cloud when integrated with the Oracle Hospitality OPERA Customer Loyalty Tracking Cloud Service. Promotional e-Certificates offer a promotional rate when loyalty members redeem them.

For each certificate listed, the following details are available:

  1. Certificate No: Number assigned to the e-Certificate.

  2. Cert Code: e-Certificate Code.

  3. Status: Status of the e-Certificate.

    1. Cancelled: Reservation Cancellation Date is less than or equal to the Reservation Arrival Date and the E-Certificate has never been consumed.

    2. Consumed: e-Certificate Consumption Date equals the Reservation Arrival Date and the Consume button has been selected.

    3. Deleted: e-Certificate has been deleted.

    4. Expired: Expiry Date set for the e-Certificate has been reached or passed.

    5. Issued : e-Certificate has been issued.

    6. Reserved: e-Certificate consumption date equals the reservation arrival date.

  4. Expiry Date: Date the e-Certificate expires.

  5. Consumed: Indicates the location where consumed.

  6. Label: Label for the e-Certificate.

  7. Membership Type: The Membership type to which the e-Certificate is linked.

  8. Promotion Code: The Promotion code to which the e-Certificate is attached

  9. Click [+] to view certificate details.

    1. First/Middle Name: First and Middle name of the guest using the e-Certificate.

    2. Last Name: Last name of the guest using the e-Certificate.

    3. Email: Email address for the guest.

    4. Reference No:  Reference Number.

    5. Location Type: Indicates the location where e-Certificate can be used

    6. Value: The value of the e-Certificate to the guest

    7. Cost: The cost in membership points to consume the e-Certificate.

    8. Issue Type: Issue Type of the E-Certificate. This is either "Assigned," "Opt-In," or "Purchased."

    9. Date: Date the E-Certificate was or will be, consumed.

    10. Property Consumed: Property where the E-Certificate was consumed.

    11. Award Code:The associate Award

    12. Extend Allowed:Indicates if date extension is allowed

    13. Reservation E-Cert: Checked if the E-Certificate can be consumed against reservations.

    14. Verify: Checked if the E-Certificate had to be verified.

    15. PMS Consumed: Checked if the e-Certificate can be consumed in PMS.

    16. Web Consumed: Checked is e-Certificate consumption allowable on the web.

    17. Cancel Allowed: Checked if the e-Certificate can be canceled.

    18. Gen. in Lieu: Checked if the e-Certificate was generated in lieu of a canceled e-Certificate.

    19. Short Description: Short description for the E-Certificate.

    20. Long Description: Long description for the E-Certificate.

Issuing e-Certificates

  1. From the OPERA Cloud menu, select Client Relations, select Profile, and select Manage Profile.

  2. Enter search criteria and click Search.

  3. Select the profile from your search results, click the I Want To . . . action, and select e-Certificate or open the profile and click the E-Certificate link in Profile Presentation.

  4. Click the vertical ellipsis and select Issue.

    1. Certificate Code: Select a certificate from the list.

    2. Issue Type: Select how the certificate was issued from the list.

      1. Assigned

      2. Opt In

      3. Purchased

    3. Click Save.

Consuming e-Certificates

Select to manually consume the e-Certificate and mark it as used. Once consumed, the guest cannot use it again.

  1. From the OPERA Cloud menu, select Client Relations, select Profile, and select Manage Profile.

  2. Enter search criteria and click Search.

  3. Select the profile from your search results, click the I Want To . . . action, and select e-Certificate or open the profile and click the E-Certificate link in Profile Presentation.

  4. Enter search criteria and click Search.

  5. Select the e-Certificate, click the vertical ellipsis, and select Consume.

    1. Property: Enter or select a property from the list.

    2. Location Type: Select the location where the e-Certificate can be consumed from the list.

    3. Reference Number: Enter check number for the supply or service the e-Certificate was consumed against.

    Note:

     Enter any notes you want to attach to the e-Certificate. As soon as an e-Certificate is consumed, this note will be converted into a trace.

  6. Click Save.

Extending e-Certificates

To extend the expiration date of the e-Certificates

  1. From the OPERA Cloud menu, select Client Relations, select Profile, select Manage Profile.

  2. Enter search criteria and click Search.

  3. Select the profile from your search results, click the I Want To . . . action, and select e-Certificate or open the profile and click the E-Certificate link in Profile Presentation.

  4. Enter search criteria and click Search.

  5. Select the e-Certificate, click the vertical ellipsis, and select Extend.

    1. New Expiry Date: Enter or select an expiry date.

  6. Click OK.

Printing e-Certificates

To print a hard copy of the e-Certificate to give to the guest

  1. From the OPERA Cloud menu, select Client Relations, select Profile, select Manage Profile.

  2. Enter search criteria and click Search.

  3. Select the profile from your search results, click the I Want To . . . action, and select e-Certificate or open the profile and click the E-Certificate link in Profile Presentation.

  4. Enter search criteria and click Search

  5. Select the e-Certificate, click the vertical ellipsis, and select Print.

  6. Select the E-Certificate Voucher Issued report.

  7. Select a report destination and click Generate.

Deleting e-Certificates

To delete an e-Certificate that has been issued to the profile

  1. From the OPERA Cloud menu, select Client Relations, select Profile, select Manage Profile.

  2. Enter search criteria, click Search.

  3. Select the profile from your search results, click the I Want To . . . action, and select e-Certificate or open the profile and click the E-Certificate link in Profile Presentation.

  4. Enter search criteria and click Search.

  5. Select the e-Certificate, click the vertical ellipsis, and select Delete.

  6. Click Delete to confirm.
