Global Alert (Rule) Definitions

When the Track It OPERA Control is active, you can setup global alerts to print an alert chit to a designated printer in Housekeeping or at Bell Desk or Valet based on the Track It Groups, when a Track It ticket is linked to a reservation. For more information, see Configuring Track It

Global alerts are rule-based alerts for reservations that generate when a reservation meets the conditions set up, based on attributes from either the reservation or the primary linked profile. Global alert rules eliminate the need for users to manually add alerts to reservations for commonly required use-cases.

You can set up global alerts to trigger in any of the following areas (events): Edit Reservation, Check In, Edit In House or Check Out. For Check In and Check Out areas there is a Stop Check-In or Stop Check-Out option available to stop the check-in or check-out process if the condition is true. For example, an alert condition setup for "If VisaNumber is empty then Stop the Check in." , forcing a user to populate the VisaNumber field to proceed with the check in.

You set up alert notifications to appear on-screen or to print directly to an email-addressable printer (or both). When configuring a printed alert, a customizable alert template is selected that defines the layout of the alert to be printed. For more information, see Stationery Report Groups.

Each global alert rule consists of the following:
  • WHO: Reservation & Profile Filter Condition

  • WHAT: Alert Message

  • WHEN: Trigger event – Reservation Edit, Check in, In house or Check out

  • WHERE: Notification type – Screen or Printer

For example, you could configure a rule to display a message regarding long-term parking on-screen at check in when the Nights field is greater than or equal to 7. Or, you might configure a rule to print an alert to the printer in room service instructing staff to deliver a fruit basket at check-in when the Specials field contains the code for a fruit basket.

You must set up at least one condition under which the global alert appears. The condition consists of an Attribute and an Operator that you select. You can edit, delete, or add multiple conditions.
