Managing Linked Reservations

Linked reservations are a way to identify associated reservations staying at your property. For example, linked reservations could be used if a guest makes reservations for a family celebration or a group of friends traveling on holiday together. Initially, a single multi-room reservation can be created, which is later split into individual reservations, then linked to different guest profiles. The resulting reservations are identical to the original reservation and linked together. When the Unique Confirmation Number for Linked Reservation OPERA Control is active split reservations are assigned a unique confirmation number.

Note:

When searching for linked reservations using the Linked Reservations filter option, only linked reservations are displayed in the search result, The results are grouped by Linked Reservations and sorted by Property, First Arrival Date, and Name. Groupings of Linked Reservations are displayed by shades of gray in the Linked column.
The following details are copied from the original multi-room reservation to the split reservations:
  • Stay Details

  • Payment methods (prompt to copy credit card information)

  • Sell separate packages

  • Inventory items

  • Specials

  • Preferences

  • Reservation Membership

  • Traces

  • Linked Profiles

  • Reservation Notes

  • Deposit / Cancellation Policy

You can also link existing reservations together to identify an association between them.

Splitting a Multi-Room Reservation

Note:

  • Automatically Generated Item Inventory Traces: When you select inventory items in a reservation through Item Inventory or when you select a package setup with inventory items, OPERA Cloud checks availability of the items for the reservation dates. A message, "Insufficient quantity for some item(s). Please check Traces” appears if there is insufficient inventory for the selected dates. A system generated trace is created for each day of the reservation when inventory is insufficient. (The department associated with the trace is the department assigned to the inventory item in Item configuration). The trace message reads: "Insufficient quantity available for item <item code>".

  • Traces on Multi-Room Reservations: When a multi-room reservation has a trace and the reservation is split into individual reservations, the trace is copied from the original reservation to each of the reservations created. If the trace setup on the original reservation had been resolved prior to the split, the trace will remain unresolved on each of the reservations created to ensure that the required action has been taken for each individual reservation/room.

  1. From the OPERA Cloud menu, select Bookings, select Reservations and then select Manage Reservation.

  2. Enter search criteria, click Search.

  3. Select the reservation in the search result, click I Want to. . ., click Split Reservations.

    1. Split Options:
      1. Split 1 Reservation: Select to split 1 reservation from the multi-room reservation.

      2. Split All Reservations: Select to split all reservations from the multi-room reservation.

    2. Copy Options:
      1. Copy Credit Card Payment Methods: Select to copy the Credit Card payment methods existing for Billing Windows 1-to all split reservations.

      2. Copy Other Payment Methods: Select to copy other (non-credit card) methods existing for Billing Windows 1-to all split reservations. For more information, see Copy Credit Card Payment Method.

  4. Click Split Reservations.

  5. Click the Additional Reservations tab in Reservation Presentation to view the split linked reservations.

    1. Click the confirmation number to open and update a reservation. For more information, see  Editing a Reservation.

Note:

When the Mandatory Method of Payment OPERA Control is active and you select not to copy the payment methods, you are required to manually enter the payment details before splitting the reservations.

Split reservations are linked to the original guest profile, to link a different guest profile, for more information, see  Managing Reservation Linked Profiles.

Linking Existing Reservations

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.

  2. Enter search criteria, click Search.

  3. Select the reservation in the search result, click I Want to. . . then click Link to a Reservation.

  4. Enter search criteria, click Search.

  5. Select the reservation to link to and click Select.

Linking a New Reservation

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.

  2. Enter search criteria, click Search.

  3. Select the reservation in the search result, click I Want to. . ., then click Link to a Reservation.

Unlinking Reservations

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.

  2. Enter search criteria, click Search.

  3. Select the reservation in the search result, click I Want to. . . then click Link Reservation or click theLink Reservation link in Reservation Presentation.

  4. Select the reservation, click the vertical ellipsis and select Unlink.

Note:

You can also unlink reservations in the reservation presentation; select the Additional Reservations tab, select the reservation and click the vertical ellipsis, and select Unlink.
