Creating a Sales Account Profile

Sales Account Profiles are companies, travel agents, and (booking) sources. When profile sharing is active in multi-property operations, profiles are shared across all properties, ensuring details, such as negotiated rates, notes, and attachments are available at all properties.

When the Profile Name Validations OPERA Control is active, a check is performed to ensure the correct profile type was selected for the name entered; for example Oracle must be created as a Company profile. For more information, see Configuring Profile Name Validations.

Revenue production is tracked against the various profiles linked to a reservation (either guest, or group, and event billing masters).

Note:

The Primary Details panel is customizable; the fields available for update will vary. If the profile name is greater than 40 characters, use the Name2 and Name3 fields for the additional name details. Activate the Extended Account Name Search OPERA Control to include Name2 and Name3 in a profile search.
  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and then select Manage Profiles.

  2. Click the I Want To . . . action and select Company Profile, Travel Agent Profile, or Source Profile.

  3. Complete the Primary Details panel.

    1. Name1: Enter the Company, Travel Agent, Source name. (maximum of 40 characters).

    2. Name2: Enter second line of account name. (maximum of 40 characters).

    3. Name3: Enter third line of account name. (maximum of 40 characters).

    4. Alternate Name: Click to enter an alternate name (non-western characters) for the Sales Account (available when the Multi-language OPERA Control is active). You can search for the profile using the name entered and output this name on stationery.

      1. Alternate Name: Enter the name of the Sales Account in the national character set

      2. Alternate Language: Select a language from the list

      3. Click Save.

    5. Language:Select a language from the list; when the Multi-language OPERA Control is active stationery such as contracts and invoices are generated in this language.

    6. Corp ID / IATA Number: Enter a Corporate ID / IATA Number. IATA number is validated when the IATA Validation OPERA Control is active. When the Allow Duplicate IDs OPERA Control is active, multiple profiles with the same CORD ID or IATA Number are permitted. You can search for Sales Account profiles using this identifier. 

    7. Industry: Select an industry code from the list. See Configuring Industry Codes.

    8. Owner: Select a sales owner the Sales Account (available when the Owner OPERA Control is active).

    9. Active: Uncheck this check box to inactive this Sales Account; inactive profiles are excluded from searches by default. This field is available, only when editing a profile.

      1. Inactive Reason: Select a reason from the list. For more information, see Configuring Inactive Reasons.

    10. Protected: Select this check box to activate profile protection (Available when the Profile Protection OPERA Control is set to By Profile).

    11. (Activity) Trace Code: Select an Activity trace code from the list to specify standard sales activities to be created for this sales account. (Available when the Auto Traces OPERA Control is active). For more information, see About Sales Activities Auto Traces.

    12. Tax Type: Select a tax type from the list to identify any specific tax handling. (Available when the Tax Types OPERA Control is active and the Tax Type Calculation OPERA Control is set to Profile). For more information, see Configuring Tax Types.

    13. Credit Rating: Select a credit rating from the list. For more information, see About Sales Account Credit Ratings.

    14. Restricted: Select this checkbox to indicate the Sales Account profile is restricted. Restricted profiles are indicated in profile search and presentation pages.

      1. Reason: Select a restricted reason from the list.

    15. AR Number Central: Enter the AR Number used centrally for this sales account.

    16. Business Registration Code: Enter the business registration code of this sales account.

    17. Business Segments: select the business segment(s) to indicate the type of business brought by this account. For more information, see Managing Sales Information.

    18. CRS ID: Enter the identification number for the central reservation system.

    19. IATA Consortia: Select the consortia agency for this travel agent profile.

    20. Keep History: Select this check box to exclude this profile from the profile purge.

    21. Tax Category: Select the tax category for this sales account. For more information, see Configuring Tax Category Codes.

    22. Tax Office: Select the tax office for this sales account. For more information, see Configuring Tax Office Codes.

    23. Tax ID 1: Enter Tax ID for the sales account according to local requirements.

    24. Tax ID 2: Enter Tax ID for the sales account according to local requirements.

    25. Tax Percent 1: Enter the percentage of exemption from the Collecting Agent Taxes for the Tax Type associated with the profile according to local requirements

    26. Tax Percent 2: Enter the percentage of exemption from the Collecting Agent Taxes for the Tax Type associated with the profile according to local requirements

    27. Tax Percent 3: Enter the percentage of exemption from the Collecting Agent Taxes for the Tax Type associated with the profile according to local requirements

    28. Tax Percent 4: Enter the percentage of exemption from the Collecting Agent Taxes for the Tax Type associated with the profile according to local requirements

    29. Tax Percent 5: Enter the percentage of exemption from the Collecting Agent Taxes for the Tax Type associated with the profile according to local requirements

    30. Territory: Enter or select the territory where this Sales Account is located. For more information, see Configuring Territories.

    31. VIP: Select a value from the list if the sales account is considered a VIP. (Available when the VIP OPERA Control is active).
    32. Company Type: Select a value from the list to define the type of guest for specific fiscal tax handling. Configuring Fiscal Guest Types.

  4. Phone, Email Section

    Note:

    Phone type is mandatory based on the Non Guest Phone Type OPERA Control.
    1. Add Phone and Email contact details.

    2. Click Add Rows to add additional rows.

    3. Select Primary for the primary email and phone contact details.

  5. Address

    1. Add Address details.

    2. Click New to add additional address details.

  6. Click Save to save and close or Save and Add More Details to save and open the Profile Presentation page. Click Save and Create Linked Profile to create and link a Contact Profile to the sales account.
