Using Post Stay Charging and Open Folio Status

Prerequisites for Checking Out with an Open Folio

Departing guests may want to checkout from their room, but remain on your property to enjoy facilities such as the restaurant or bar. In such cases, you can check out the reservation account with Post Stay Charging privileges, allowing the reservation account to remain open with a balance due until the end of the business date. You can restrict Post Stay Charging privileges to reservations with specific payment types based on the Reservation Payment Types OPERA Control.

When the Open Folio OPERA Control is also active, a reservation can be checked out with an open folio status; resulting in the room status being updated to vacant and the reservation account being checked out with an open (outstanding) balance.  The Open Folio status allows guests to continue charging to their reservation account until they make final settlement and close the folio.  When the Auto Open Folio During EOD OPERA Control is active, checked out reservations with the Post Stay Charges privileges check box selected in reservation payment instructions and a reservation account balance due for settlement, are automatically converted to Open Folio status during end of day. It is important to monitor reservation accounts with an Open Folio status and ensure they are settled to zero balance; reservation accounts with Open Folios status will not halt end of day processing even if the reservation account has an outstanding balance. The Open Folio Closing Preferences OPERA Control determines the number of days after departure a reservation account can remain in Open Folio status. The Zero Balance Open Folio Close Days OPERA Control determines when reservation accounts with a zero balance in Open Folio status are automatically closed. Reservation accounts in Open Folio status are listed on the Guest Ledger report.

Note:

When manually posting a rate code with packages to an Open Folio reservation account, the entire rate amount is posted to the transaction code of the rate code. The rate amount is not split into room and package charge amounts. The reason being that the Open Folio reservations are already checked out and do not go through End of Day process as normal in-house reservations. Consequently no allowance creation or profit/loss charge postings occur.

  1. From the OPERA Cloud menu, select Front Desk, and then select Departures.

  2. Enter search criteria and click Search.

  3. Select the reservation from the search results and then click the Check Out button. Or click I Want To..., and select Check Out.

Check out Reservations to Open Folio Status

To check out a reservation with the Post Stay Charges check box selected in reservation payment instructions and update the reservation account to open folio status (Available when the Open Folio OPERA Control is active).

  1. From the OPERA Cloud menu, select Front Desk, and then select Departures.

  2. Enter search criteria and click Search.

  3. Select the reservation from the search results and then click the Check Out button. Or click I Want To..., and select Check Out.

    1. From Folio Settlement, click Checkout with Open Folio.

Closing Reservation Accounts in Open Folio Status

  1. From the OPERA Cloud menu, select Front Desk, and then select Departures.

  2. Enter search criteria and click Search.

  3. Select the reservation from the search results, then click the I Want To... . and select Close Folio.
