Creating Reservation Using the Rooming List

Prior to processing a rooming list, ensure the block allocation has sufficient rooms available and that the room status of the block  allows for pickup; click View Room/Rate Grid to view the available rooms in the block.

The PM reservation created for the block is used as a template; the reservations entered will inherit attributes from the PM reservation. You can create multiple PM reservations (templates) for a Block. See Creating Additional Posting Master Reservation. Use the Change Template action link to select a different PM/template reservation for the rooming list. See Changing Template.

When the Rate Code Mandatory for Block Pickup OPERA Control is active a rate code must selected for each reservation (value will default from the template reservation).

Click View Options to select the rooming list columns and their display order.

Use the search icon next to the Name field to search for an existing profile. Alternatively you can enter all rooming list details and search for existing profiles in a batch process; if no match is found for the Name entered, a new profile is created using the details provided in the rooming list row.

Entering Rooming List Reservations

Note:

To combine reservations into a share, reference the line number of the primary reservation in the Shares field of the reservation(s) you want to combine. Available when the Shares OPERA Control is active.
  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Enter search criteria and click Search.

  3. Select the block in the search result, click I Want To. . . and then click Rooming List.

  4. Enter the number of rows to add to the rooming list page and click Add Rows.

  5. Enter the profile and reservation details in each row - mandatory values:
    1. Name: Enter a guest name to create a new profile or click to search for an existing profile.

    2. Arrival Date: Enter or select the arrival date.

    3. Departure Date: Enter or select the departure date.

    4. Shares: Enter the line number of the first (primary) reservation in this field of the secondary reservations. Available when the Shares OPERA Control is active.

    5. Room Type: Enter or select the room type (from block allocation).

    6. Rate Code: Enter or select the rate code.

    7. Payment Method: Click Add Payment Information to enter payment details.

Importing Rooming List Reservations

When the Import Rooming List OPERA Control is active, you can use Excel to produce a .xls or .xlsx data file containing profile and reservation details for import as a Block rooming list. See Using Room List Import.

Note:

It is recommended to limit rooming list entry or import to a maximum of 1000 reservations per batch.
  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Enter search criteria and click Search.

  3. Select the block in the search result, click I Want To. . . and then click Rooming List.

  4. Click Import Rooming List.

    1. Select and upload the rooming list file, then map the fields to columns in the file. See Using the Rooming List Import.

    2. Click Add Reservations.

  5. Review and update reservations with any additional details. 

Validating Rooming List Reservations

Your OPERA Cloud session is not available while the rooming list validation processes; you can choose to launch OPERA Cloud in a new browser session by selecting Yes when prompted.

To validate all reservation details prior to processing the rooming list.

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Enter search criteria and click Search.

  3. Select the block in the search result, click I Want To. . . and then click Rooming List.

  4. Click Validate Rooming List.

  5. Review the Rooming List Validation Status result.

    1. Select Sort-by to change the sort order.

    2. Click Report to generate a report of the validation result.

Processing Rooming List Reservations

Your OPERA Cloud session is not available while the rooming list processes; you can choose to launch OPERA Cloud in a new browser session by selecting Yes when prompted.

A confirmation number is assigned to each reservation created.

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Enter search criteria and click Search.

  3. Select the block in the search result, click I Want To. . . and then click Rooming List.

  4. Click Submit to process or click Search for Existing Profiles and Submit to launch a batch process to search and select an existing profile for each reservation. See Searching for Existing Profiles in Batch.

  5. On the Shared Room Rate prompt select a Rate Share Type to specify the rate share method:

    1. Split: Splits the rate evenly between all sharing reservations.

    2. Entire: Applies the rate in full to one sharing reservations.

    3. Full: Applies the rate in full to each sharing reservations.

    4. Click Save to process.

  6. Select Yes on the confirmation prompt to launch OPERA Cloud in a new browser session; selecting No will require you to wait while the rooming list is processed.

  7. Reservation processing commences; the Status column indicates the result of each reservation processed

    1. A Success This image is a green tick markicon indicates successful processing of the reservation. Confirmation number is displayed for the successful reservation.

    2. A Failed This image is an X icon. icon indicates processing failed for the reservation

      1. Hover your mouse over the icon to display the details.

      2. When there is insufficient quantity of a room type allocated, a Borrow action is displayed to deduct a room from an alternate room type in the allocation or deduct a room from house inventory when the Block is setup as elastic. Available when the Elastic Block OPERA Control is active.

      3. To delete any failed reservation, select the reservation(s) then click Delete.

        1. Click Delete to confirm.

    3. Once corrections to reservations with errors is complete, select Submit to process.

Searching for Existing Profiles in Batch

Use the Searching for Existing Profiles and Submit action to launch a batch process where the profile details entered in the rooming list are used to search for possible profile matches based on:

  • Last Name

  • First Name

  • Communication (Email or Phone Number)

  • Membership Type

  • Membership Number

For each rooming list reservation / profile presented, choose from the following actions :

  • Skip Profile Search and Create Guest Profile: Skips the current reservation when no matching profile is found; a new profile is created according to the details entered in the rooming list.

  • Select: Select the profile selected in the search result for the reservation.

When profile matching for all rooming list reservations is complete, click Submit to confirm and complete the process.

Generating the Group Rooming List Report

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Enter search criteria and click Search.

  3. Select the block in the search result, click I Want To. . . and then click Rooming List.

  4. Click Generate Report.

    1. Update the report parameters.

    2. Select a report destination.

      1. Click Select Printer and select a printer from the list.

      2. Click Preview /Download: A PDF file is generated and displayed in a separate browser window.

        1. To Print the PDF, select the print icon or press [CNTRL] [P] to launch the print dialogue for your browser.

        2. To download the PDF to your workstation click the Download option in your browser.

      3. Click Download As.

        1. Select a file format from the list. File formats available are HTML, RTF, XML,

        2. Click Download.

      4. Click Email and then enter the email address or addresses of the recipient(s). You can enter separate email addresses for multiple recipients with a comma (,) or semi-colon (;).

        2. Click Email.

Attributes Inherited from Template

When new reservations are made via the Block Rooming List screen, the following attributes in the template posting master reservation (or the reservation that is currently selected as the template) and the group profile are carried over to new reservations and new profiles created via rooming list:
