Configuring Delivery Management

Use Delivery Management to configure email delivery of OPERA Cloud reports and stationery.  In multi-property operations you can configure delivery management for all properties assigned to a hub from a hub location. See Changing Your Location in Central or multi-property Operations.

For each delivery method you can choose to use the Oracle Cloud Infrastructure SMTP (Simple Mail Transfer Protocol) Email Delivery service or an alternate, external SMTP server. For more information, see Configuring SMTP Connections

  • If using Oracle Cloud Infrastructure SMTP to deliver emails on your behalf, you will also need to setup an SPF record for spf_3a.oracleindustry.com, to ensure emails are not treated as spam by the recipient.

  • If using an external SMTP server, you will need to setup an Outbound Domain Allowlist entry for the SMTP server Hostname and Port. For more information, see Configuring Outbound Domain Allow Listings.

When the Text Message Handling OPERA Control is active you can also setup communication with an SMS service provider for the delivery of queue rush room text messages to staff mobiles, as well as queue room-ready, reservation confirmations and guest messages to guest mobiles. Communication with SMS service provider can be either through email or HTTP POST.

The following configuration options are available.

Note:

The default Oracle Cloud Infrastructure Email Delivery service will be used when no Email Server Code is selected; the "From Address" used is noreply-hgbu-opera-dev@ocs.oraclecloud.com.

Configuring Report Delivery

Editing Report Delivery by Email

  1. From the Administration menu, select Interfaces, and then select Delivery Management.

  2. Location. 

    1. Hub: Select to configure for all properties assigned to the hub.

    2. Property: Select to configure for a specific property.

      1. Property: Select a property from the list.

  3. Delivery Method

    1. Select General and click Search.

  4. Click Edit and enter the following details:

    1. Property: Enter or select the property.

    2. Activate Email Delivery: Select check box to activate email delivery functionality.

    3. From Email Address: Enter the sender email address. You can set a display name along with the email address, for example Bell Hotel <accounting@bell.com>. If you do so, enclose the email address in < and > .

    4. Email Server Code: Select an SMTP Code from the list. See Configuring SMTP Connections.

    5. Email Subject: Enter the subject that is to appear in the email message.

    6. Attach iCalendar: Select check box to include an iCalendar invite attachment when emailing confirmation letters. The iCalendar invite includes dates matching the reservation arrival and departure dates, as well as the property name as the location.

    7. Click Save.

Configuring Reservation Confirmation Delivery

Adding Reservation Confirmation Delivery by Email

  1. From the Administration menu, select Interfaces, and then select Delivery Management.

  2. Location. 

    1. Hub: Select to configure for all properties assigned to the hub.

    2. Property: Select to configure for a specific property.

      1. Property: Select a property from the list.

  3. Delivery Method

    1. Select Confirmations, then click Search.

  4. Click New and complete the following:

    1. Property: Enter or select the property.

    2. Activate Email Delivery: Select check box to activate email delivery functionality.

    3. HTML Format Delivery: Select check box to generate email as embedded HTML. Leave unchecked to generate a PDF attachment.

      Note:

      For HTML delivery, all images (such as logos, room type images) must be available on a publicly accessible web-server / content management system for download by the email client.
    4. From Email Address: Enter the sender email address.  You can set a "display name" along with the email address, for example: Bell Hotel <accounting@bellhotel.com>. If you do so, enclose the email address in < and >.

    5. Email Server Code: Select an SMTP Code from the list. See Configuring SMTP Connections.

    6. Email Subject: Enter the subject that is to appear in the email message. You can use conditional blocks to dynamically generate a subject line

    7. Email Body: You can configure an email body when HTML Format Delivery is not enabled. The reservation confirmation is attached in PDF format. Y. Use the rich text editor to enter text and select merge codes to display reservation-specific values in the email body. Select the Merge Codes button to view and select from the list to insert merge code into the message body. For example, name and confirmation number merge code can be inserted. Select the Conditions button to insert condition blocks of text in the message. All merge codes will be inserted in the position where your cursor is placed.

      Note:

      Email body is limited to 2000 characters. 
    8. Click Save.

Editing Reservation Confirmation Delivery by SMS (Text Message)

Available when the Text Message Handling OPERA Control is active.

  1. From the Administration menu, select Interfaces, and then select Delivery Management.

  2. Location. 

    1. Hub: Select to configure for all properties assigned to the hub.

    2. Property: Select to configure for a specific property.

      1. Property: Select a property from the list.

  3. Delivery Method

    1. Select Confirmations, then click Search.

  4. In the Text Message Delivery Settings panel, click Edit and enter the following details:

    1. Delivery Method:

      1. URL (HTTP POST): Post to URL.

      2. Email: Send as email (email to sms).

    2. Partner/User ID: Enter the Partner ID or User ID for the delivery provider. This is the Text Messaging Provider name.

    3. Service Type/Server: Enter the service type or the FDQN of SMTP server.

    4. Service ID/Account: Enter the service ID or SMTP email server account.

    5. Password: Enter the SMTP email password.

    6. URL: Enter the URL address for the Text Messaging Provider.

    7. URL Parameter Format: Select Text or XML.

    8. Timeout in seconds: Enter the delivery timeout in seconds for the message. Any message exceeding this limit will be timed out.

    9. Message Format: For email to SMS enter or select the following from the list of values: <TO_MOBILE>@<URL_NAME>. The <URL_NAME> tag is the value from the URL field..

    10. Text Message: Use the rich text editor to enter text and select merge codes to display reservation-specific values in the message. Select the Merge Codes button to view and select from the list to insert merge code into the message body. For example, name and confirmation number merge code can be inserted. Select the Conditions button to insert condition blocks of text in the message.     11. Click Save.

  4. ClickEdit and enter the following details:

    1. Property: Enter or select the property.

    2. Activate Email Delivery: Select to activate email delivery functionality.

    3. From Email Address: Enter the sender email address.  You can set a "display name" along with the email address, . If you do so, enclose the email address in < and >.

    4. Email Server Code: Select an SMTP Code from the list. See Configuring SMTP Connections.

    5. Email Subject: Enter the subject that is to appear in the email message.

  5. Click Save.

Configuring Confirmation SMS (Text Message) Delivery

    2. Partner/User ID: Enter the Partner ID or User ID for the delivery provider. This is the Text Messaging Provider name.

      1. Property: Select a property from the list.

  3. Delivery Method

    1. Select Billing Folios and click Search.

  4. Click New  and complete the following:

    1. Property: Enter or select the property.

    2. Activate Email Delivery: Select check box to activate email delivery functionality.

    3. From Email Address: Enter the sender email address. You can set a "display name" along with the email address, . If you do so, enclose the email address in < and > .

    4. Email Server Code: Select an SMTP Code from the list. See Configuring SMTP Connections

    5. Email Body:  The folio is attached to email as PDF file; add email body text to display along with the attachment. Use the rich text editor to enter text and select merge codes to display reservation-specific values in the email body. Select the Merge Codes button to view and select from the list to insert merge code into the message body. For example, name and confirmation number merge code can be inserted. Select the Conditions button to insert condition blocks of text in the message. All merge codes will be inserted in the position where your cursor is placed.

      Note:

      E-mail body is limited to 2000 characters.

    1. Select AR and click Search.

  4. Click New  and complete the following details:

    1. Property: Enter or select the property.

    2. Activate Email Delivery: Select to activate email delivery functionality.

    3. From Email Address: Enter the sender email address.  You can set a "display name" along with the email address, . If you do so, enclose the email address in < and > .

    4. Email Server Code: Select an SMTP Code from the list. See Configuring SMTP Connections.

    5. Email Subject: Enter the subject that is to appear in the email message.

    6. Email Body: The folio is attached to email as PDF file; add email body text to display along with the attachment.   3. Delivery Method

    1. Select Other Folios and click Search.

  4. Click New  and complete the following details:

    1. Property: Enter or select the property.

    2. Activate Email Delivery: Select to activate email delivery functionality.

    3. From Email Address: Enter the sender email address.  You can set a "display name" along with the email address, . If you do so, enclose the email address in < and > .

    4. Email Server Code: Select an SMTP Code from the list. See Configuring SMTP Connections

    5. Email Subject: Enter the subject that is to appear in the email message.

    6. Email Body: The folio is attached to email as PDF file; add email body text to display along with the attachment. Use the rich text editor to enter text and select merge codes to display reservation-specific values in the email body. Select the Merge Codes button to view and select from the list to insert merge code into the message body. For example, name and confirmation number merge code can be inserted. Select the Conditions button to insert condition blocks of text in the message. All merge codes will be inserted in the position where your cursor is placed.

    7. Click Save.

Configuring Pay By Link Delivery by Email

Setup to generate emails for deposit request payments. (Available when the Pay By Link OPERA Control is active).

  1. From the Administration menu, select Interfaces, and then select Delivery Management.

  2. Location. 

    1. Hub: Select to configure for all properties assigned to the hub.

    2. Property: Select to configure for a specific property

      1. Property: Select a property from the list.

  3. Delivery Method

    1. Select Pay By Link  and click Search.

  4. Click New and complete the following details:

    1. Property: Enter or select the property.

    2. Activate Email Delivery: Select to activate email delivery functionality.

    3. From Email Address: Enter the sender email address. You can set a "display name" along with the email address, for example: Bell Hotel <noreply@bellhotel.com. If you do so, enclose the email address in < and > .

    4. Email Server Code: Select an SMTP Code from the list. For more information, see Configuring SMTP Connections

    5. Email Subject: Enter the subject that is to appear in the email message.

    6. Email Body: Use the rich text editor to enter text and select merge codes to display reservation-specific values in the email body. Select the Merge Codes button to view and select from the list to insert merge code into the message body. For example, name and confirmation number merge code can be inserted. Select the Conditions button to insert condition blocks of text in the message. All merge codes will be inserted in the position where your cursor is placed.

    7. Click Save.

Editing Delivery Method Configuration

  1. From the Administration menu, select Interfaces, and then select Delivery Management.

  2. Location. 

    1. Hub: Select to configure for all properties assigned to the hub.

    2. Property: Select to configure for a specific property.

      1. Property: Select a property from the list.

  3. Delivery Method

    1. Select a Delivery Method option , then click Search.

  4. Click Edit.

    1. Update the configuration.

    2. Click Save.

Deleting Delivery Method Configuration

  1. From the Administration menu, select Interfaces, and then select Delivery Management.

  2. Location. 

    1. Hub: Select to configure for all properties assigned to the hub.

    2. Property: Select to configure for a specific property.

      1. Property: Select a property from the list.

  3. Delivery Method

    1. Select a Delivery Method option , then click Search.

  4. Click the vertical ellipsis Actions menu and select Delete.

  5. Click Delete to confirm.
