Copying Events to Other Spaces

Premium badge You can copy one or more events to other function spaces within the same block and property. While copying, you can select whether to include notes, resources, and other event details in the event copy.

When present on the source event, the following fields are copied to the new events:
  • Event Name

  • Expected Attendees

  • Guaranteed Attendees

  • Actual Attendees

  • Event Start/End Date Time

  • Discount

  • Discount Price

  • Display Doorcard

  • Doorcard

  • Loud Event

  • Don't Move

The Select Space(s) section has options to filter spaces by floor, location, and Space Type. You can also select Show Only Available Spaces or only Spaces Selected. If the Source Status check box is selected, copied events are created with the source status unless the status is Return to Inventory or Actual, in which case events are created with the status selected in the Catering Status when Copying an Event OPERA Control. When you copy an event to a space that is not available, and the Events Waitlist OPERA Control is active, the processing screen displays a message indicating the event is waitlisted. Copying Events

  1. In the OPERA Cloud menu, select Bookings, select Events, and select Manage Events.

  2. Enter search criteria and click Search.

  3. Select the Event in search results, then click I Want To . . . and select Copy to Other Space(s).

  4. On the Copy to Other Space(s) screen, complete the following:

    1. Copy Options.

      1. Event Notes. Select the check box to copy all event notes.

      2. Include Change Notes. Select the check box to include change notes (note type = Change).

      3. Other Resources. Select the check box to copy resources (menus, menu items, and items). (Available when the Event Resources OPERA Control is active.)

        1. Resource Notes. Select the check box to copy resource notes.

        2. Resource Prices. Select the check box to copy resource pricing. If not selected, the price for the resources is taken from configuration, and the discount percentage is not copied.

      4. Forecast Figures. Select the check box to copy forecast figures.

      5. Source Status. Select the check box to copy source status. The source status is not used when the event is in a Return to Inventory or Actual status.

      6. Include Sub Events. Select the check box to copy sub events. (Available when the Sub Events OPERA Control is active.) See Converting Events to Sub Events.

    2. Select Space(s).

      1. Sort By. Click to select a display order from the list.

      2. Space. Select the space you want to copy the event to.

      3. Floor. Filters spaces based on their floor.

      4. Location. Filters spaces based on their location.

      5. Space Type. Filters spaces based on their configuration type.

      6. Show Available Spaces. When selected only spaces that are available display.

      7. Show Selected Spaces. When selected only spaces that have been selected in the space list are displayed.

    3. Click Copy Event.

If there are conflicts with items or with space availability, the Event Processing screen appears.

If the events are copied successfully, you are taken to the Manage Event screen for the Target Block, and a success message appears in green.

Note:

Rate Code and Setup Style are mandatory fields. If the function space has a rate code and a set-up style configured as default, then they automatically populate.
