About Sales Information

Prerequisites for Sales Information

Sales information can be entered in the Sales Information panel of Sales Accounts and Contacts (Available when the Contacts OPERA Control is active), and can be used in report filters. For more information, see Sales Information panel.

The following types of sales information are available:
  • Account Type —  The type of sales account.

  • Priorities — Business importance of the account or contact.

  • Business Potential — Importance of the account in drawing accommodations business.

  • Competition Codes — Your business competition for this account.

  • Influence Codes — For contacts only. The influence the contact has in the decision-making process.

  • Scopes — Broad geographical areas where the account or contact generates business.

  • Scope & Cities — Cities where the account or contact generates business.

  • Sources — Origin of the account (for example, media ad, website, and so on).

  • Territories — Sales territory to which the account or contact is assigned.

Configuring Sales Account Types

OPERA Cloud provides the ability to draw statistics about revenue, room nights, and so on. For example, you could learn if the business is from a local business or an international business from reports such as Account History and Forecast, Account Hierarchy, Profile Production Statistics, and Profile Productivity LOS Reports. To use this feature, the sales account profile types (Company, Agent, Source) must have an account type selected in the Sales Information panel.

Adding Sales Account Types

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Account Types.

  2. Click New and enter the following details:

    1. Code: Enter a code for the account type.

    2. Description: Enter a description for the account type.

      1. Manage Translation: Click link to configure localized descriptions. For more information, see Configuring Localized Code Descriptions. (Available when the Multi Language OPERA Control is active).

    3. Sequence: Set an optional sequence.

    4. Click Save to save and exit or click Save and Continue to save the account type and add another.

Editing Sales Account Types

  1. From the Administration menu, select Client Relations, selectProfile Management, and then select Account Types.

  2. Enter search criteria and click Search.

  3. Select the sales account type in the search result, then, click the vertical ellipsis Actions menu and select Edit.

    1. Update details.

    2. Inactive: Select the make the Account Type inactive.

    3. Click Save.

Deleting Sales Account Types

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Account Types.

  2. Enter search criteria and click Search.

  3. Select the sales account type in the search result, then click the vertical ellipsis Actions menu and select Delete.

  4. Click Delete to confirm.

Configuring Account Priorities

Use Sales Account Priorities to specify the priority of the sales account. For more information, see Managing Sales Information

Adding Sales Account Priorities

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Account Priorities.

  2. Click New and complete the following fields:
    1. Code: Enter a code for the priority (for example, H for High, L for Low, and so on).

    2. Description: Enter a description for the priority code.

      1. Manage Translation: Click link to configure localized descriptions. For more information, see Configuring Localized Code Descriptions. (Available when the Multi Language OPERA Control is active).

    3. Sequence: Enter a number that controls the position of this code in listings. Codes without a sequence number assigned are listed in alphabetical order following codes with a sequence assigned. 

    4. Click Save or click Save and Continue to save and add another.

Editing Sales Account Priorities

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Account Priorities.

  2. Enter search criteria and click Search.

  3. Select the account priority in the search result, then click the vertical ellipsis Actions menu and select Edit.

  4. Update the configuration.
  5. Inactive. Select to inactivate the current code. Inactive codes are not available for selection on a profile, but are available for selection in report filters.

  6. Click Save.

Deleting Sales Account Priorities

Note:

Only inactive codes that are not currently referenced in profiles can be deleted.

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Account Priorities.

  2. Enter search criteria and click Search.

  3. Select the account priority in the search result, then click the vertical ellipsisActions menu and select Delete.

  4. Click Delete to confirm.

Configuring Business Potential

Use the business potential to categorize a sales account's ability to produce revenue at your property. The business potential of a sales account is an estimate and can be changed throughout the life of the account profile.

Adding Business Potentials

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Business Potential.

  2. Click New and complete the following fields:
    1. Code. Enter a code for the potential.

    2. Description. Enter a description for the business potential code.

      1. Manage Translation: Click link to configure localized descriptions. For more information, see Configuring Localized Code Descriptions. (Available when the Multi Language OPERA Control is active).

    3. Sequence. Enter a number that controls the position of this code in listings. Codes without a sequence number assigned are listed in alphabetical order following codes with a sequence assigned. 

    4. Click Save to save and exit or click Save and Continue to save and add another.

Editing Business Potentials

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Business Potential.

  2. Enter search criteria and click Search.

  3. Select the business potential code in the search result, then click the vertical ellipsis Actions menu and select Edit

    1. Inactive. Select to inactivate the current code. Inactive codes are not available for selection on a profile, but are available for selection in report filters.

    2. Update the configuration.

    3. Click Save.

Deleting Business Potentials

Note:

Only inactive codes that are not currently referenced in profiles can be deleted.

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Business Potential.

  2. Enter search criteria and click Search.

  3. Select the business potential code in the search result, then click the vertical ellipsis Actions menu and select Delete.

  4. Click Delete to confirm.

Configuring Competition Codes

Use Competition Codes to identify other hospitality businesses that are competing with you for an account's business opportunities.

Adding Competition Codes

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Competition Codes.

  2. Click New and complete the following fields:
    1. Code. Enter a code for the competitor.

    2. Description. Enter a detailed description (name) of the competitor.

      1. Manage Translation: Click link to configure localized descriptions. For more information, see Configuring Localized Code Descriptions. (Available when the Multi Language OPERA Control is active).

    3. Sequence. Enter a number that controls the position of this code in listings. Codes without a sequence number assigned are listed in alphabetical order following codes with a sequence assigned. 

    4. Click Save to save and exit or click Save and Continue to save and add another.

Editing Competition Codes

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Competition Codes.

  2. Enter search criteria and click Search.

  3. Select the competition code in the search result, then click the vertical ellipsis Actions menu and select Edit.

    1. Inactive. Select to inactivate the current code. Inactive codes are not available for selection on a profile, but are available for selection in report filters.

    2. Update the configuration.

    3. Click Save.

Deleting Competition Codes

Note:

Only inactive codes that are not currently used in a profile can be deleted.

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Competition Codes.

  2. Enter search criteria and click Search.

  3. Select the competition code in the search result, then click the vertical ellipsis Actions menu and select Delete.

  4. Click Delete to confirm.

Configuring Influence Codes

Influence codes can be associated with contact profiles to indicate the impact a contact has on purchase decisions involving your property's offerings.

Adding Influence Codes

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Influence Codes.

  2. Click New and complete the following fields:
    1. Code. Enter a code for the level of influence.

    2. Description. Enter a detailed description of the influence code.

      1. Manage Translation: Click link to configure localized descriptions. For more information, see Configuring Localized Code Descriptions. (Available when the Multi Language OPERA Control is active).

    3. Sequence. Enter a number that controls the position of this code in listings. Codes without a sequence number assigned are listed in alphabetical order following codes with a sequence assigned. 

    4. Click Save to save and exit or click Save and Continue to save and add another.

Editing Influence Codes

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Influence Codes.

  2. Enter search criteria and click Search.

  3. Select the influence code in the search result, then click the vertical ellipsis Actions menu and select Edit.

    1. Inactive. Select to inactivate the current code. Inactive codes are not available for selection on a profile, but are available for selection in report filters.

    2. Update the configuration.

    3. Click Save.

Deleting Influence Codes

Only inactive codes that are not currently referenced in profiles can be deleted.

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Influence Codes.

  2. Enter search criteria and click Search.

  3. Select the influence code in the search result, then click the vertical ellipsis Actions menu and select Delete.

  4. Click Delete to confirm.

Configuring Sales Scopes

A sales scope indicates the region where a contact or account's business originates. Many accounts and contacts do not draw their business locally, but rather from another city, region, or even another country. Define scopes as regions or areas that are as specific or general as necessary.

Adding Sales Scopes

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Scope.

  2. Click New and complete the following fields:
    1. Code. Enter a code that briefly describes the scope.

    2. Description. Enter a description for the scope.

      1. Manage Translation: Click link to configure localized descriptions. For more information, see Configuring Localized Code Descriptions. (Available when the Multi Language OPERA Control is active).

    3. Sequence. Enter a number that controls the position of this code in listings. Codes without a sequence number assigned are listed in alphabetical order following codes with a sequence assigned. 

    4. Click Save to save and exit or click Save and Continue to save and add another.

Editing Sales Scopes

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Scope.

  2. Enter search criteria and click Search.

  3. Select the scope in the search result, then click the vertical ellipsis Actions menu and select Edit.

    1. Inactive: Select to inactivate the current code. Inactive codes are not available for selection on a profile, but are available for selection in report filters.

    2. Update the configuration.

    3. Click Save.

Deleting Sales Scopes

Configuring a Scope City

The sales scope city is the city where the contact or account's headquarters is located or the city where one of your properties is located that the contact or account frequently uses.

Adding Sales Scope Cities

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Scope City.

  2. Click New and complete the following fields:
    1. Code. Enter a code that briefly describes the scope city.

    2. Description. Enter a description for the scope city.

      1. Manage Translation: Click link to configure localized descriptions. For more information, see Configuring Localized Code Descriptions. (Available when the Multi Language OPERA Control is active).

    3. Sequence. Enter a number that controls the position of this code in listings. Codes without a sequence number assigned are listed in alphabetical order following codes with a sequence assigned. 

    4. Click Save to save and exit or click Save and Continue to save and add another.

Editing Sales Scope Cities

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Scope City.

  2. Enter search criteria and click Search.

  3. Select the scope city in the search result, then click the vertical ellipsis Actions menu and select Edit.

    1. Inactive. Select to mark the code inactive. Inactive market codes are not available for selection from market lists in OPERA Cloud. The code remains for historical, statistical purposes only.

    2. Update the configuration.

    3. Click Save.

Deleting Sales Scope Cities

Note:

Only inactive codes that are not currently referenced in profiles can be deleted.

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Scope City.

  2. Enter search criteria and click Search.

  3. Select the scope city in the search result, then click the vertical ellipsis Actions menu and select Delete.

  4. Click Delete to confirm.

Configuring Sources

A source indicates how you came to acquire a Sales Account.. For example, through an advertisement, a website, a referral, and so on.

Adding Sales Sources

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Sources.

  2. Click New and complete the following fields:
    1. Code. Enter a code for the sales source.

    2. Description. Enter a detailed description of the source.

      1. Manage Translation: Click link to configure localized descriptions. For more information, see Configuring Localized Code Descriptions. (Available when the Multi Language OPERA Control is active).

    3. Sequence. Enter a number that controls the position of this code in listings. Codes without a sequence number assigned are listed in alphabetical order following codes with a sequence assigned. 

    4. Click Save to save and exit or click Save and Continue to save this code and add another.

Editing Sales Sources

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Sources.

  2. Enter search criteria and click Search.

  3. Select the sales source in the search result, then click the vertical ellipsis Actions menu and select Edit.

    1. Inactive. Select to inactivate the current code. Inactive codes are not available for selection on a profile, but are available for selection in report filters.

    2. Update the configuration.

    3. Click Save.

Configuring Territories

Territories are the geographical sales areas where accounts and contacts are located and you can use them as filters in preparing sales reports.

Adding Sales Territories

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Territories.

  2. Click New and complete the following fields:
    1. Code. Enter a code that briefly describes the territory (for example, NA for North America, AU for Australia, and so on).

    2. Description. Enter a detailed description of the territory.

    3. Manage Translation: Click link to configure localized descriptions. For more information, see Configuring Localized Code Descriptions. (Available when the Multi Language OPERA Control is active).

    4. Sequence. Enter a number that controls the position of this code in listings. Codes without a sequence number assigned are listed in alphabetical order following codes with a sequence assigned. 

    5. Click Save to save and exit or click Save and Continue to save and add another.

Editing Sales Territories

  1. From the Administration menu, select Client Relations, select Profile Management, and then select Territories.

  2. Enter search criteria and click Search.

  3. Select the sales territory in the search result, then click the vertical ellipsis Actions menu and select Edit.

    1. Inactive. Select to inactivate the current code. Inactive codes are not available for selection on a profile, but are available for selection in report filters.

    2. Update the configuration.

    3. Click Save.
