About Master and Sub-Allocations

Prerequisites for Master and Sub-Allocations

Master and sub-allocation blocks provide more control over the number of rooms protected for wholesale reservations by holding all of the inventory on the master allocation and allowing for the sub-allocations to reserve and deduct from the master allocation. Master allocations display a summary of all rooms blocked on its sub-allocations as well as showing a summary of all the reservations picked up against each of the sub-allocations. 

A master allocation cannot have events, however, you can create events in each of the sub allocations. A mater allocation can have a block status configured as either non-deduct or deduct inventory. Although master-allocations can have a block status configured with the Open for Pickup check box selected, reservation pickup is not allowed for a master-allocation. To create reservations using inventory from the master-allocation, a sub- allocation must first be created.

For example: You decide to set aside 50 rooms a night for tour groups and create a master-allocation block for 50 rooms per night. When a tour company requests 20 rooms, you create a sub allocation and deduct 20 of the 50 rooms from the master allocation. When a second tour company requests 10 rooms, you create another sub allocation and deduct the 10 rooms from the master allocation. You can create additional sub-allocations until the master-allocation inventory is empty. 

Master / Sub Allocation Rules:

  • The Elastic check box on a master-allocation allows you to borrow room inventory from House availability.

  • The Elastic check box on a sub-allocation allows you to borrow room inventory from the master-allocation (sub-allocations cannot borrow inventory from each other).

  • If the master-allocation inventory status is set to Deduct set all sub allocations to Deduct.

  • If the master-allocation inventory status is set to Non Deduct set the sub allocations to either Non Deduct or Deduct.

  • You can apply sell limits to a master-allocation or sub-allocation. For a master-allocation, the sell limit indicates the maximum number of rooms that can be part of the Master Allocation.

    • For sub-allocations, the sell limit indicates the maximum number of reservations that can be made on the sub-allocation.

  • Shoulder dates on a sub-allocation must fall within the dates of the master-allocation.

    • Reservations picked for a sub-allocation can extend to the shoulder dates on the sub-allocation.

  • Wash schedules on sub-allocations return the rooms to the master-allocation. 

  • Wash schedules on master-allocations return the rooms to house availability.

Managing Master Allocations

Creating Master Allocation

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Click I Want To . . . and select (Create) Master Allocation.

  3. Complete the details. For more information, see Creating Blocks.

  4. Click Save and go to Presentation to view the Master Allocation. For more information, see Managing Blocks.

    1. Allocate rooms to the master allocation. For more information, see Managing Block Room and Rate Grid.

Editing Master Allocation

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Enter search criteria, click Search.
  3. Select the block in the search result by clicking the Block ID or Block Code.
  4. Click Edit.
    1. Update the details.
    2. Click Save or Save and Apply to Sub Allocations.

      Note:

      If you select Save and Apply to Sub Allocations a list of sub allocations displays for selections. Once the sub allocations are selected click Save. The changes made to the fields in the master allocation are saved to the selected sub allocations.

Tip:

Updates to the market, source, trace code, origin, type and payment fields apply to the sub allocations.

Managing Sub Allocations

Creating Sub Allocation

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.
  2. Enter search criteria for the master allocation, and then click Search.
  3. Select the master allocation in the search results, click I Want To . . . ,and select (Create) Master Allocation.

    2. Click Save and go to Presentation to view the Master Allocation. For more information, see Managing Blocks.
    3. Allocate rooms to the sub allocation. For more information, see Managing Block Room and Rate Grid.
  4. Click the Master/Subtab to view the Sub-Allocation.

Converting Blocks to Sub Allocations

Note:

Property leads, opportunities, cancelled blocks, past blocks, lost blocks cannot be converted to Sub Allocations.

  1. From the OPERA Cloud menu, select Bookings, select Blocks, and then select Manage Block.

  2. Enter search criteria, click Search.

  3. Click I Want To . . . and select Convert to Sub Allocations.
