Using the Reservation Sales Screen

Central badge. The Reservation Sales Screen is designed for call center operations, allowing you to search room and rate availability in one or more properties from a hub location using a variety of search criteria. You can customize the Reservation Sales Screen using Page Composer, see

The Reservation Sales Screen supports the following:

  • View global, hub and property sell messages. Click the chevron to expand/collapse the sell message panel. You can also click the Expand Sell Messages / Collapse Sell Messages toggle button. (Available when the Activate the Sell Message Functionality OPERA Control is active).

  • View sell messages (Available when the Activate the Sell Message Functionality OPERA Control is active).

  • Access the property brochure, in a separate browser tab, by clicking the Property Name. For more information, see Property Brochure.

  • Access the property website in a separate browser tab.

  • Record caller information.

  • Record ongoing reservation notes during the call.

  • Access the five most recent reservations and profiles.

  • Manage and create profiles.

  • Search for availability across multiple properties based on destination, amenities, property type or packages.

  • Create multi segment reservations with different rate codes for each segment using the trip composer.

  • Create itinerary reservations for multiple properties, room types and rate codes using the trip composer.

  • View property locations and nearby attractions on an interactive map.

  • View availability at alternate properties (Available when the Show Alternate Properties OPERA Control is active).

  • View availability sorted by rate code or room type.

  • View block availability when a property is selected. (Available when the Business Block OPERA Control is active).

  • View the rate amounts in a default currency, or convert to a foreign currency to give a quote in preferred currency.

    • When the Central Currency Code setting is selected, and Global Exchange Rates are configured for the type Posting, you can convert rates for all properties in the availability results to a single selected currency using global exchange rates.

    • When the Central Currency Code setting is blank, but the Ability to Quote Rates in Foreign Currencies OPERA Control is active for the property, you can convert rates for the selected property in the results with the property exchange rates.

  • View negotiated rates (Available when the Negotiated Rates OPERA Control is active) and profile discounts applied to the negotiated rates. (Available when the Profile Discounts and Show Profile Discounted Rates OPERA Controls are active).

  • View membership award rates. Available when the Award Points Redemption OPERA Control is active.

  • View promotion rates. Available when Promotions OPERA Control is active.

    • You can also view promotions for limited use when the Promotion Coupon Codes OPERA Control is active, and when you enter a valid Coupon Code in the search filter. 

  • View past stay history and future reservations for the selected profile.

  • View detailed rate code information.

    • View deposit requests and cancellation policies. For more information, see Booking Rules and Schedules.

    • View alternate stay dates for dates with no availability or restrictions (Applicable when the Restrictions OPERA Control is active).

  • View and add packages to reservations.

  • View and add items to reservations.

  • Create shared reservations (Available when the Sharers OPERA Control is active).

  • Record turnaways for unconfirmed reservations (Available when the Turnaway Functionality OPERA Control is active).

The default rate display set is as follows:
  • Default Display Set, plus NEGOTIATED (if Default Display Set OPERA Control is configured and a profile with negotiated rates is selected).

  • Default Display Set (if Default Display Set OPERA Control is configured and no profile with negotiated rates is selected).

  • NONE including NEGOTIATED (if Default Display Set OPERA Control is not configured and profile with negotiated rates is selected).

  • NONE (if Default Display Set OPERA Control is not configured and no profile with negotiated rates is selected).

  • PROMO only (if a Promotion code selected).

  • DAYUSE only (if zero Nights is entered).

Note:

The Display Set filter chip can be added to the smart search bar to update the current display set. When the Multiple Display Sets OPERA Control is active, you can view the rates included in the default displays sets with a display set name badge. You can also update and add additional display sets to show in the results through the multi-select Display Sets filter chip.

Using the Trip Composer

Note:

When Multiple Display Sets OPERA Control is active and up to three default display sets are configured in the OPERA Controls, you can view all rates included in the default display sets with the display set name badge.

You can also update and add additional display sets to show in the results via the multi-select Additional Display Sets filter chip.

Using Caller Information

  1. Click the caller information icon icon to add or view caller information. 
    1. First Name: Enter callers first name.

    2. Last Name: Enter callers last name.

    3. Phone: Enter callers contact phone number.

    4. Email: Enter callers contact email address.

Using the Trip Composer

The trip composer is used for multi-segment or multi-property itinerary reservations.

Note:

If the trip composer is in edit mode, the Book button remains disabled until the check mark is selected on the current reservation in the trip composer.
  1. Click the trip composer icon icon to add or view caller information. 

  2. In an availability search result, click the suitcase icon in any room type / rate code card to add selection to the trip composer. 

  3. Click Add Profile  to search and select an existing profile or create a new profile for the reservation.

  4. Click the pencil icon icon to update; select a different rate / room type displayed in the availability result then click tick to save changes. 

  5. Click the trashcan icon icon to remove a selection from the trip composer.

  6. Click Continue Booking to accept the reservation details in the trip composer and continue to the Reservation Booking Overview.

    Once confirmed, multiple property itinerary reservations are created as linked reservations. For more information, see Managing Linked Reservations.

Booking Reservations

Note:

Membership details are prompted or auto-populated to new reservations based on the membership handling setup for the membership type.

When the Populate Primary Profiles for Reservations and Relationships OPERA Controls are active, and you select a guest profile with primary relationships with other profile types, those profiles are added to the Linked Profiles tab and the reservation header.

When the Business Block OPERA Control is active for a property, you can create block reservations for blocks in a status configured as Open for Pickup.

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Reservation Sales Screen.

    Note:

    When Sell Message OPERA Control is active, you can select a HUB and Chain sell messages from the list or hover over the area to view all sell messages at once in a tool tip from the landing screen or the advanced search screen.

  2. Enter Caller Information to save with the reservation. You can view caller information anytime during the booking by clicking the Phone icon. For more information, see Managing Reservation Call History.

    1. First Name: Enter callers first name.

    2. Last Name: Enter callers last name.

    3. Phone: Enter callers contact phone number.

    4. Email: Enter callers contact email address.

  3. Click Create Reservation.
    1. Click to expand or hover on sell messages to view in a tool tip.

  4. Click Multi segment to create a multi segment reservation (enter dates per segment to search criteria).

    1. Click the + icon to add a segment.

    2. Click the Trashcan icon icon to delete a segment.

  5. Enter search criteria.

    1. Click the magnify glass icon in each profile field to search using additional search criteria.

      1. Click Create Profile to create a new profile.

      2. You can lookup and download a profile from an external system when the Profile Lookup OPERA Control is active. For more information, see Using Profile Lookup and Download with Integrated Solutions.

      3. Click the pencil icon to update the profile details.

    2. Guest: Enter guest name, email or membership details; select an existing profile from the list.

    3. Travel Agent: Enter travel agent name or IATA or other criteria; select an existing profile from the list.

    4. Company: Enter company name, Corp ID or other criteria; select an existing profile from the list.

    5. Source: Enter source name, Corp ID or other criteria; select an existing profile from the list.

    6. Property Search: Use one of the following search criteria:

      1. Destination: Enter a desired city or attraction.

      2. Amenities: Select property amenities from the list.

      3. Property Types: Select property types from the list.

      4. Packages: Select packages from the list.

      5. Property: Select properties from the list.

    7. Arrival: Enter or select the arrival date. Field is null when the Default Blank Arrival Date OPERA Control is active.

    8. Nights: Enter the number of nights; the departure date is updated.

    9. Departure: Enter or select the departure date.

    10. Rooms: Enter the number of rooms required; a multi-room reservation needs to be split into separate reservations prior to arrival. For more information, see Managing Linked Reservations.

    11. Adults: Enter the number of adults in the room.

    12. Children: Enter the number of children in the room.

      1. Age of Children: Enter children ages. (Available when the Child Rates By Defined Buckets OPERA Control is active).

    13. Additional Search Options. (Available when a Property is selected).

      1. Block: Select one or multiple blocks or click on magnifier icon to search for a block. (Available when the Business Block OPERA Control is active for the selected property).

      2. Preferences: Select room feature, smoking and special preference from the list. Multiple selection is treated as an "OR" search.

      3. Room Type: Select room types from the list.

      4. Room Number: Select an available room number from the list.

        1. Find Room: Click the magnifier icon to search and filter available room numbers.
      5. Rate Category: Select rate categories from the list; rate codes linked to the rate category are displayed in the result.

      6. Rate Codes: Select rate codes from the list.

      7. Promotion: Select a promotion from the list; rate codes linked to the promotion are displayed in the result. (Available when the Promotions Module OPERA Control is active).

      8. Coupon Code: Select a coupon code for the Promotion selected. (Available when the Promotion Coupon Codes OPERA Control is active).
    14. Accessible Room Types Only: Select check box to limit search to accessible room types only.

    15. Include Restricted: Select check box to include rates closed due to restrictions. (Available when the Restrictions OPERA Control is active). For more information, see Overriding a Closed Rate.

    16. Rate Awards: Select check box to only display award rates. (Available when the Award Points Redemption OPERA Control is active).

    17. Click Search.

  6. Availability Search Result

    1. The Block Availability tab displays the details for a selected block or multiple blocks.

      Note:

      If Block Sell Messages exist for this block, they are displayed in the block header. Hover in the block header area to open a tooltip to view this block’s sell messages and any property sell messages configured.

      Note:

      If you select a room type that is not allocated to a block, or there are no rooms available for the selected room type, and when the block Inventory Control is set to Elastic or Sell limits, you can borrow from another available room type or from house availability in the BorrowInventory drawer.

      Click sell messages to open the sell messages drawer to view tabs for Block, Property and Global sell messages.

      1. View Options

        1. Click Allocated button to displays all room types allocated to the block (Default).

        2. Click Available to view only the allocated room types available.

        3. Click All Room Types to view all room types.

    2. Availability tab

      1. Properties matching your search are listed. Alternate properties are listed when the Show Alternate Properties OPERA Control is active. Up to three rate codes are listed for each property; click Show Less / Show More in the property panel to display additional rate codes.

      2. Update the availability search / display criteria by selecting any of the search filter chips displayed and entering or selecting a value.

      3. The availability results display rates in default display sets configured for each property
        1. When Multiple Display Sets OPERA Control is On and multiple default display sets are configured, you can view all rates included in the default displays sets with the display set name badge.
        2. You can also update and add additional display sets to show in the results via the multi-select Additional Display Sets filter chip.

        3. You can hide default display sets by turning off the Show default display sets switch.

      4. View Options

        1. Click Detailed View button to display detailed list of properties.

        2. Click List View button to display summary list of properties.

        3. Click Map View button to display properties on an interactive map.

          Note:

          If property sell messages exist, hover on the sell message area in each view to open a tool tip which displays an expanded view of the sell message(s). Click sell messages to open the sell messages drawer to view tabs for Property and Global sell messages.
    3. Click Property Name to display the property brochure.

    4. Click Property Website link if configured to open the property website in a new window.
    5. Click Events link to view list of events for the stay dates.
      1. When the OPERA Control Advanced Property Calendar is enabled, and property events are created with advanced details, the event name displays as hyperlink and opens an additional drawer with comprehensive event details, including time, location, availability, web link, and detailed description and event image.
    6. Click Sell Messages to open the sell messages drawer.

    7. Currency: Select a currency from the list to display rates in selected currency. (Available when the Ability to Quote Rates in Foreign Currencies OPERA Control is active and a single property is selected).

    8. (Property) Sort by: Displays when there are multiple properties in the results. Defaults according to the Property Order OPERA Control. Select a property sort option from the list.

    9. Rate View when searching for multiple days: Select First Day , Average or Total from the list to change the price / amount displayed for each rate code and room type.

    10. Rate Code / Room Type Toggle

      1. Click Rate Code to display the availability result ordered by rate code.

      2. Click Room Type to display the availability result ordered by room type.

    11. Availability actions

      1. Hover a room type and rate code tile, to view a pop-up with additional important room type or rate details.

      2. Room and Rate Details: Click link to display room type and rate code information.

        1. Currency: Select a currency from the list to display rates in selected currency. (Available when the Ability to Quote Rates in Foreign Currencies OPERA Control is active).

        2. Click i for breakdown of charges per day.

      3. Policies: Click to display booking and cancellation policies.

      4. Alternate Dates: Click to display calendar with alternate dates and any rate restrictions per day. Hover your mouse to see multiple restrictions that apply for a single date.

        Note:

        When the Waitlist OPERA Control is active, you can add a reservation to Waitlist by clicking Add to Waitlist or Waitlist to Trip Composer. For more information, see t_managing_reservations_waitlist.htm.

        Tip:

        Use < > to scroll to the previous / next rate code or room type listed in the availability result.

      5. Click Book to book the room type and rate code. For more information, see Overriding a Closed Rate.

    12. Hover on an available room type and rate code card, then click > to book the room type and rate code.

    13. Hover on a restricted room type and rate code, then click X to open the alternate calendar to view all restrictions for those stay dates.

    14. Hover on a room type and rate code card, then click the Suitcase icon to add to the trip composer.

    15. Click Profile Details & Stays tab once you have added a guest profile to the search criteria to display profile and stay details for the selected profile. For more information, see Viewing Profile Future and Past Stays

  7. Reservation Booking Overview

    Note:

    For multi property itinerary reservations, select the tab for each reservation and complete the details.
    1. Click Find Profile to search and select a profile for this reservation if not already selected.

    2. Click Create Profile to create a new profile and attach it to the reservation.
    3. Click the Profile name link to update the profile details.

      1. Click the Refresh icon if any updates made in the profile screen need to be refreshed.
    4. Click the magnify glass icon icon to select another profile.
    5. Arrival: Displays the arrival date inputted from the search but can be updated.

    6. Nights: Displays the number of nights inputted from the search but can be updated.

    7. Departure: Displays the departure date inputted from the search but can be updated.

    8. Rooms: Displays the number of rooms inputted from the search but can be updated.

    9. Adults: Displays the number of adults inputted from the search but can be updated.

    10. Children: Displays the children inputted from the search but can be updated.

      1. Ages: Displays children ages by age bucket from the search but can be updated. (Available when theChild Rates By Defined Buckets OPERA Control is active).

    11. Block: Displays the block code from the search but can be updated.

    12. Rate : Displays the rate code and description inputted from the search but can be updated.

    13. Rate Amount: Displays the rate amount. Enter a different amount to override the default pricing and select the Fixed Rate check box to fix the Rate Amount to the amount entered. (Available when the Fixed Rates OPERA Control is active). Check box is selected by default when the Always Use Fixed Rates OPERA Control is active.

    14. Discount: Click the pencil icon icon to apply or edit discount.
      1. Select from Flat Amount or Percentage.
      2. Enter Discount Amount or Percentage.
      3. Select Discount Reason.
      4. Click Apply.
    15. Room Type: Displays the selected room type inputted from the search but can be updated.

    16. Room Type to Charge: Select the room type to charge for the reservation; this can be different to the room type allocated for the reservation and used in the event of a complimentary upgrade. (Available when the Room Type to Charge OPERA Control is active).

    17. Room Number: Displays the room number if inputted from the search and cannot be updated.
    18. Packages: Select any packages for the reservation.

    19. Items: Populated when packages with attached items are selected in Packages field or by clicking Add Packages button.

    20. Market: Enter or select the market code for the reservation; used for statistical purposes.

    21. Source: Enter or select the source code for the reservation; used for statistical purposes. 

    22. Channel/Origin: Select a booking origin from the list; used for statistical purposes. For more information, see Configuring Origin Codes.

    23. Reservation Type: Select a reservation type from the list to determine if the reservation deducts a room from inventory. For more information, see Reservation Types

    24. Arrival Time: Enter an arrival time.

    25. Departure Time: Enter a departure time.

      Note:

      When updating any of the availability impacting fields, if there are no availability results, a pop up will give you the option of discarding your changes or going back to availability search screen.
    26. Payment Information

      1. Payment Method: Select a payment method from the list.

        1. Click [+] to enter card number and expiration. For more information, seeManaging Reservation Payment Instructions.

      2. More Details
        1. Preferences: Select room feature, smoking and special preference from the list. For more information, see t_admin_client_relations_configuring_preference_codes.htm
        2. Purpose of Stay: Select the purpose of stay from the list. For more information, see Configuring Purpose of Stay.

        3. Custom Reference: A free text alphanumeric field.

        4. Promotion: Select an applicable promotion code.

        5. Coupon Code: Select an applicable coupon code.

      3. Icon tool bar
        1. Click the Pin icon to view Property and Global sell messages and Block sell messages if a Block has been selected.

        2. Click the Notes icon to manage reservation and profile notes. For more information, see Managing Reservation Notes and Managing Profile Notes.

        3. Click the Traces icon to manage reservation traces. For more information, see Managing Reservation Traces.

  8. Click Linked Profiles to manage the profiles linked to the reservation. For more information, see Managing Reservation Linked Profiles to manage the profiles linked to the reservation.

    1. Associated Profiles

    2. When the Attach Travel Agent/ Source Profiles to ReservationsOPERA Control is active, both a travel agent and source profile can be linked to the reservation.

    3. Click Link Profiles then select a profile type from the list.

      1. Enter search criteria and select a profile from the search result.

      2. Click Create Profile to create a new profile.

    4. To delete a linked profile, click cancel iconfor the profile.

    5. Accompanying Profiles. Available when the Accompanying Guest OPERA Control is active.

    6. Click Link Profiles.

      1. Enter search criteria and select a profile from the search result.

      2. Click Create Profile to create a new profile.

    7. Click Profile Identification icon to manage identification. For more information, see Managing Profile Identification and Personal Details.

    8. Click Registration Card icon to generate registration cards.

      1. Select a registration card template from the list.

      2. Show masked information: Toggle on to output unmasked identity data.

      3. Guests: Select the guests to generate a registration card.

      4. Email: Enter email recipient. Click Add Email to add another.

      5. Click Process.

    9. To delete a linked profile, click cancel icon for the profile.

  9. Click Packages to manage reservation packages.

    1. Packages included in the rate code are listed.

    2. Click Add Package to add a sell separate package.

      1. Enter search criteria.

      2. Select Add for the package.

        1. Start Date: Enter or select a start date.

        2. End Date: Enter or select an end date.

        3. Number of Packages: Enter the number of packages.

        4. Click Add or click Save and Add More to add another.

      3. Click  Trashcan icon icon to delete a package that can be sold separately.

      4. Click the Pencil icon icon to edit existing packages.

    3. Click Delete to delete a sell separate package. For more information, see Managing Reservation Packages .

  10. Click Items tab to manage reservation items.
    1. Items included in packages are automatically listed and labeled with a Package badge.
    2. Click Add item to add more items to this reservation.
      1. Start Date: Select a start date from the filter chip. The arrival date will be defaulted.
      2. Select any filter chip to narrow your item search.
      3. On the left panel, for the item you wish to add, click on any number in the squares which will move that item to the Items cart in the right panel.
      4. For Item groups, click on the chevron next to the main group to expand the items and select the individual items existing within this group.
      5. On the right panel, click the Pencil icon icon to edit the item.
      6. . On the right panel, click the Trashcan icon icon to delete the item.
      7. Click Cancel or in the upper corner, click X or click off the drawer to close the drawer without saving any changes.
      8. Click Add to Reservation button to add the item to the in-progress reservation.
    3. Click the left/right arrows <> on the conveyor or use the scroll bar to see more dates.
    4. Click the Pencil icon icon to edit the existing item.
    5. Click the Trashcan icon icon to delete the existing item.
  11. Click Deposit & Cancellation to view add, edit, or delete deposit and cancellation policies. For more information, see Managing Reservation Deposit Request and Cancellation Policy.

    1. Click Add Deposit Request:
      1. Deposit Rule: Select a deposit rule from the list. For more information see t_reservation_components_creating_reservation_deposit_rules.htm.
      2. Percentage: If a deposit rule was selected, a percentage of the rate will populate the field. Update the field as required.
      3. Deposit Amount: If a deposit rule was selected, a deposit amount will populate the field. Update the deposit amount as required.
      4. Due Date: If a deposit rule was selected, a due date will populate the field. Update the deposit amount as required.
      5. Comments: Enter any comments applicable.
        1. Click Cancel to discard changes.

        2. Click Add to save deposit request.

      6. Click Note icon to view Deposit Rule Description.
      7. Click the Trashcan icon icon to delete deposit.

        Note:

        If the deposit is automatically applied because it is configured for the rate code or the reservation type selected on the reservation, the Trashcan icon is disabled, and the deposit cannot be deleted.
      8. Click the Pencil icon icon to edit the deposit rule.
        1. Click Cancel to discard changes.
        2. Click Update to save deposit request.
    2. Click Add Cancellation Penalty:
      1. Cancel Rule: Select a cancel rule from the list. For more information see Cancel Rule: Select a cancel rule from the list. For more information see:t_admin_booking_configuring_cancel_penalties.htm.
      2. Percent: Enter the percent of the total charge for the number of room nights specified in Room Nights that is to be charged as a cancellation penalty (if the Percentage method is used to compute the penalty).
      3. Room Nights: The number of room nights for this reservation.
      4. Percent Due: Enter the percentage of the cancellation amount due.
      5. Cancel Amount: The amount of the cancellation charge.
      6. Cancel Date: Enter the date on or before the cancellation must take place to avoid application of the cancellation penalty.
      7. Comments: Enter any applicable comments.
        1. Click Cancel to discard changes.
        2. Click Add to save deposit request.
      8. Click the Trashcan icon icon to delete cancellation.

        Note:

        If the cancellation is automatically applied because it is configured for the rate code or the reservation type selected on the reservation, the Trashcan icon is disabled, and the cancellation cannot be deleted.
      9. Click the Pencil icon icon to edit the deposit rule.
        1. Click Cancel to discard changes.
        2. Click Update to save deposit request.
  12. Click an eye icon next to the Total Cost of Stay to view the total cost of stay breakdown.
  13. Click Sharers + to create a share reservation. Available when the Sharers OPERA Control is active.

    1. Enter profile search criteria.

    2. Select a profile in the search result, then click Apply.

    3. Select a rate share method and enter the number of adults.

    4. Click Apply.

  14. Click Linked Reservations Pencil icon to view existing linked reservations.

  15. Click Future and Past Stays link to view the stay history of the selected profile.
  16. Click Daily Details link to view or edit daily details.
  17. Click Room and Rate Details link to view the room type and rate details.
  18. Click Preferences link to view existing profile preferences if a profile has been added or add or remove reservation preferences.

    1. Enter any text in search bar and enter to narrow down preferences.

    2. Select Preference Groups filter chip to select any preference groups.

    3. Click Add All to add all filtered preferences results.

    4. Click + on any preference card to shuttle it from available panel to selected panel.

    5. Click Remove All to shuttle all selected preferences back to Available panel.

    6. Click Reservation tab to see only reservation preferences.

    7. Click Profile tab to see existing profile preferences if a profile has been selected for this reservation.

    8. Click All tab to see a combination of reservation and profile preferences selected.

    9. Click X on selected preferences to shuttle individually to the Available panel.

    10. Click Cancel to close the preference drawer and discard changes.

    11. Click Apply to Reservation and Profile to apply selected preferences to both. 

    12. Click Apply to Reservation to apply selected preferences only to this in progress reservation. 

    13. Click X in upper right or click anywhere off the drawer to close and discard changes. 

  19. Click Add Another Reservation to add to the trip composer and add another segment.
    1. Enter search criteria then click Search.

    2. Hover a room type and rate code card, then click the suitcase icon to add to the trip composer then click Continue Booking.

    3. Once on the Overview screen again, one tab per reservation is displayed.

  20. Click Book to confirm the reservation.

    1. You are presented with a closing script to read to the caller. (Available when the Closing Script New and Update Reservation OPERA Control is active).

      1. Language: Select a desired language from the list to localize the closing script.

      2. Click Confirm and Review to confirm booking and continue to edit the reservation or click Confirm to confirm the booking and end the call.

  21. Click End Call to exit without confirming the reservation.

    1. When the Turnaway Functionality OPERA Control is active, you can enter turn-away details. For more information, see Using Turnaways.

Editing Reservations

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Reservation Sales Screen.

  2. Click Find Reservation .

  3. Enter search criteria using the filter chips displayed.

  4. Select the reservation in the search result, then click the pencil icon to edit the reservation.

Moving Reservations to Other Properties

Note:

You cannot move a cancelled or pseudo room type reservation.
  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Reservation Sales Screen.

  2. Click Find Reservation .

  3. Enter search criteria using the filter chips displayed.

  4. Select the reservation in the search result, then click Move Reservation.

    1. Select a new property or destination and adjust other criteria to search for availability.

    2. Hover a room type and rate code card, then click the Suitcase icon to add to the trip composer.

    3. Click Move Reservation.

      1. Update reservations details then click Move Reservation

      2. Reason: Select a move reason from the list, then click Move Reservation.

Cancelling Reservations

Note:

 If shares exist, you are prompted to select reservations to cancel. (Available when the Shares OPERA Control is active).
  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Reservation Sales Screen.

  2. Click Find Reservation .

  3. Enter search criteria using the filter chips displayed.

  4. Select the reservation in the search result, then click Cancel Reservation.

    1. Reason: Select a cancel reason from the list, then click Cancel Reservation.

Reinstating Cancelled Reservations

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Reservation Sales Screen.

  2. Click Find Reservation .

  3. Enter search criteria using the filter chips displayed.

  4. Select the reservation in the search result, then click Reinstate Reservation.

    1. The Availability screen is presented if there is no availability for the reservation’s original room type and rate selection; select a new room type and rate combination. 

    2. Click Reinstate Reservation.

Searching Profiles

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Reservation Sales Screen.

  2. Click Find Reservation list button and select Find Profile.

Accessing the Property Brochure

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Reservation Sales Screen.

  2. Click Find Reservation.

  3. Enter your search criteria to find the desired property.

  4. Click the eye icon icon to open the Property Brochure for the selected property.

  5. In the Property Brochure screen, you can:

    1. Scroll through the property data
    2. Use the anchor links on the right to quickly jump to a specific section.
    3. Use your browser's search function (CTRL+F) to find specific keywords within the property brochure.

Splitting Reservations

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Reservation Sales Screen.

  2. Click Find Reservation.

  3. Enter your search criteria.

  4. Select a multi-room reservation in the search result, then click Split Reservation.

    1. Use the following split options:
      1. All Reservations: Select to split all reservations from the multi-room reservation.
      2. Single Reservation: Select to split 1 reservation from the multi-room reservation.
    2. Copy guest to all reservations: Select to copy the original reservation guest name to all split reservations. However, Guest field is editable for each split reservation.
    3. Copy payment method to all reservations: Select to copy the original reservation payment method to all split reservations. However, the Payment Method is editable for each split reservation.
  5. Update Guest and/or Payment Method for any individual split reservation if applicable.
  6. Click Split Reservation to confirm the split.

Managing Existing Reservations

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Reservation Sales Screen.

  2. Click Find Reservation.

  3. Enter your search criteria.

  4. Select a reservation in the search result and then click Linked reservations.

    1. Click + to link reservations if no linked reservations exist.
    2. Click the to view and manage already linked reservations, or link additional reservations in the Linked reservations drawer.
  5. Click Daily Details link to view or edit daily details.
  6. Click Confirmation Letters link to view or send confirmation letters.
      1. Click Add Confirmation Letter to send additional confirmation letters.
      2. Select Recipient email address.
        1. Click Add Email to add additional email address.
        2. Enter Email and select a Profile to which the email will be saved to.
        3. Click Add.
        4. Select email address or addresses.
        5. Select Confirmation Letter to be sent.
        6. Click send email icon to send the email.
