Prerequisites for Leisure Management

Use Leisure Management to configure, sell, and manage scheduled guest experiences, including spa treatments, children's activities, rentals, tours, cabanas, classes, and other bookable services. Administrators, reservation agents, front desk people, and Leisure Management desk agents can schedule, update, cancel, and review experiences from a reservation.

Before scheduling experiences, configure the locations, experience categories, resources, pricing, schedules, and permissions that control availability. Use Leisure Management to schedule, update, or cancel experiences and view scheduled experiences from a reservation or guest profile.

This content is intended for administrators, reservation agents, front desk people, and Leisure Management desk agents.

Note:

Available menus, actions, and indicators can vary based on the OPERA Cloud release, property configuration, enabled controls, integration status, and role permissions.

Leisure Workspace

You can view scheduled experiences by personnel or space from the Leisure Workspace menu in Bookings. The Day view supports filtering by property (mandatory), location (mandatory), experience, experience group, experience type, and resource. Each time slot displays key booking details and available actions, including check-in, check-out, edit, and change-log review.

You require the SA_RESERVATION_ROLE role to report on leisure experiences. The Leisure Experiences subject area supports analysis of scheduled experiences, guest participation, resource use, cancellations, and operational status.

Folder Description
Scheduled Experiences Experience, reservation, price, status, date, time, comments, and cancellation information.
Scheduled Experience Resources Assigned resource type, category, code, quantity, date, time, status, and cancellation information.
Property Details Resort context for multi-property analyses when available.

Scheduled Experiences

Use this folder to report on reservation-linked experiences, for example, experiences scheduled for a date range, reservations with each operational status, associated price and currency, and cancellations. Available attributes include Scheduled Experience ID, Experience Code, Experience Profile ID, Reservation ID, Currency Code, Comments, Package Code, Price, Status, Begin Date, End Date, Begin Time, End Time, Experience Cancel Date, and Inactive Date.

Scheduled Experience Resources

Use this folder to analyze assigned resources, utilization, conflicts, capacity planning, and operational follow-up. Available attributes include Scheduled Resource ID, Resource Type, Resource Category, Resource Code, Begin Date, End Date, Begin Time, End Time, Cancel Resource Date, Inactive Date, Quantity, and Status.

Template Reports for Leisure Management

The Templates folder under Leisure Experiences includes the following reports. Copy and adjust them to meet property reporting requirements.

Most Popular Experiences - Show the experiences that guests schedule more often.

Production Report - Operational product monitoring - what was produced (delivered/active) vs lost (cancelled).

Resource Allocation and Utilization Report - Operational production monitoring - what was produced (delivered/active) vs lost (cancelled). Provide visibility into how experience resources (equipment, space, personnel) are allocated and used, in order to optimize resource utilization, identify overbooking or shortages, reduce idle capacity and operational waste to ensure the right resources are assigned to the right experiences at the right time.

Resource Utilization Report - Understand how intensively resources are being used (equipment/space/personnel where represented as "resources").

Top Revenue Experiences - Identify the top experiences based strictly on revenue.

Creating Leisure Bookings

Enable the Leisure Experiences function and assign the Schedule Leisure Experiences task. Experiences linked to a reservation can only be scheduled within the reservation dates.

You can schedule a leisure experience during reservation booking or add one to an existing reservation. An experience added to the cart remains on hold for 30 minutes until it is confirmed.

Scheduling During Reservation Booking

To schedule a leisure experience during reservation booking, use one of the following procedures.

From the Reservation Sales Screen:

  1. From the OPERA Cloud menu, go to Bookings, Reservations, Reservation Sales Screen.
  2. Open the reservation booking work flow.
  3. Enter the reservation details for the guest.
  4. Select Add Leisure Experience.
  5. Leisure experiences offered at the resort are displayed. Use the experience search field to search for an experience.
  6. Select the experience to schedule.
  7. If the experience supports multiple participants, update Participants before selecting the time slot.

    Note:

    Time slots can appear even when they cannot accommodate the selected number of participants. Disabled slots are available only for fewer participants and cannot be added to the cart. Reduce the participant count to match available capacity.
  8. If the guest has a preferred resource, date, or feature, use the filter when available.
  9. Add the experience to the cart. Review available dates, times, locations, resources, participant count, and price.

    Note:

    The experience is on hold in the cart for 30 minutes. If the booking is not confirmed within that time, the hold is released.
  10. Select Add Another Experience or Add to Trip Composer.
  11. Continue the reservation booking workflow.
  12. If Closing Scripts are configured for Leisure Experiences, display the scheduled leisure experience summary after the booking is finalized.

From the Look To Book Sales Screen:

  1. From the OPERA Cloud menu, go to Bookings, Reservations, Reservation Sales Screen.
  2. Open the reservation booking workflow.
  3. Enter the reservation details for the guest.
  4. Select a room and rate.
  5. Select More, then Leisure Experiences.
  6. Leisure experiences offered at the resort are displayed. Use the experience search field to search for an experience.
  7. Select the experience to schedule.
  8. If the experience supports multiple participants, update Participants before selecting the time slot.

    Note:

    Disabled time slots cannot accommodate the selected number of participants. Reduce the participant count to match available capacity.
  9. If the guest has a preferred resource, date, or feature, use the filter when available.
  10. Add the experience to the cart and review available dates, times, locations, resources, participant count, and price.

    Note:

    The experience is on hold in the cart for 30 minutes. If the booking is not confirmed within that time, the hold is released.
  11. Select Add Another Experience or Add to Reservation.
  12. Verify that the experience is displayed under Additional Packages.
  13. Continue the reservation booking workflow.
  14. If Closing Scripts are configured for Leisure Experiences, display the scheduled leisure experience summary after the booking is finalized.

Schedule from an Existing Reservation

Use this workflow when the reservation already exists and the guest wants to schedule a new leisure experience.

From the Reservation Sales Screen:

  1. From the OPERA Cloud menu, go to Bookings, Reservations, Reservation Sales Screen.
  2. Select Find Reservation and search for an existing reservation.
  3. Select the Leisure Experiences indicator.
  4. If no experiences are scheduled, use Schedule to open the scheduling drawer. If experiences exist, select Edit to schedule additional experiences.
  5. Search for the experience and select an available time slot.
  6. Review details and use Add Comment in the Edit Activity drawer when required.
  7. Select Add Another Experience or Review.
  8. Review price, tax, total amount, participant count, location, resource, and special instructions.
  9. Select Cancel, Add Another Experience, or Schedule.
  10. When you select Schedule, the Experience is confirmed and a confirmation number is issued.
  11. Verify that the Leisure Experiences indicator displays the number of scheduled experiences.

From the Look To Book Sales Screen:

  1. From the OPERA Cloud menu, select Bookings, Reservations, then Manage Reservation.
  2. Search for an existing reservation and select the Leisure Experiences indicator.
  3. If no experiences are scheduled, the Select Experience drawer opens. If experiences are scheduled, the calendar opens so you can view current experiences and schedule new ones.
  4. Search for the experience and select an available time slot.
  5. Review details and use Add Comment in the Edit Activity drawer when required.
  6. Select Add Another Experience or Review.
  7. Review price, tax, total amount, participant count, location, resource, and special instructions.
  8. Select Cancel, Add Another Experience, or Schedule.
  9. When you select Schedule, the Experience is confirmed and a confirmation number is issued.
  10. Verify that the Leisure Experiences indicator displays the number of scheduled experiences.

A confirmation number is generated and the Leisure Experiences indicator shows the number of scheduled experiences. If configured, a closing script displays an experience summary after booking finalization.

Note:

Disabled time slots cannot accommodate the selected participant count. Reduce the count or select another slot.

Managing Leisure Availability

Accessing the Leisure Experiences Search Screen

From OPERA Cloud menu, select Bookings, Leisure Experiences. Enter at least one search criterion. At hub level, select a property before searching. For more information see Changing Your Location in Central or Multi Property Operations

Search Criteria

Criterion Usage
Property Search the selected resort. The active resort is the default.
Name Search by guest last name.
First Name Search by guest first name.
Confirmation Number Search by leisure experience confirmation number.
Leisure Experience Search by the specific experience name.
Leisure Experience Group Search by the configured experience group.
Leisure Experience Type Search by the configured experience type.
Location Search by leisure location.
Location Type Search by location classification.
From Date and To Date Search by scheduled date or date range.
Cancellation Number Search by the cancellation number for cancelled experiences.
Status Search by Scheduled, Checked In, Checked Out, or Cancelled status where available.

Search results identify the guest, experience, date, start and end times, location, confirmation number, cancellation number, status, and applicable actions. For an experience scheduled on the current resort business date, Check In and Check Out are available. For an experience on another date, Edit and Cancel are available when permitted by the role and status.

Enable the Leisure Experiences function. Assign the Edit Leisure Experiences, Check In Leisure Experiences, and Check Out Leisure Experiences tasks as required.

Use the reservation experience calendar and the Leisure Experiences search screen to update, check in, check out, and review leisure experiences.

Updating a Leisure Experience

You can modify a leisure experience to reflect guest-requested changes, such as a new date or time, participant count, comments, resource preference, or other editable information.

Updating from the Experience Card

From the Reservation Sales Screen and the Manage Reservations search screen:

  1. From the OPERA Cloud menu, go to Bookings, Reservations, Reservation Sales Screen or Look To Book Sales Screen.
  2. Locate the reservation that contains the experience.
  3. Select Edit from the Leisure Experience indicator.
  4. Select the experience on the Leisure Experiences calendar to open the Experience Card.
  5. Select Edit.
  6. Update editable fields, such as Date, Start Time, Participants, or Comments.
  7. When needed, open the scheduling drawer or availability search, search for alternate availability, and select the new date, time, location, or resource.
  8. Review price, tax, participant, location, resource, or instruction changes.
  9. Confirm the update.
  10. Return to the original view and verify that the experience details, status, and action menu are refreshed.

Updating Rules and Notes

  • Resource preferences are retained when rescheduling for a different date or time, where delivered.
  • Participant count changes affect availability. Reduce the count or choose another time when needed.
  • Resource availability is validated against the selected location and schedule.
  • If another person changes the experience before it is saved, refresh the record and repeat the update using current information.
  • Updates are recorded in the Changes Log.

To update the date, time, participant count, comments, resource preference, or another editable detail:

  1. Open the reservation in the Reservation Sales Screen or Manage Reservation screen.
  2. Select Edit from the Leisure Experiences indicator, select the experience in the calendar, and select Edit on the Experience Card.
  3. Update the available fields. To select an unavailable date, time, location, or resource, open the scheduling drawer and search for alternatives.
  4. Review price, tax, participants, location, resource, and instruction changes, then confirm the update.

Resource preferences are retained when available. Participant changes affect availability, and resource availability is validated for the selected location and schedule. Refresh the record if another person changes the experience before you save. All updates are recorded in the Changes Log.

To check in a guest:

  1. From the OPERA Cloud menu, select Bookings, Leisure Experiences.
  2. Locate the reserved experience and confirm that it is scheduled for the current resort business date.
  3. Select Check In and confirm the action when prompted.
  4. Verify that the status changes to Checked In.

To check out a guest:

  1. On the Leisure Experiences search screen, locate the checked-in experience.
  2. Select Check Out and confirm the action when prompted.
  3. Verify that the status changes to Checked Out.

Note:

If an action is unavailable, verify the assigned task, experience status, and scheduled date.

Leisure Experience Statuses

The Leisure Experience status indicates where an experience is in its lifecycle.

Status What it means Typical next step
On Hold The experience is pending confirmation. The hold expires after 30 minutes and availability is released. Schedule or allow the hold to expire.
Scheduled The experience is confirmed for a specific date and time. Check in or cancel.
Checked In The guest has arrived or the experience has started. Check out.
Checked Out The experience is complete. Final status.
Cancelled The experience will not take place. Final status.
No Show The guest did not check in. This status is applied during end of day processing. Final status.

Note:

Status changes are manual, except for release of an expired hold and the No Show status applied during end of day processing.

Cancelling Leisure Bookings

Ensure the Leisure Experiences OPERA Control is active and the Cancel Leisure Experiences task is assigned.

Cancel an experience when the guest no longer plans to attend or the resort must remove the scheduled experience.

From the Reservation Sales Screen and the Manage Reservations screen:

  1. From the OPERA Cloud menu, go to Bookings, Reservations, Reservation Sales Screen or Look To Book Sales Screen.
  2. Locate the reservation containing the experience.
  3. Select Edit from the Leisure Experience indicator.
  4. Select the experience on the calendar to open the Experience Card.
  5. Select the ellipsis, then select Cancel Experience.
  6. Review and confirm the cancellation prompt.
  7. Review the generated cancellation number and verify the status changes to Cancelled.

Note:

Each separately cancelled experience receives its own cancellation number.

Changing Reservation Dates or Cancelling a Reservation

Experiences are linked to a reservation’s stay dates. If changing those dates causes an experience to fall outside the updated stay period, OPERA Cloud alerts you and cancels the affected experience when you proceed. It does not automatically reschedule it, so create a new experience if needed.

Cancelling a reservation also cancels all associated experiences. If you reinstate the reservation, those experiences remain cancelled and must be scheduled again.

Note:

Cancelled leisure experiences cannot be reinstated.

Viewing Leisure Experiences from a Reservation

You can view scheduled experiences from the reservation when the reservation has a Leisure Management indicator, scheduled experiences link, or Reservation Activities link available.

Viewing from the Reservation Indicator

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservations.
  2. Open the reservation.
  3. Look for the Leisure Experiences indicator.
  4. If the indicator is bold or displays a count, the reservation has one or more scheduled experiences.
  5. Select the indicator to view scheduled experiences.
  6. Review the experience name, dates and times, location, confirmation and cancellation numbers, status, and actions.

Note:

If no experiences are scheduled, the indicator or action can open the scheduling drawer.
  1. Open the reservation in the Reservation Sales Screen or Manage Reservation screen.
  2. Select Edit from the Leisure Experiences indicator, and select the experience in the calendar.
  3. On the Experience Card, select the Actions menu, then select .Cancel Experience.
  4. Review the cancellation prompt and confirm the cancellation.

The status changes to Cancelled and a cancellation number appears on the Experience Card. Each cancelled experience receives a separate cancellation number.

Leisure Experiences for Passer By

You can schedule eligible experiences for guests without a room reservation, capture the required guest and booking details, and provide a confirmation reference. For passerby guests, staff can also collect payment using the stored card or permitted cash, complete and close the folio, and email or print a receipt.

Scheduling Leisure Experience

  1. Open the guest profile.
  2. Select the Leisure Experiences profile indicator.
  3. Select Schedule New Experience.
  4. Select an eligible experience, date, time, and number of participants.
  5. Enter the required guest, contact, participant, and booking details.
  6. Review the availability, pricing, and cancellation information.
  7. Confirm the booking.

Note:

A confirmation reference is displayed when the leisure experience is scheduled successfully.

Note:

Experiences configured for room stays only cannot be scheduled without a room reservation.

Leisure Experience Statuses

The Leisure Experience status indicates where an experience is in its lifecycle.

Status What it means Typical next step
On Hold The experience is pending confirmation. The hold expires after 30 minutes and availability is released. Schedule or allow the hold to expire.
Scheduled The experience is confirmed for a specific date and time. Check in or cancel.
Checked In The guest has arrived or the experience has started. Check out.

Post Payment

  1. Locate the passerby booking in the Leisure Experience list.
  2. Select Post Payment.
  3. Charge the card stored as the booking guarantee, or accept cash when permitted by the property.
  4. Confirm the payment.
  5. Verify that the passerby folio is created and closed.
  6. Email or print the receipt.

Note:

If payment or folio closure fails, the booking remains incomplete and an error message is displayed. Resolve the error, and then retry the action.
