How Clinical One Cloud Service handles changes to coded verbatim terms

Learn what happens in Clinical One Cloud Service when a user updates a coded verbatim term or clears codes in Oracle Central Coding.

When a user updates or clears a verbatim term or a context item in Clinical One Cloud Service

The coding targets are automatically cleared, and Oracle Central Coding retrieves the verbatim term for recoding.
  1. When a user updates or clears a verbatim term or one of its associated context items (Route of administration or Indication), the coding targets on the study form are cleared.

    If your form has multiple verbatim terms, only the corresponding coding targets are cleared and are repopulated with the returned dictionary values after the verbatim term is recoded.

  2. Oracle Central Coding retrieves the updated verbatim term for recoding.
  3. After the verbatim term is recoded, Oracle Central Coding sends dictionary values to populate the coding targets in Clinical One Cloud Service.
    About context items and coding targets
    • Route of administration refers to the method by which a drug was taken, and Indication describes why the drug was taken. For example, Aspirin (verbatim term) was taken orally (route of administration) for headache relief (indication).
    • Coding targets are read-only text fields on study forms. They are typically hidden for most study roles and are populated with values from dictionaries configured in Oracle Central Coding.

      The study designer determines how many coding targets are needed for each study form. After each verbatim term is coded, Oracle Central Coding sends dictionary values to Clinical One Cloud Service to populate the coding targets.

When a user clears codes in Oracle Central Coding

Users with access to Oracle Central Coding can clear codes associated with coded verbatim terms.

Under the Actions menu, Oracle Central Coding provides two options for clearing codes:
  • Clear Code: Clears the codes for the selected verbatim term only.
  • Clear and Propagate: Clears the codes for all matching verbatim terms.

    Note:

    For concomitant medications, codes are only cleared when the verbatim term, the Route of Administration, and the Indication match.
After codes are cleared in Oracle Central Coding:
  • The coding status of the affected verbatim term changes to Uncoded.
  • Clinical One Cloud Service clears the coding targets. Currently, the Reason for Change field for each coding target is populated with Answer Removed, regardless of the reason selected in Oracle Central Coding.
