Add a topic template

Topic templates standardize and simplify the creation of topics and their associated actions. When creating a new topic, users in those work teams to which the template is visible can select the template to populate the initial topic and action field values.

  1. In the left navigation pane, click the Settings icon (Settings icon).
  2. In the Configure System section, click Manage Topic Workflow Configurations.
  3. Click the configuration's Row Action menu (Row Action menu icon), and then click Edit.
  4. On the Edit Topic Workflow Configuration page, click the Topic Templates card.
  5. On the Manage Topic Templates page, click the Add Topic Template link.

    The Add Topic Template page displays the fields in the Topic Template General Information section that are available in the Initial state, determined by the selected topic workflow configuration. It does not include the Topic state, Keywords, Reason for change, or Project fields.

  6. From the Visible to work team list, select which users and work teams can use the template.

    Note:

    To select multiple work teams, hold down the Ctrl key and click each work team. Deselect a work team by holding down the Ctrl key and clicking the work team. You can click Browse to view a descriptive list of work teams.
  7. In the Name and Description fields, type a template name and a description for the topic template.
  8. From the Assigned to list, select a work team or user from the Visible to work team list to preassign to the topic created from this template. You can also select (No Value).
  9. For the other fields on the page, specify values for any other Topic fields to include in the template.
    Date fields are specified as offsets. Date offsets specified in the topic template are inherited by topics as actual dates, offset from the time of topic creation.
  10. Click Save or, if you want to add template actions to the newly created topic template from the Add Topic Template page, click Save & Edit.

    You can then perform further editing and add actions to the template.
