Manage Action States page

On the Manage Action State page, you can add, modify, and delete the action states.

General activities

The following links appear at the top of the page and affect the entire page:

  • Add Action State adds another action state to the topic workflow configuration.
  • Back returns you to the Edit Topic Workflow Configuration page.
  • Columns allows you to select the columns and sort order for the Manage Action States page.
  • Print sends a PDF version of the Manage Action States table to your printer.
  • Download sends the Manage Action States table to your PC in the format you specify.

Row-specific activities

The following options are available from the Row Action menu (Row Action menu icon), and affect an individual row in the table:

  • Edit action state information, possible next states, and whether this is a final state. No action state can specify Planned as the next action state.
  • Delete an action state that isn't used by any topics or work teams. You cannot delete the Planned or Init action state.

In this section, you can view the information for each action state.

Field Description

Name

Name of the action state.

Description

Description of the action state.

Planned State

Make the Planned and Initial State field accessibility settings the same.

Yes indicates that the action is planned, but not initialized.

No indicates the action is in progress or closed.

Initial State

Yes for the workflow state to be assigned automatically to a new action when it is added.

No for a state to indicate the action is in progress or closed.

Final State

Yes for a workflow state to indicate no further information is expected to be gathered for an action.

No for a state to indicate an action is new (initial state) or in progress.

Note:

You can set a topic workflow configuration option to require an action to have an associated comment or attachment before a final state can be assigned to it. See Edit Workflow Configuration Options for more information.

Next Possible Action States

States that a user can assign to an action that is in this state. Determines the transitions that are possible from one state to another.
