Action General Information

Displays the current field values that describe the action:

  • The fields can be display-only, editable, or required. If a field is required, an asterisk (*) appears next to it and the action cannot be saved until you provide a value for the field.
  • Each field accepts text, numeric, or date values, or provides a list of pre-defined values that you can select. If a value is not required in the field, you can select (a blank value) to indicate no value for the field. A field that accepts text may also offer a Select Available Values link so you can select one or more values from a list.
  • Arrow icons may appear after the names of a pair of fields to show that they are a linked pair. For example, if fields for Country (Linked pair icon) and State (Linked pair icon) appear, the arrows indicate that you must select a value for the Country field first and then select a value for the State field. You cannot select a State value first: the values available for State depend on the Country you select.
  • To save changes in the Action General Information section, click Save.

Note: The Save button affects only the Action General Information section of the topic. You do not need to click Save after you work with other sections of this page.

Field descriptions—Action General Information

Depending on your organization’s workflow configuration, the following field appears in this section.

Field

Description

Action name

Name of the action.

Action description

Description of the action.

Action state

Indicates the state of the action in the workflow. States are defined by your organization to represent the expected workflow and are specified in the topic workflow configuration.

A warning message may appear if you try to assign a final state to an action before a comment or attachment has been added.

Assigned to user

User to whom the action is assigned. By default, an action that you add is assigned to you. If you assign the action to a different user, that user can see and act on the action.

Available users are those in all work teams of which you are a member.

Planned completion date

Planned date for the completion of the action

Actual completion date

Date the action was completed.

If another user edits the same topic action at the same time, the first one to save the action will have their changes saved.  The second user will get an error indicating the action has been changed since the edit session began. The General Information section of the page becomes visible, allowing the user to print or take a screen shot, so that the information can be re-entered.
