Manage attachment field accessibility by type

Once you have edited a topic workflow configuration's options to select the types of attachments that can be added to a topic (or action), and defined fields for attachments, you specify the level of access that users have to each field based on the type of attachment. You specify whether each field is hidden, visible, editable, or required for an external document such as a URL, file, or note, or for an Empirica Signal object. If you make a field required for an attachment type, an attachment of that type cannot be added or edited until the user provides a value for the field.

Note: Specifications made for Empirica Signal objects apply only when the attachment is edited. When an Empirica Signal object is saved as an attachment to a topic, the Name field is required, the Description field is optional, and all other fields are hidden.

1.         In the left navigation pane, click the Settings icon (Settings icon).

2.         In the Configure System section, click Manage Topic Workflow Configurations.

3.         Click the Row Action menu (Row Action menu icon) for a configuration, and then click Manage Fields.

4.         Click Manage Accessibility.

5.         From the menu, select Attachment Fields by Type.

The Manage Attachment Field Accessibility by Type page presents a table with a column for attachment type and a row for each attachment field.

For reference, you can review the field access levels for attachment fields defined in the Sample Topic Workflow Configuration.

6.         From the drop-down lists in the attachment type cells, select an access level for each field when an attachment is of that type. The access levels are:

Hidden. Does not appear when users add or edit an attachment.

For example, you assign this access level to the URL_ADDRESS field for every type of attachment, except for URL, and to the FILE_NAME field for every type of attachment, except for external documents.

Visible

Appears when users add or edit an attachment as informational text. Values cannot be entered or modified.

Editable

Appears when users add or edit an attachment and entries are allowed.

For example, you assign this access level to the DESCRIPTION field for all attachment types.

Required

Appears when users add or edit an attachment and an entry must be made. If the field is left blank, the attachment cannot be saved.

For example, you might assign this access level to the URL_ADDRESS field for the URL attachment type, and to the FILE_NAME field for the external document attachment type.

7.         Click Save.
