Adding a Recurring Calendar Activity


You may find that you have to schedule recurring meetings. Instead of adding a new meeting every time it occurs, you can create one activity and set it to repeat at specific intervals.

To add a recurring activity

  1. Navigate to the Calendar screen.
  2. In the Daily, Weekly, or Monthly view, click New.
  3. The Calendar Detail form appears.

  4. Complete the fields.
  5. From the Repeat Frequency drop-down list, select Daily, Weekly, Monthly, Quarterly, or Yearly, depending on how often you want this activity to repeat.
  6. NOTE:  See Table 21 for details about the Repeat Frequency values.

  7. (Optional) In the Calendar pop-up dialog box, from the Repeat Until drop-down list, select the date on which the activity should stop recurring.
  8. (Optional) Check the Alarm check box to trigger an alarm for this activity.
  9. NOTE:  There is a user preference that automatically turns on the alarm each time you create an appointment. For more information, see Turning On Alarms for All Calendar Activities.

  10. Click Save This One.

CAUTION:  When you modify a repeating appointment and click Save All, the changes you made will be applied to the current appointment and to every future appointment in the series. However, every previous appointment in the series will not reflect the changes.

To change a recurring activity to a nonrecurring activity

  1. Navigate to the Calendar screen.
  2. In the Daily, Weekly, or Monthly view, click the Description hyperlink to access the activity.
  3. The Calendar Detail form appears.

  4. From the Repeat Frequency drop-down list, choose Non-Repeating.
  5. Click the Save All button.
  6. All future instances of the activity are deleted. However, the activity for the current day and previous instances of the activity are not deleted.
