Charter Communications used Fluid and navigation collections to offer employees COVID-19 resources
Summary
Charter Communications has used PeopleSoft Fluid and Navigation Collections to offer an option for all employees to answer a daily health questionnaire and direct them to a nearest COVID-19 testing location as needed. Additionally, they have leveraged PeopleSoft Notifications and Reporting functionality to track COVID-19 incidents and notify key personnel within their organization.

Charter is one of FEMA’s Community Lifeline sectors, and our services are essential to our customers and the communities we serve, especially during public health emergencies such as the COVID-19 pandemic. At the same time, protecting the health and well-being of our employees is paramount. Our more than 96,000 employees across our different businesses were affected in some form or fashion during the pandemic. Despite the significant challenges that COVID-19 has posed, we’ve navigated through the pandemic without major disruption to our operations, customers or our growth. To achieve this, we needed our employees to feel safe and protected while continuing to operate in our offices and in the field.
In May of 2020, Charter Communications launched Know Before You Go (KBYG), a daily health check tool, to have all employees going in to the office or working in the field to complete a COVID-19 symptom and quarantine screening prior to leaving for work. This custom fluid page built in PeopleSoft HCM asks employees a series of questions and based on their answers will direct anyone who is experiencing COVID-like symptoms to stay home and contact their supervisor and a health care professional. The tool auto generates emails to employee’s HRBP (Human Resources business partner) and their direct supervisor to inform them that the employee should not work that day.
We used PeopleSoft Fluid to offer a mobile option for all employees to complete Know Before You Go. The direct link to the questionnaire was provided as a shortcut link/icon to be saved on mobile devices. We also direct employees who are experiencing symptoms to a COVID-19 testing location near them using Nav Collection.
HRBP and executive reports created to provide views of daily, weekly and monthly combining KBYG and badging data to show things like employees reporting symptoms, but still badged in or employees that badged in but didn’t complete KBYG.
Later in the year we launched a COVID-19 Tracker for incidents and accommodations. The COVID-19 Tracker was built in PeopleSoft that allows all COVID-19 incidents and accommodation requests to be created, approved, tracked and closed out. The entry is done via HRBP self-service and includes seven (7) different types of COVID incidents and four (4) types of work accommodations. Custom notifications are sent to approvers, facility managers, internal communications, HR VPs and others based on certain criteria.
With KBYG, COVID-19 Incidents and Accommodations all in PeopleSoft HCM, we have been able to enhance reporting within the HR community to track hotspots, conduct contact tracing, process paid leave requests, capture work location trends etc… We have also been able to expand our executive dashboards for high-level review.
In 2021, we continued to evolve our COVID-related tools with Stick it to COVID. Stick It to COVID captures employee interest in being vaccinated at an onsite event and allows employees to schedule their onsite vaccination appointment. The tool has a separate view for HR, where they are able to schedule appointments for our frontline employees. And, we use this tool to capture vaccination information for employees who can voluntarily provide details including a copy of their vaccine card.
