Recommendation Tab

The Recommendation Tab displays the ORMS system recommended Hurdle Amounts for the yield categories as well as the recommended Overbookings. The data appears in graphs and grids according to the selected dates. If you choose, the current Hurdle Amount and the Overbooked Rooms can be overridden here prior to Modelization.

Note: ORMS bases the recommendations for hurdle step amounts on the mix of yieldable rate values stored in OPERA's history, such as the percentage of how many hurdle rates were sold at a certain price range on past dates. If a user overrides the hurdle step amounts before Modelization, this percentage allocation for the forecast will not be based on past history. After Modelization, if it is found necessary to modify hurdle step amounts, the user has the opportunity to make modifications in the utility Change ORMS Hurdle Step Amounts.

Prerequisites

• Configure yield categories and hurdles in Configuration Tab>Yield Categories.
• Configure overbooking and hurdle thresholds and alerts in Configuration Tab>Alerts and Rules.

Permissions

• ORMS RECOMMENDATION - Allows the user to access the Recommendation screen.

Recommendation Tab

Calendar

The Calendar section of the screen displays a four month window for dates and displays the dates in which an event affecting revenue is occurring, indicated by the underlined date. Colored dates indicate that there is a minimum of one alert (may include other alerts besides overbooking and hurdles), for this date. Move the cursor over the date to display the alert and event description that exists for the date. The colors for alerts are user defined from the Configuration Tab>Alerts and Rules Tab (See Configuration Tab Alerts and Rules for details). Select one date, multiple dates or a date range to display data in the graphs and grids. Select the Search button.

Graphs

The two graphs (top and bottom) display forecasted and on the books data for the dates selected in the calendar.

The top graph matches the Occupancy/ADR Forecast graph from the Home Tab. It displays the:

• Number of reserved rooms (Occ OTB) along with the constrained occupancy forecasted (OTB Forecasted)
• ADR on the books (ADR OTB) and the ADR forecasted (When a hurdle has been overridden, ORMS will calculate the remaining demand per Yield Category based on the overridden hurdle amount for that Yield Category and affect ADR Forecasts).
• RevPAR on the books (RevPAR OTB) and the RevPAR forecasted

The bottom graph displays the numbers for the stay date for:

• On the Books
• OOO (out of order) rooms
• Available Rooms
• Available when the Rooms Management>Overbooking application function is set to Y in PMS for the property, Overbooking for the selected date(s)

Events and Alerts

The Events and Alerts grids display next to the graphs section at the top of the dashboard. They provide an overview of the event(s) and alert(s) that are in place for the selected date, dates, or date range. There is no limit as to how many events can be displayed. The user can also select to show all events and that will extend the screen accordingly.

The Alerts section automatically generates and displays any alerts that have been configured whose thresholds have been exceeded on the selected dates. The date format displayed is based on what is configured in Opera. These alerts can pertain to Hurdles, Forecast, Overbooking, and On the Books (On the Books - OTB - can be set up individually or with a Forecast alert). For alerts configuration and descriptions, see Configuration Tab Alerts and Rules for details.

Click on an alert to display the full description about the alert. The Alerts screen appears where you can view the Alert Message sorted by alert type ( OTB, Hurdles, Forecast, and Overbooking) for the date.

• Select Next to view additional alerts for that date, or continue scrolling to view additional alerts for other dates in the date range. Select Previous to return to previously viewed alerts.
• Once you have viewed messages, if you want to remove the message(s) from the Alerts screen so they no longer appear, you may select the Viewed button.
• Select Close to exit the Alerts screen and return to the Home Tab dashboard.

Control Panel

The Control Panel is located beneath the Events and Alerts section. It displays the configured yield categories for your property, based on the configuration in Configuration Tab Yield Category. This section provides detailed information on hurdles and overbooking and lets you review this information through different filters. You can choose to override the system recommended hurdles and overbookings.

Selection Criteria

Yield Category Radio Buttons. By default, the Yield Category of your selected Property Level Reference Room Type (Configuration>Yield Category) is selected. More information about the Property Level Reference Room Type may be found in Configuration Tab Yield Category. Select the radio button for the Yield Category whose data you want to view.

• Room Type/ Rate Code Combination. Select a Room Type/Rate Code combination, which allows you to check how specific hurdle amounts would impact on opening/closing yieldable rates for the specified time period.
• Room Type. The LOV contains the available yieldable room types. Select the room type you want included in the Room Type/ Rate Code combination.
• Rate Code. Select the Flashlight to open a screen with available yieldable rate codes. The Search Rate Code screen appears where you can search for and select the desired rate code.
• Hurdle Override. This filter lets you display hurdles overridden by the User. You can filter the displayed hurdles for the selected time period by only overridden hurdles (Yes), non-overridden hurdles (No), or all hurdles (All). All is the default.
• Hurdle Approved. Select the Hurdle Approved LOV to select to view hurdles approved or not for the selected time period. You can view all hurdles (All), only approved hurdles (Yes), or hurdles not yet approved (No). All is the default.

Function Buttons

Search. Select this button everytime the screen needs to be refreshed, for example, when the Room Type/Rate Code combination changed or a different Hurdle Approved selection was made.

Apply Changes. This button is used to apply all changes made on this screen. For example, override a hurdle amount, override an Overbooking, Set an Expiration Date, and so on.

Batch Override. When selecting this button, the Batch Override screen displays. This screen gives you the option to globally override hurdles, Overbookings and OOO Ceilings for a pre-defined date range.

Approve All Hurdles. The Approve All Hurdles button will approve all the Non-Approved Hurdles of the selected date(s) on the calendar.

Note: The system will automatically set the hurdle amount back to the system generated amount once the expiration date has passed.

Approve All Overbookings. Available when the Rooms Management>Overbooking application function is set to Y in PMS for the property, the Approve All Overbookings button will approve all the Non-Approved Overbookings of the selected date(s) on the calendar.

Batch Override Screen

• Range from. Start Date, as of when the following changes need to be applied.
• Range to. End Date, until when the following changes need to be applied.
• Hurdle Override. This is the field that can be used to set the new, override Hurdle Amount.
• Overbooking. Available when the Rooms Management>Overbooking application function is set to Y in PMS for the property, here the Override Overbooking amount can be set.
• Hurdle Ceiling OOO. When selecting Yes in this LOV, the result will be for this particular date, the OOO rooms not taken into consideration when calculating the hurdle ceiling. This might be useful if a hotel has a large number of rooms set OOO due to refurbishment. That could cause the hurdle rates to move up as the OOO rooms would reduce the number of available physical rooms.
• Expiry List. The LOV provides a number of pre-defined Expiration dates, which the user can select from.
• Expiry Date. The Expiry Date will either display the date as per the selection on the Expiry List or else a specific date can be selected. In that case, the time defaults to the current system time.
• Yield Category. It can be defined whether the changes should be applied for all yield categories or only a specific one.
• LOS. It can be defined whether the changes should be applied for all LOS or only a specific one.
• Day of Week Pattern. With these DOW check boxes, it can be defined for which weekdays these settings should be applied.

Control Panel Summary

The Summary displays the 'on the book' reservations and revenue, along with a forecast for that date, on the property level.

The Season Color displays the color-coded season for the current date. The color displays in a thin column after the Show or Hide column, before the Date column. The Season Color was set up in Configuration>Seasons Tab.

Columns

Details. Select Show to open the Details screen where you can view details for the hurdles and overbookings. See Control Panel Details below.

Date. Day of the week and date selected in the calendar for 'on the book' reservations and revenue, along with a forecast for that date.

Prop OCC (Rooms)

• OTB. Number of 'on the books' (OTB) rooms reserved for that date.
• Fore. The number of constrained forecasted room reservations for that date.

Prop OCC (%)

• OTB. The 'on the books' (OTB) percentage of rooms reserved for that date.
• Fore. The constrained forecasted occupancy percentage for the date.

ADR (Average Daily Rate) - The currency code used for calculation is displayed

• OTB. The 'on the books' (OTB) Average Daily Rate (ADR) for that date.
• Fore. The forecasted ADR for that date. (When a hurdle has been overridden, ORMS will calculate the remaining demand per Yield Category based on the overridden hurdle amount for that Yield Category and will affect ADR Forecasts.)

RevPAR (Revenue per Available Room) - The currency code used for calculation is displayed

• OTB. The 'on the books' (OTB) RevPAR for that day.
• Fore. The forecasted revenue per available room.

Control Panel Details

When Show is selected, the hurdles and overbookings details display.

Expiry Selection. The Expiry LOV provides a number of pre-defined Expiration timeframe dates (i.e. End of the Day or Tomorrow Night) based on the system date, for the hurdles or overbookings. When the expiry time is selected, the date populates the Hurdles Expiry field and the Overbooking Expiry Date field. You may also manually override the expiry date in the Hurdles Expiry field or the Overbooking Expiry Date field for the current hurdle or overbooking sections. The options from the Expiry Selection LOV are:

• End of the Day
• One Full Day
• Tomorrow Night
• Sunday Night
• One Week
• End of the Month
• One Full Month

  Note: The system will automatically set the hurdle amount back to the system generated amount once the expiration date has passed.

Hurdles

On the Hurdle section you will be able to see and approve the recommended and calculated hurdles for the pre-defined date range and the selected Yield Category, for the Room Type/Rate Code combination. You can also manually override the hurdles and their expiry date.

• LOS. Hurdle Length of Stay.
• Amount. Hurdle Amount for the LOS and selected date.

  Note: If a specific LOS caused an alert to be triggered, the hurdle amount will be highlighted in the custom color that has been selected when configuring the alert in Configuration Tab Alerts and Rules.

• Override. This is the field for the overwritten hurdle amount. If you want to override the current amount, enter the new hurdle amount in the field.
• Status. The status of the hurdle rate, either OPEN or CLOSE, for all LOS 0- Max. The status of OPEN or CLOSE displays for the:
  • Current - Status of the hurdle rate based on the currently active hurdle in Opera.
  • System - Status of the hurdle rate based on the ORMS generated hurdle rate.
  • User - Status of the hurdle rate based on the overridden amount by the user.
• Promo. Promotion hurdle amount.
• Ceiling. Hurdle Ceiling amount. This is the maximum hurdle for the given date/Yield Category and the hurdle rate will never be above this ceiling rate. The Hurdle Ceiling will get set to a lower amount when the demand is low in order to prevent hurdles from increasing dramatically with the decrease of the remaining forecast. It will be set automatically by ORMS and no additional configuration is required.

  Note: If (OOO) is displayed in red next to the Ceiling header, it indicates for this particular date the OOO (out-of-order) rooms are not taken into consideration when calculating the hurdle ceiling. The setup for this can be done through the Batch Override screen, described above.

• Approved. The approved check box indicates if the hurdle amount or override hurdle amount is approved or not. In order to approve a hurdle that is missing the checkmark and not selected, you will have to use the Approve All button.

  Note: All hurdles need to get approved as they are, or else overridden, as otherwise Opera will not have any hurdle displayed for the given date, Yield Category, and LOS.

• Expiry Date. This is the date when the approved override hurdle rate expires for this date, Yield Category, and LOS. You may manually enter and override the expiration date.

  Note: The system will automatically set the hurdle amount back to the system generated amount once the expiration date has passed.

Overbooking

Available when the Rooms Management>Overbooking application function is set to Y in PMS for the property, on the Overbooking section you will be able to see and approve the recommended and calculated overbooking for the pre-defined date range and the selected Yield Category, for the Room Type/Rate Code combination. You can also manually override the overbooking amount and their expiry date.

• Rooms. This number represents the amount of Overbooking rooms that has been set by ORMS for the selected date.

  Note: If a specific Overbooking caused an alert to be triggered, the Overbooking amount will be highlighted in the custom color that has been selected when configuring the alert in Configuration Tab Alerts and Rules.

• Override. This is the field for the overwritten overbooking amount.
• Expiry Date. This is the selected date when the approved override Overbooking amount expires for this date. You may manually enter and override the expiration date.

  Note: The system will automatically set the Overbooking amount back to the system generated amount once the expiration date has passed.

Approved. The approved checkbox displays if the overbooking amount or override overbooking amount is approved or not. In order to approve an overbooking that is still missing the check, the user will have to use the Approve All button.
