Working with Inventory Transactions in Batch Mode (WITB)

Purpose: Use the Work with Inventory Transactions/Batch menu option to enter transactions that require review and approval before you process them. Although your company can create additional transaction types, inventory transactions typically include:

• adjusting the on-hand quantity of an item (such when the item has been damaged)

• returning an item to the vendor

• transferring items between warehouses

• increasing the quantity of a finished good and decreasing the quantity of its components

You can also work with inventory transactions in immediate mode. See Working with Inventory Transactions in Immediate Mode (WITI).

Note: You cannot process an inventory transaction in immediate mode for an item/SKU if there is an open batch with a transaction for that same item/SKU. You need to delete or process the batch before you can process any other transactions for the item/SKU.

Understanding Batch Processing

Batch mode process: Use batch mode to enter large numbers of inventory transactions and hold them until they are approved. Batch processing may consist of the following steps:

1. Someone identifies an item that requires a transaction. For example, an item needs to be moved to another warehouse.

2. This person completes any necessary paperwork.

3. A data entry person takes the paperwork for several transactions and enters them into the system.

4. A supervisor checks the entry and approves and processes the batch, leaves the batch as is until more transactions are added to it, or puts the batch on hold.

You can change the status of the batch as many times as you need. No updates take place until you choose to process the batch.

Batch statuses: Possible batch statuses are:

Open = The status of a batch when you first create it. An open batch is available for entry or change.

Active = Indicates that someone is currently working with this batch. The batch is locked to other users until this person is done.

Hold = No activity can take place against a held batch. The batch must be released before anyone can work with it.

Additionally, you might see a batch in one of the following statuses for a brief time.

Printing = The batch is currently being printed.

Submitted = The batch has been submitted for processing; it is no longer available for activity.

Steps in the process: There are several approval steps that must take place while you are working on a batch.

Release = Release the batch from "hold" to make it accessible for change or entry.

Approve = Approve a batch to make it eligible for processing.

Process = Release the batch for system processing. The system performs the inventory transactions and updates, then deletes the batch.

Warning about Conflicting Jobs

A warning pop-up window indicates if Pick Slip Generation or Location Replenishment is active (in the Active Procedures table).

Reason: The warning pop-up window opens because each of these options affect inventory at the location level in the warehouse, as does the current option you are trying to use.

Responding to the warning: Select OK to use the option anyway, or select Exit to perform the inventory transaction by batch at a later time when the other jobs are finished running.

Note: The warning pop-up window(s) opens again if you entered a new inventory transaction, then selected Process to process it. You can select OK to continue or Exit to wait to process the transaction until the conflicting job has finished.

Inventory Transaction Codes and Reasons

Types: There are two types of codes used during inventory transactions: inventory transaction codes and inventory transaction reason codes. Both are created by your System Administrator according to your company's needs.

Transaction codes: Inventory Transaction codes tell the system:

• whether the transaction has a positive (+) or negative (-) effect on inventory

• the General Ledger account number to updated as a result of this transaction

• whether a reason code is required

Certain inventory transaction codes that are delivered with the system are available for batch inventory transactions. You can also create your own codes. You cannot delete the system-delivered codes; however, you can change the General Ledger account associated with a code, or whether a reason code is required.

The table below lists the system-supplied codes.

Code

Description

Effect on Inventory Levels

A

Adjustment

Increases on-hand if you enter a positive quantity.

Decreases on-hand amount if you enter a negative quantity.

G

Item-to-item transfer

Increases on-hand amount of the target item.

Decreases on-hand amount of the source item.

M

Make Up Set

Increases on-hand amount for the finished good item.

Decreases on-hand amount for the components.

T

Transfer

Increases on-hand amount in the target warehouse/location.

Decreases on-hand amount in the source warehouse/location.

V

Return to Vendor

Decreases on-hand amount if you enter a positive quantity.

Increases on-hand amount if you enter a negative quantity.

O

On-hand

Overrides on-hand amount to the amount you entered.

Note: Item-to-item transfers (G) and resets to on-hand quantity (O) are not allowed if you use FIFO Costing.

For a discussion of the general ledger postings for each of these transactions, see General Ledger Overview.

Transaction reasons: Transaction reason codes describe why a specific transaction is being performed. You can establish these codes through the Work with Inventory Transaction Reasons menu option. You can specify whether a reason is required for each inventory transaction type.

For more information: See Work with Inventory Transaction Codes (WITC), and Work with Inventory Transaction Reason Codes (WIT1).

Create Item Transaction Batch Window

To create: Select Create at the Work with Inventory Trans Batches Screen. The Create Item Transaction Batch window displays the batch number, the date created, and the user ID of the person creating the batch.

Select entry method: The three screen formats available for batch inventory entry are:

Line screen entry = Allows you to enter or modify a single line at a time. The system validates each line upon entry. You advance to line entry as the default; from here you can select other entry formats. See First Inventory Transactions Screen (Line Entry).

Full screen entry = Facilitates data entry when you are working from a form and do not require immediate validation of each line as you enter it. This format is appropriate if you are entering transactions that all occurred in the same “from” warehouse and you do not need to enter a General Ledger account number or a company number. See Second Inventory Transactions Screen (Full Screen Entry).

Horizontal screen entry = Facilitates entering the same transaction for multiple SKUs of an item. Once you enter the item, first SKU element, and information about the transaction you want to enter, you advance to a second screen with all the SKUs for the item. You cannot use horizontal entry for warehouse or location transfers, or for items that do not use all three SKU elements. See Inventory Transactions/Horizontal Entry Screen 1.

First Inventory Transactions Screen (Line Entry)

Description: Line screen entry allows you to enter a single item at a time. As you enter each item, the system validates your entries, and adds each transaction line below the entry fields.

How to display this screen: This screen opens automatically when you create a batch (by selecting Create), or when you select the option to work with a batch (by selecting Work with for an existing batch) at the Work with Inventory Trans Batches Screen.

Field

Numeric, 7 positions; display-only, assigned by the system.

Total quantity

The total number of units entered in the batch.

Numeric, 7 positions; display-only.

Code

A code used during inventory transactions to identify the type of transaction being performed. These codes are defined in and validated against the Inventory Transaction Code table. The following system-defined codes are available in batch inventory transaction processing:

A = Adjustment

M = Make Up Finished Good

O = On-hand

T = Transfer

V = Return to Vendor

You can also create and use your own codes. See Inventory Transaction Codes and Reasons.

Alphanumeric, required.

Item

A code that represents a unit of inventory. Item codes are defined in and validated against the Item table.

Alphanumeric, 12 positions; required.

Item description (Unlabeled field below the item on the line entry screen)

The description associated with the item. This field is included if the Display Item Description (D45) system control value is selected.

Alphanumeric, 40 positions; display-only.

The item's unique characteristics, such as its size and color. SKU codes are defined in and validated against the SKU table.

Alphanumeric, three 4-position fields; required if the item has SKUs.

Quantity

The number of units that this transaction affects. For an adjustment (A code), or return to vendor (V) you can enter a positive or negative quantity. To enter a negative quantity, use Field Minus on the numeric keypad.

Note: You cannot enter a transaction that will make the on-hand quantity negative.

Numeric, 8 positions; required.

Note: A transfer transaction (T code) requires that you fill in the warehouse and location of the item (the From fields), and the location you are transferring the item to (the To fields), but for all other transactions only fill in the From fields. If you are performing a transfer, the From Item Location record must exist.

-- From Fields --

Whs (Warehouse)

A code for the warehouse where the item is located. Warehouse codes are defined in and validated against the Warehouse table; see Creating and Maintaining Warehouses (WWHS).

The Default Warehouse (A04) from the System Control table defaults, but you can override it.

Numeric, 3 positions; required.

Location

The code for the area of the warehouse that contains the item.

The location code is validated against the Location table and the Item Location table. If the item location specified does not exist, you can create it by selecting Create Loc and advancing to the Create Item Location Screen.

Select OK to display a default location, determined by the following system control values:

Default Primary Location (C05)): defines whether the primary location from the SKU table defaults if the specified warehouse is the item warehouse in the SKU table.

Default Primary Location from an Item Warehouse (G06): defines whether a primary location for the item in any specified warehouse defaults; in this case the system will default the first primary location, in alphanumeric order, for the item in the specified warehouse. This system control value overrides Default Primary Location (C05).

If the system cannot find a primary location for an item in the specified warehouse, an error message indicates:

No Default Location was found. Please enter a Location.

Typically the location code is composed of a single alphanumeric character for Zone, and two numbers each for Aisle, Shelf, and Bin. For instance, the location A010201 indicates:

Zone Aisle Shelf Bin

A 01 02 01

Alphanumeric, 7 positions; required.

--To Fields--

Cmp (Company)

A code for the company to receive the item. Your current company defaults.

Numeric, 3 positions, required.

Whs (Warehouse)

A code for the warehouse to receive the item.

Numeric, 3 positions; required.

Location

The code representing the area within the warehouse to receive the item. The location code is validated against the Location table and the Item Location table. If the item location specified does not exist, you can create it by selecting Create Loc and advancing to the Create Item Location Screen.

An error message indicates that you entered a location whose location class does not match the location class defined for the item and the Allow Location Class Edit in Inventory Transaction (F86) system control value is selected:

Item is not compatible with Location.

Reas (Reason)

A code for a reason to perform an inventory transaction. Reason codes are defined in and validated against the Transaction Reason Code table. Typical reasons could be that the item is damaged, miscounted, etc. You can also create and use your own codes. See Inventory Transaction Codes and Reasons.

Numeric, 2 positions; may be required depending on the type of transaction.

ID#

The identification number or text associated with this inventory transaction. This information appears in inventory transaction history; see Display Inventory Transaction History (DITH).

Alphanumeric, 10 positions; optional.

G/L Acct# (General Ledger account number)

The General Ledger account number to which this transaction will post. The extended cost of the item posts here. General Ledger account numbers are defined in and validated against the General Ledger table; see Working with G/L Accounts (WGLA).

Authority to this field is controlled by the Secure G/L Number Field Access (A84) secured feature. If you do not have proper authority, this field is display-only.

Numeric, 8 positions; optional.

PO#

The purchase order number to associate with the inventory transaction history and with a FIFO layer, if you use FIFO Costing.

The system validates that the item for the transaction appears on the purchase order whose number you enter; otherwise, it displays an error message.

You can enter a purchase order number only for an adjustment (A) transaction, and only if you have the proper authority. Authority to this field is controlled by the Allow Entry of PO Number in Inventory Transactions (A86) secured feature.

Numeric, 7 positions; optional.

Instructions:

1. Complete the fields. If you need to enter a negative quantity, use Field Minus on the numeric keypad. If the designated location does not exist, the system prompts you to create it by selecting Create Loc.

2. Once the transaction is accepted, it appears below the entry lines, and the system:

• creates an inventory transaction work record

• selects the Pending transaction flag for the item location

• increases the Pending transaction quantity for the item location by the transaction quantity

Note: You cannot process an inventory transaction in immediate mode for an item/SKU if there is an open batch with a transaction for that same item/SKU. You need to delete or process the batch before you can process any other transactions for the item/SKU.

The screen is laid out as follows:

• The top of the screen contains header information, such as the warehouse, batch, item number, the primary SKU, reason code, total quantity, and the item description. These are all display- only fields.

• The left side of the screen lists the characteristics associated with the second SKU element; the row in the middle of the screen lists the characteristics associated with the third SKU element. These attributes form a matrix where you can enter the quantity and the location for each inventory transaction.

How to display this screen: Complete the Inventory Transactions/Horizontal Entry Screen 1

Field

Description

Qty (Quantity per location)

The number of units involved in the inventory transaction for the style of the item (combination of SKU elements 2 and 3).

Numeric, 5 positions, required.

Location

The area in the warehouse that contains the item.

The location code is validated against the Location table and the Item Location table. If the item location specified does not exist, you can create it by selecting Create Loc and advancing to the Create Item Location Screen.

A location may default, determined by the following system control values:

Default Primary Location (C05): defines whether the primary location from the SKU table defaults if the specified warehouse is the item warehouse from the SKU table.

Default Primary Location from an Item Warehouse (G06): defines whether a primary location for the item in any specified warehouse defaults; in this case the system will default the first primary location, in alphanumeric order, for the item in the specified warehouse. This system control value overrides Default Primary Location (C05).

The following message indicates that you entered a location whose location class does not match the location class for the item and the Allow Location Class Edit in Inventory Transaction (F86) system control value is selected:

Item is not compatible with Location.

Alphanumeric, 7 positions; required.

Instructions:

1. Complete the fields for each required SKU. If the designated location does not exist, the system prompts you to create it by selecting Create Loc.

2. Select Accept. The system validates your entries and highlights any fields you need to correct. Note that you must reconcile all the outstanding units for the item before you can accept the transaction. For example, if there are 500 units to place, you must place all 500 across all the SKUs. You return to the Inventory Transactions/Horizontal Entry Screen 1.

Note: You cannot process an inventory transaction in immediate mode for an item/SKU if there is an open batch with a transaction for that same item/SKU. You need to delete or process the batch before you can process any other transactions for the item/SKU.

Serial numbers: If the transaction affects the total on-hand quantity for a serial numbered item in your warehouse, you advance to the Enter Serial Numbers Screen.

Enter Serial Numbers Screen

Purpose: Use this screen to enter the serial number of each unit of the item affected by the inventory transaction. Assigning serial numbers allows you to track activity, such as receipts or shipments, for individual units of an item.

You must enter serial numbers for each unit of an item affected by an inventory transaction if the item's Serial #'s (Serial numbers) flag is selected and if the transaction affects the total on-hand quantity within a warehouse. In other words, transfers from one location to another in the same warehouse do not require serial number entry.

See Entering Additional Item Information for an overview of how serial numbers are tracked through the system.

Important: Until you approve and process the batch, the serial numbers you enter here are flagged as being “in use.” This status prevents the system from accepting these serial numbers for any other type of transaction.

How to display this screen: Enter an inventory transaction, using the First Inventory Transactions Screen (Line Entry), Second Inventory Transactions Screen (Full Screen Entry), or Inventory Transactions/Horizontal Entry Screen 2, if the transaction will affect the total on-hand quantity of the item in the warehouse.

Field

Description

Serial #s (Serial numbers)

The serial number(s) of each unit of the item or SKU affected by the transaction. This screen provides a field for entry of a serial number for each unit.

Alphanumeric, 20 positions each field; required.

Instructions:

1. Enter the serial number for each unit of the item affected by the transaction in each field provided.

2. The system highlights any serial number fields that are not complete, or that are invalid (see below for examples). Complete or correct any fields as needed.

3. Select Accept to submit the serial number entry; otherwise, select Reject to reject and return to the previous screen.

Note: You will not be able to complete the transaction until you complete each serial number field on this screen.

Serial number validation: The system validates that each serial number you enter for this item is appropriate for the transaction. This validation varies depending upon whether the transaction will increase or decrease the total on-hand quantity of the item within a warehouse, as follows:

On-hand quantity increases: The serial number(s) you enter cannot already exist for the item. For example, adjustments to increase on-hand (transaction code A) or resetting the on-hand quantity to a higher quantity (transaction code O) would require that you enter the new serial numbers for the item in the warehouse.

on-hand quantity decreases: The serial numbers you enter must exist for the item in the correct warehouse, and must be on-hand. Serial number statuses that indicate the unit is on-hand are C (customer returns) and R (received). For example, if you are returning a unit to the vendor (transaction code V) or transferring units to a different warehouse (transaction code T), the system confirms that the serial number(s) are currently on-hand in the affected warehouse.

Review Inventory Transactions Screen

Purpose: Select Accept from the First Inventory Transactions Screen (Line Entry) or Second Inventory Transactions Screen (Full Screen Entry) or Inventory Transactions/Horizontal Entry Screen 2 to review and work with batches. Here, you can change, delete, or display the inventory transactions.
