Chapter 40: Working with Direct Tech Tape Upload

Purpose: You can process address updates you receive on tape from Direct Tech through CWDirect's merge/purge function. Just as a merge/purge uses your existing customer files to compare customer records and uses the best, most recent information, a merge/purge using data from Direct Tech indicates which of your existing customer records can be merged with related records from the Direct Tech tape and then purged. There are three steps to the process:

1. Upload the tape. See Load Direct Tech Tape Screen (MPTP).

2. Edit individual records as needed and submit the tape information to the merge/purge process. See Work with Direct Tech Records Screen (MCTE).

3. Use Working with Merge/Purge Sold-to Names (MMCS) to complete the merge/purge process.

Field

Description

Enter tape drive

The tape drive on your system where the Direct Tech tape is located. The device name you enter is validated against those defined on your system.

Alphanumeric, 10 positions; required.

Record length for Direct Tech tape

The record length used on the Direct Tech tape. The length is set by the system at 13.

Numeric, 2 positions; display-only.

Step-by-step instructions:

1. Enter the name of the tape drive where the tape is located in the Enter tape drive field.

2. Press F9 to process the upload. A message displays at the bottom of the screen informing you that the system is awaiting the tape load.

3. At the Work with User Jobs or Work with Submitted Jobs screen, the job will be in a message wait status. Enter 7 next to the job to respond to the message.

4. Enter G to continue processing the upload; otherwise, enter C to cancel.

5. If there are any errors during the process, or if you entered C to cancel, the system creates an error log. You can enter C again to cancel.

6. A message displays at the Load Direct Tech Tape Screen (MPTP) informing you of whether the process was successful. The system creates the Customer Merge/Purge Tape file (CMPTAP).

Use the Work with Direct Tech Records Screen (MCTE) to work with merge/purge records uploaded from the Direct Tech tape to the Customer Merge/Purge Tape file, or submit the records to Working with Merge/Purge Sold-to Names (MMCS).

Work with Direct Tech Records Screen (MCTE)

Purpose: Use this screen to work with merge/purge records uploaded from the Direct Tech tape to the Customer Merge/Purge Tape file, or submit the records to the Merge/Purge Customer Sold To function. See Working with Direct Tech Tape Upload.

How to display this screen: Enter MCTE in the Fast path field at the top of any menu, or select Customer Merge/Purge Tape Edit from a menu.

Description

Target customer

This number identifies the customer record to have relevant information from the source customer appended.

Numeric, 9 positions; optional.

Source customer

This number identifies the customer record whose relevant information will be merged into the target customer record.

Numeric, 9 positions; optional.

Save ghost?

This value indicates whether the source customer record should be retained on the system as a "ghost" record. This field is not currently implemented. The system does not validate the value in this field.

Alphanumeric, 1 position; display-only.

Error type

This value indicates what type of error, if any, is associated with the merge/purge record. The description displays to the right.

Valid values are:

B = Both target customer and source customer not found. The customer number of the target and source customer does not match an existing customer in your company.

F = Target customer is a fraud customer. The system looks at the Hold/bypass/fraud field in the Customer Sold To file to determine if a customer is a fraud. If the Hold/bypass/fraud field for the target customer is set to F, the target customer is a fraud customer.

G = Source customer is a fraud customer. The system looks at the Hold/bypass/fraud field in the Customer Sold To file to determine if a customer is a fraud. If the Hold/bypass/fraud field for the source customer is set to F, the source customer is a fraud customer.

 

H = Both the target and the source customer are fraud customers. The system looks at the Hold/bypass/fraud field in the Customer Sold To file to determine if a customer is a fraud. If the Hold/bypass/fraud field for both the target and the source customer is set to F, both customers are fraud customers.

S = Source customer not found. The customer number of the source customer does not match an existing customer in your company.

T = Target customer not found. The customer number of the target customer does not match an existing customer in your company.

Type: alphanumeric, 1 positions; display-only.

Description: alphanumeric, 25 positions; display-only.

Target type (old/new)

This value indicates whether the target or source customer record was created earlier.

Valid values are:

O = Old: The target customer record was created earlier.

N = New: The source customer record was created earlier.

Alphanumeric, 1 position; display-only.

Screen Option

Procedure

Change a merge/purge record

Enter 2 next to a record to advance to the Edit Unloaded Tape Details Screen.

Delete a merge/purge record

Enter 4 next to a record to delete it from the file immediately.

Display the target customer

Enter 7 next to a record to advance to the first Display Customer Sold To screen. See Chapter 34: Reviewing Customer History of the Customer Service manual.

Display the source customer

Enter 8 next to a record to advance to the first Display Customer Sold To screen. See Chapter 34: Reviewing Customer History of the Customer Service manual.

Submit the records to the Merge/Purge Customer Sold To process

Press F7. See Submitting the Names to Merge/Purge.

Delete each record in the file

Press F8. See Clearing the File.

Print a list of records in error

Press F21 to print the Customer Merge/Purge Direct Tech Error List Report.

Edit Unloaded Tape Details Screen

Purpose: Use this screen to change the details of a merge/purge record that is in error.

How to display this screen: Enter 2 next to a merge/purge record at the Work with Direct Tech Records Screen (MCTE).

About this screen: Each field on the Edit Unloaded Tape Details screen is described under Work with Direct Tech Records Screen (MCTE).

Step-by-step instructions:

1. Complete both customer number fields. It is not necessary to complete the Save source as ghost field.

2. The system replaces the existing merge/purge record with the information you entered, and returns you to the Work with Direct Tech Records Screen (MCTE).

Note: The system does not validate either customer number on this screen.

Submitting the Names to Merge/Purge

Purpose: At the Work with Direct Tech Records Screen (MCTE), you can submit the contents of the Customer Merge/Purge Tape file to the Merge/Purge Customer Sold To function by pressing F7. The system displays the Submit Generation pop-up window.

This value indicates whether the source customer record should be retained on the system as a "ghost" record. This field is not currently implemented. The system does not validate the value in this field.

Process fraud customers

This value indicates whether the system submits customers that contain a fraud error type (F, G, or H) to the Merge/Purge Customer Sold To function.

Valid values are:

Y = The system submits customers that contain a fraud error type to Working with Merge/Purge Sold-to Names (MMCS).

N = The system does not submit customers that contain a fraud error type to the Merge/Purge Customer Sold To function.

Alphanumeric, 1 position; required.

Max. customers to merge

This value indicates the maximum number of source customers you wish to process.

When the system reaches the maximum number, the system finishes processing the target customer and ends.

Leave this field blank if you wish to submit all available records.

Numeric, 7 positions; optional.

Step-by-step instructions:

1. Complete the necessary fields. It is not necessary to complete the Save source as ghost field, as this option is not currently implemented.

2. The system displays a message similar to the following indicating that the Merge/Purge Customer Sold To function has been submitted:

 

Job (DIR_TECH) has been submitted to batch.

 

When you submit the Merge/Purge Customer Sold To function, the system:

• creates a record in the Customer Merge/Purge Target and Customer Merge/Purge Source files for each record that was not in error when you submitted the records to the merge/purge process. The system processes records that are in a fraud status (the record contains an F, G, or H status) if the Process fraud customer field is set to Y.

• generates the Customer Merge/Purge Direct Tech Audit Report, which lists each record that was processed. Any records that were not processed remain in the Customer Merge/Purge Tape file.

Clearing the File

Purpose: At the Work with Direct Tech Records Screen (MCTE), you can press F8 to clear the file. It is necessary to clear the file only if there are problems with the contents of the file and you want to replace it; in normal processing, the system clears the file when it converts the information to CWDirect merge/purge records. When you press F8, the Confirm Delete pop-up window displays.
