Working with State Shipping Matrix (WSSM)

Purpose: The State Shipping Matrix function allows you to define shipper assignments and freight charges based on ship-from and ship-to state combinations. The associated Company record is referenced for the appropriate ship-to state.

The State Shipping Matrix is used when the Use State Shipping Matrix (B12) system control value is set to Y and the source code uses a line-level freight method, such as

• Flat Rate by Item (FI)

• Flat Rate/Quantity (FQ)

• Flat Rate/Item Source (FS)

• Item (I)

• Weight (W)

The system verifies that a record exists in the State Shipping Matrix for the ship-to state combination on the order. If a record does not exist, the Source Code-level freight method is used. If a record is found, the information defined in the matrix record will be used to override the ship via assigned on the order and/or to calculate shipping charges.

Calculating: To calculate current line freight charges, the system performs a lookup against the record for the ship-to state and uses the value in the Frt % field. The calculation is based on the merchandise total on the order detail line.

Calculation: (Order qty x Price) x Freight % = Line freight chg.

 

Note: The system will use the value in the Min Frt field if the calculated freight charge is under the minimum amount.

To calculate additional freight charges: The system calculates an additional freight charge if a value is present in the Add'l % field. The calculation is based on the merchandise total on the order detail line.

Calculation: (Order qty. x Price) x Add'l % = Line additional chg.

Vendor drop ship items: If a minimum freight charge is defined on the State Shipping Matrix record the freight charge for vendor drop ship items is calculated by totaling the merchandise amount for the drop ship items from the same vendor and multiplying this total by the Frt%.

The system validates this freight charge against the value in the Min Frt field.

Note: The difference between the calculated freight charge and the Min Frt value is added to the Freight + field in Order Entry.

About the state shipping matrix: The first time you select the State Shipping Matrix option, the system displays the Work with State Shipping Matrix Screen (Add Mode). The next time you select this option, the system displays the Work with State Shipping Matrix Screen (Change Mode), because you have already created at least one state shipping matrix.

Note: A state shipping matrix will override a ship via selection made at the Alternate Shipping Charges by Via Window.

How to display this screen: Enter WSSM in the Fast Path field at the top of any menu or select Work with State Shipping Matrix from a menu.

Description

From state

The state from which the carton is shipped. State codes are defined in and validated against the state file, which is accessible through the Work with Countries menu option; see Customer Service Setting Up the Country File (WCTY).

The state to which the carton is shipped.

Alphanumeric, 2 positions; display-only.

Preferred

A code that represents the preferred shipper.

Numeric, 2 positions; optional.

Truck

A code that represents a type of shipper.

Frt % (Freight percent)

The percentage at which freight is calculated.

Numeric, 5 positions with a 2-place decimal; optional.

Min frt (Minimum freight)

A code that represents the minimum freight charge for shipments between this combination of states.

Numeric, 7 positions with a 2-place decimal; optional.

Add'l % (Additional percent)

The percentage by which an additional freight charge is calculated.

Description

From state

The state from which the carton is shipped. This may represent the state in which the warehouse is located or the state in which the drop ship vendor is located. The warehouse state is defined in the Warehouse file; the drop ship vendor's state is defined in the Vendor file. See Warehousing Creating and Maintaining Warehouses (WWHS) and Merchandising Working with Vendors (WVEN).

Alphanumeric, 2 positions; optional.

To state

The state to which the carton is being shipped. This is the ship-to address on the order.

Alphanumeric, 2 positions; optional.

Ship via overrides (preferred, truck):

Preferred

This value overrides the Ship Via code previously defined in the Ship Via file.

Numeric, 2 positions; optional.

Truck

A code that represents a truck ship via. The system will use the truck ship via as an override on the order line if the line item (defined in the Item file) is a required truck item. A different type of manifest or bill of lading is produced for truck carriers.

Numeric, 2 positions; optional.

Frt %

The percentage at which freight is calculated against the total merchandise dollars on orders being shipped from and to the states displayed on the screen.

Numeric, 5 positions with a 2-place decimal; optional.

Min frt (Minimum freight)

The minimum freight charge for shipments between this combination of states. The calculated freight charge will be adjusted to this minimum amount, if necessary.

Numeric, 7 positions with a 2-place decimal; optional.

Add'l % (Additional percent)

The percentage by which an additional freight charge is calculated for this combination of states.

• This percentage is based on the total merchandise dollars on the order.

• This charge will be added to each order for this state-to-state combination. This value appears in the Freight + field in Order Entry.

• This value is based on how the order is being shipped and where the order is being delivered. For example, although the order is being delivered by a standard carrier, if it's going to a rural area, there may be an additional charge for this delivery.

Changing a State Shipping Matrix

Change a state shipping matrix: At the Work with State Shipping Matrix Screen (Add Mode), press F6 to return to Work with State Shipping Matrix Screen (Change Mode).

The first time you select the State Shipping Matrix option, the system displays the Work with State Shipping Matrix Screen (Add Mode). The next time you select this option, the system displays the Work with State Shipping Matrix Screen (Change Mode) because you have already created at least one state shipping matrix.

Once you have created that first state shipping matrix, F6 acts as a toggle that allows you to switch between the Add Mode and Change Mode screens.
