You can share a link to an object by:
Emailing the link URL. For steps, see To email a link to an object.
Displaying and copying the link URL. For example, you create a document with sales data for several different product categories. You can add a link in the document to a report with detailed sales information for a specific product category. When the user clicks on the link, the report automatically opens and is displayed to the user. For steps, see To obtain the URL of an object.
Automatically generating HTML code that contains the link URL, and copying the HTML. Once you generate this code, you can embed it in a web page to display the object. You can specify the size of the iFrame, and choose to hide specific sections of a report, document, or quick dashboard, such as the toolbar or header. For example, you can display a report with sales data in an iFrame that is 500 pixels wide and 300 pixels tall, with no navigation bar. For steps, see To automatically generate HTML code.
The link contains the ID of the object and any changes that were made since the original was opened. For a report, document, or quick dashboard, the link also contains any prompt answers. When a user clicks a link URL for:
A report, document, or quick dashboard, the object is executed.
A folder, the folder opens.
Another object, such as a filter or prompt, the object opens in its editor (Filter Editor, Prompt Editor, and so on).
Before you share the link, you can edit the object's access control list (ACL) to determine which users and user groups have permissions such as view and modify. For steps, see Share dialog box.
You can view your shared links on the My Subscriptions page, in the Shared Links area, by clicking the name of the shared link. You can also use the My Subscriptions page to remove shared links and change their names. For steps, see To edit a shared link.
You can email a link from the folder location of an object, or when a report, document, or quick dashboard is executed. Do one of the following:
Navigate to the folder location of the object. Right-click the object, and select Share.
From an open report, document, or quick dashboard, click the Share icon on the Home toolbar.
The Share dialog box opens.
If you want to change permissions for users and user groups, follow the steps in Share dialog box.
Click Email Link. Your email editor opens. The subject line of the email is "Link to:", followed by the name of the object. The message contains the same text, followed by the actual link in the next line.
Type the recipient. Add to or change the subject line and message, if desired.
Click Send to send the message and return to the Share dialog box.
Click Close to close the Share dialog box and return to the folder.
You can obtain the URL from the folder location of an object, or when a report, document, or quick dashboard is executed. Do one of the following:
Navigate to the folder location of the object. Right-click the object, and select Share.
From an open report, document, or quick dashboard, click the Share icon on the Home toolbar.
The Share dialog box opens.
If you want to change permissions for users and user groups, follow the steps in Share dialog box.
Click Show Link. The URL of the object is displayed below the Sharing Options. Highlight the URL, then press CTRL + C to copy the link to the clipboard.
Click Close to close the Share dialog box and return to the folder.
To add a link to a text field or image
Open the document in which you want to create the link in Design or Editable Mode.
To use a text field for the hyperlink, complete the following steps:
From the Insert menu, select Text.
Click in the section of the document where you want to place the text field. If you click and drag in the section, you can size the text field.
Type the text to be displayed to users into the text field.
To use an image for the hyperlink, complete the following steps:
From the Insert menu, select Image.
Click in the section of the document where you want to place the image. If you click and drag in the section, you can size the image. The Properties and Formatting dialog box opens.
Type the address of the image file to insert in the Source field.
Click OK. The image appears in the document.
Right-click the image or text field and select Properties and Formatting. The Properties and Formatting dialog box opens.
From the left, select General.
Select the Is Hyperlink check box.
Press CTRL + V to paste the URL in the Hyperlink field.
Click OK. The link is added to the document.
You can generate HTML code from the folder location of an object, or when a report, document, or quick dashboard is executed. Do one of the following:
Navigate to the folder location of the object. Right-click the object, and select Share.
From an open report, document, or quick dashboard, click the Share icon on the Home toolbar.
The Share dialog box opens.
If you want to change permissions for users and user groups, follow the steps in Share dialog box.
Click Show HTML. The HTML is displayed below the Sharing Options.
To specify options such as the height and width of the iFrame in which you want to display the object, perform the following steps:
Type the width of the iFrame in the Width field.
Type the height of the iFrame in the Height field.
For each section of the report, document, or quick dashboard, do one of the following:
To display the section when the report, document, or quick dashboard is displayed in the iFrame, clear the check box next to the section.
To hide the section when the report, document, or quick dashboard is displayed in the iFrame, select the check box next to the section.
The HTML code for the iFrame is displayed in the field. Highlight the code, then press CTRL + C to copy the link to the clipboard.
Click Close to close the Share dialog box.
From the Auto Delivery menu, select Subscriptions. Ensure that your User name is displayed in the Owner box to ensure that your subscriptions, personal views, and shared links are displayed.
To delete a shared link, select the check box in the Unsubscribe column and then click Unsubscribe.
To change the name for a shared link, do the following:
Click the Edit icon for the shared link. The Subscription page for that shared link opens.
Change the Name of the shared link.
Click OK to save your changes.
