Attaching Document Files

EnterpriseTrack allows you to attach document files to various objects within the system. Documents can be attached to Ideas, Charters or Proposals, Project Issues, Project Notes etc.

  1. Click the Create button on the of the Documents section of the appropriate page.
  2. Enter the relevant information in the Add a New Document page.
  3. You must enter a name for the document.
  4. For documents that are being added within the context of a project (E.g., to a project note), you may also have the option of selecting a Storyboard Document Mapping. This will determine if and where the document is included when project information is exported to Microsoft PowerPoint.
  5. Enter the complete path to the document location, or use the Browse button to locate it on your machine or the network. You can also enter a fully qualified URL if the document is hosted external to the system.
  6. For documents that are being added within the context of a project or proposal, you will be able to specify whether a document is confidential or not. You can create a list of users who are allowed to view confidential documents.  
  7. Click Add Document to add the document to the selected object.
  8. The added document will be listed in the Documents section of the appropriate page.

    Note: In some cases you may not be required to complete the Add a new Document page and may be able to just browse to a document location to attach a file.

Editing and Deleting Documents

  1. To edit the document, click the Edit link in the Action column.
  2. Make the appropriate changes. You will not be able to change the name of the document.
  3. You can click on the View Revision History link to see a list of the different versions of this document.
  4. Click the Update Document button to save your changes.
  5. Click the Delete Document button to delete the document. When a document is deleted, its revision history is also deleted.

Downloading a Document

Documents attached to specific objects are displayed in the Documents section on the appropriate pages. For example, a document attached to a project note can be downloaded from the View/Edit Project Note page.

  1. To download the current version of the document, click the Current link in the download column.
  2. To view a history of the revisions made to the document click the Revisions link. From this page, you may download prior versions of the document by clicking on the link under File Name/URL.
