Using Task Assist and Progress Guide (Cloud Only)

If your Company Administrator enabled Task Assist and Progress Guide with AI, the system automatically activates and structures an AI panel for workflow BPs (this feature is not available for non-workflow BPs). The AI panel adds Task Assist and Progress Guide tabs to individual workflow BP records and tasks. You can use these tabs to answer questions such as:

Summaries are retained for 30 calendar days.

When your administrator enables access to Task Assist and Progress Guide, it is provided globally, throughout the system, and the administrator does not have to update specific permissions for individual users. However, the permissions assigned to specific users and workflow BPs determine what information is displayed when the AI options are accessed. The permissions also determine what information is actionable and what is designated read-only.

Details About Task Assist

Task Assist provides a different summary based on where you are in the progress of the workflow BP. For example, the first time you access Task Assist, it uses the Create step to generate a summary and describe what you should do next. As the BP moves through the workflow, Task Assist generates a new summary based on the previous step. If you are accessing a previously accessed step, Task Assist highlights what changed from the first time you accessed it, such as new comments or attachments.

Access to the summary is hidden after the BP proceeds to the next step in the workflow. If the BP does not move to the next step for 30 days, the summary is deleted, and you can generate a new one.

Details About Progress Guide

Progress Guide displays a summary of all steps in the workflow, whether it is in progress or is complete.

Any changes to a step in the workflow trigger deletion of the summary for that step. Summaries for previous steps are hidden after 30 days, no matter how long it takes to complete the BP workflow. If the workflow moves from a Complete status to In Progress, an Action Form initiates a change in the status, or the Audit Log notes more changes, the summary highlights the changes for you.
