Edit Email Notification Templates

You can edit the email notification templates that Knowledge Advanced uses to notify users of recent updates or pending tasks and events.

To edit email notification templates:

  1. On the Tools tab, click Configure under Tasks and Notifications.

    Knowledge Advanced displays a list of email notifications.

  2. Select the template you want to edit.

    The selected notification template displays.

  3. Select or clear the checkbox next to Enable email notifications for this task to enable or disable this notification.

  4. Enter your content edits.

    You can edit both the plaintext and HTML versions of the notification.

    Each template has a 100 character limit for the subject line and a 25k character limit combined for all fields and keywords in the body.

  5. Click Save Task Configuration.

    You can restore the default template at any time by selecting Revert to Default Values.

    Note: Knowledge Advanced keeps only the latest version of the template and the default version. Any intermediate iterations are NOT saved as versions. If you modify the default and then later make additional edits, only the most recent edits are saved.

Translate a Notification Template

You do not need to translate notification templates for most locales unless you have chosen to edit the default template. Translated default templates are not provided for custom locales.

To translate an email template to another language:

  1. On the Tools tab, click Configure under Tasks and Notifications.

    Knowledge Advanced displays a list of email notifications.

  2. Select the template you want to edit.

    The selected notification template displays.

  3. Select Translate under the Template Legend.

  4. For Select Source Locale, choose the source locale from the menu, if it did not default in.

  5. For Select Translation Locale, choose the locale you are translating the template into.

  6. Enter the translated text for the Subject, Plain Text Template, and HTML Template. You can use any of the keywords specified on the previous page under the Template Legend.

    For most major languages, you can edit the default translation of the text that displays when you select the translation locale. Custom locales do not have default translations. If a default translation is not available for a locale, select Copy All from Source to bring over the fields and keywords from the template and then replace the source text with your translation.

  7. Select Save and Continue Editing or Save and return to the previous page to save your work.

    You can restore the default values by selecting Revert to Default Values.
