Defining Report Prompt Selections

If reports in the book contain prompts, you can specify prompt member selections at the designer level (Prompt For Value On Preview Disabled) or allow the users to respond to the prompts when running the book (Prompt For Value On Preview Enabled).

When previewing a book, when responding to prompts, you can either use:

  • Full Mode: displays all prompts in all reports and inserted books separately.

  • Compact Mode: consolidates duplicate prompts (same dimension, prompt label, choice list, default selection, and "Allow Multiple Selections" setting for the same data source) across reports.

To define the Prompt selections:
  1. Open a Book in the Edit mode of Book Designer, select the report for which you need to define Prompts.
  2. For the selected report, you will find the list of prompt selections displayed in the Prompts section, under the Properties Pane.

    In Prompts, you can:

    • Filter the prompt list by entering filter criteria text into the Text Filter box.

    • Click Reset All Prompt Selections Rest All Prompt Selections to reset any prompt selection changes to the original report prompt selection. This only applies if one or more prompts in the report have Prompt For Value On Preview disabled.

    • Click Expand expand to expand the Prompts window to full size.

  3. You can configure each prompt:
    • The Selection column displays the prompt label and selection.

    • The Actions column allows disabling or enabling Prompt For Value On Preview; when enabled, it displays the prompt for the end user running the book. When disabled, the book designer specifies the selection for the prompt by clicking Select Members select members to open the member selector.

    • You can also click Reset All Prompt Selections Rest All Prompt Selections to reset any prompt selection changes to the original report prompt selection.

    • The Context column displays the data source and where the prompt is applied (for example, grid rows, POV, and so on).

    In the following example, the first prompt (Choose a reporting region) has Prompt For Value On Preview enabled in the Actions column, and this is also reflected in the Selection column. The second prompt (Select one or more Segments) has Prompt For Value On Preview disabled in the Actions column. In the Selection column, the member selections "BAS" and "HTAS" from the report’s prompt are displayed, and you can click Select Members select members to open the member selector and make different selections.

    With only these two prompts in the report and only this report in the book, when running the book, you only need to select members for the first prompt (Choose a reporting region), as the second prompt has its selection hard-coded by the book designer.

  4. After configuring each prompt for a report, you can select another report in the book, if needed, and repeat the above steps from 1 to 3 and configure the prompts.

To respond to prompts when previewing a book:

  1. You can preview a book by either clicking on the book in the Library, or when editing a book click on Preview Preview.

  2. The Prompts dialog will appear if there are prompts in the report(s) in the book that have been configured with Prompt For Value On Preview enabled. The Prompts dialog has two modes: Compact and Full.

  3. Select Compact to view duplicate prompts (same dimension, prompt label, choice list, default selection and "Allow Multiple Selections" setting, for the same data source) across reports consolidated.

    OR

    Select Full to view all prompts in all reports and inserted books separately.

    Note:

    • Selections are only applicable to the mode (Compact vs Full) where the selections were made.

    • Prompts will be exposed for an inserted book at the "node" level and always show a Compact list of all the prompts in the inserted book.

  4. For each prompt, click Select Members select members to open the member selector and make the desired selection. You can also click Reset All Prompt Selections Rest All Prompt Selections to reset any prompt selection changes to the original report prompt selection.

  5. Once all prompts have been selected, click OK to proceed with the book preview.
