Initiate Zoom Meeting

Users with a Zoom license can now initiate Zoom meetings directly within the application. This integration enables back-office employees, dispatchers, and helpdesk operators to quickly start video calls with mobile workers, enhancing real-time collaboration and problem resolution, ultimately improving efficiency and reducing the need for additional site visits.

Prerequisites

To use this functionality, ensure the following:

  • You have a valid Zoom license.
  • Your administrator adds the Oracle Field Service Zoom Marketplace application to your Zoom account.
  • The Allow initiation of Zoom Meeting setting is enabled for your user type in Configuration → User Types.

Authorize Zoom Access in Oracle Field Service

When using the Zoom Meeting option for the first time, back-office employees, dispatchers, and helpdesk must authorize Oracle Field Service to access the Zoom account. This is a one-time process:
  1. Click the Zoom Meeting option in Collaboration. A pop-up window appears asking for permission to access your Zoom account.
  2. Click Allow to grant the necessary permissions.
  3. Once the authorization is complete, you can begin initiating Zoom meetings without needing to repeat this step.

Start a Zoom Meeting

Once you have authorized Oracle Field Service to access your Zoom account, you can start initiating Zoom meetings.

Note: Zoom meetings can be initiated only from one-to-one chats and group conversations but are not available in broadcast chats.
  1. Open a chat or conversation in the Collaboration window.
  2. Click the Zoom Meeting option under the attachments section.
  3. A Zoom meeting card is generated and sent to the participants of the chat. This card includes a Join button.
  4. Send the message to the participants. They will receive the Zoom invite, which they can click to join the meeting.
Note: The Events API records the initiation of a Zoom meeting, without capturing specific details such as the meeting ID, password, or URL.

Join a Zoom Meeting

When you receive a Zoom invite, you can join the meeting by following one of these two methods:

  1. Click the Join button in the Zoom meeting card sent within the chat. This launches Zoom and connect you directly to the meeting.
  2. Open the Zoom application, manually enter the meeting ID and passcode, and join the meeting.
Note: If the Zoom application is installed on the recipient’s device, the meeting will open in the Zoom application. If the Zoom application is not installed, the meeting will open in the browser.

Remove the App

If you no longer wish to use the "Oracle Field Service" app, follow these steps to remove it from your Zoom account:

  1. Sign in to your Zoom account and navigate to the Zoom App Marketplace.
  2. Click Manage > Added Apps, or search for the Oracle Field Service application.
  3. Click the Oracle Field Service app.
  4. Click Remove to disconnect the application from your Zoom account.
