Examples of Troubleshooting Year-End Tax Data for the US

When archiving your year-end data and generating the files and forms, you may encounter the following conditions.

Changed Payroll Relationship Data Missing in Archive

If the payroll relationship was archived in a previous run, this data isn't archived again. To retrieve newly changed data for the payroll relationship, you have two options.

  • Retry the archive for the impacted payroll relationship.

  • Roll back the archive for the impacted payroll relationship, and run it again.

Year-End Form Content Is Incomplete

If the W-2 Employee Report flow is generating incomplete employee Forms W-2, W-2GU, or W-2PR, use the Legal Reporting Unit Registrations page to verify your federal and state registration info. For each tax reporting unit (TRU), check to see if you have captured the correct registration numbers for the United States Federal Tax and state Income Tax registrations.

Year-End Forms Display Employee Name or Social Security Number as Blanks

If you have issued forms to the Social Security Administration (SSA) where one or more employee names or Social Security Numbers are blank or missing, you must contact the SSA for instructions on resolution. Do not use Form W-2c for this kind of correction.

Year-End Forms Display Incorrect Employee Address

In cases where the forms were submitted to the SSA with incorrect employee addresses, you must reissue the forms with the incorrect address to the employee in an envelope showing the correct address or otherwise deliver it to the employee.

There's no requirement to submit an EFW2c file to the SSA.

Note: For employers using the Third-Party Quarterly Tax Filing Extract to manage their year-end reporting through ADP, ADP sends any corrected info to the SSA electronically.

Incorrect Employer Identification Number on the Forms

If the incorrect employer identification number (EIN) was reported on your employee year-end forms, proceed with the normal W-2c flow. When you do so, the W-2c Employee Report flow creates two Form W-2cs for distribution to the employee.
