Steps to Initialize Balances for Canada

You can use HCM Data Loader to load the initial balance values before you process the employee in a payroll. For general information, see the Steps to Initialize Balances general topic in the Help Center.

Configure Legacy Balances for Initialization for Canada

Before you can initialize your Cloud payroll balances, you must extract your legacy balances.

There are multiple methods for extracting your balance data from a legacy system.

Choose the method that best suits the volume, complexity of the data, and accessibility of your legacy systems. Regardless of the method you choose, your goal is to conform the data so you can enter it into the HCM Data Loader (HDL) data files for processing by the payroll process.

Regardless of the method you use, there are some things you can do to improve the performance of the balance initialization process. Following these steps creates balance initialization elements where each input value represents a balance to be initialized.

  1. Organize each legacy balance by how many employees use them.

For example, the Gross Earnings balance would be needed for nearly all employees. However, a voluntary deduction balance might be needed for fewer.

  2. Sort your balances from most to least used, and then break them up into groups of 20.

When you upload the balances using HDL, load them in these batches of 20 to maximize performance.

Note: 20 is the optimum number of input values to have in a balance initialization element.
