Why can't I find an organization I need when creating a job requisition?

Hello, we heard you had a question from your recruiters or hiring managers: Why can’t I see the organization I need when creating a requisition?

Let’s view this in Recruiting. Here, a hiring manager is creating a job requisition. In the Requisition Structure section, the manager tries to select the Organization, but can't locate the desired organization.

If this field is set to required and left empty, this issue can cause an error when the user tries to continue.

Let’s look at four quick solutions to solve this issue.

Solution one: Verify the organization tree code doesn’t contain any spaces.

For this solution, start in Setup and Maintenance and search for a task, Manage Organization Trees.

Login as an implementer.

Click the Settings and Actions menu, select Setup and Maintenance.

Click the Tasks tab.

In the Search field, enter manage organization trees.

Click the Search icon.

In the Name column, click the Manage Organization Tree task.

In the Search Results section, expand the Recruiting Organization tree.

In the Code column, highlight the active tree code.

Review the highlighted code to ensure there are no leading or trailing spaces.

If it does, you’ll need to duplicate the Recruiting tree.

In the Search Results section, highlight the Recruiting Organization Tree row.

In the Actions menu, select Duplicate.

Enter the Duplicate Tree Code and Duplicate Tree Name.

Select the check box to duplicate the active version of the Recruiting Tree.

Click Save and Close.

Once the process runs, you will have a new Recruiting Tree on your list. This needs to be active as well.

In the Actions menu, under the Set Status option, select Active.

You will need to run an audit to make sure this tree can be active in the system.

In the Audit Results section, click the Online Audit button.

You’ll get a verification.

Click Done.

Remember go back to your original active recruiting tree and set it to inactive or delete it.

In Setup and Maintenance for Recruiting, select the new organization tree. We’ll cover this in solution 4.

Solution 2: Ensure the organization tree code is flattened which can help with retrieval and display speed.

To start, access the Manage Organization Tree task.

Highlight the active Recruiting tree.

In the Actions menu, under the Flatten option, select Row Flattening.

Click the Online Flattening button.

The process will run.

Then click Done.

Solution 3: Confirm that the correct data role was assigned to the user and that it includes the appropriate Organization Security Profile.

Note, that if your setup does not use the organization field, your requisition won't be visible if a security profile secured by organization is in place.

In order to verify a user's correct organization access, from the Home page, click My Client Groups.

Click Workforce Structures.

In the Search box at the top of the page, enter Preview.

Click Search.

Click the Preview HCM Data Security task.

In the User Name field, enter the name of the user who needs to be verified.

In the Currently Assigned Roles section, review the Organization Security Profile column.

If the organization needed isn't represented in the group or specifically listed, then a new data role will need to be assigned to that user.

Solution 4: Verify that the correct organization tree used for Recruiting is active and selected in Setup and Maintenance.

From Setup and Maintenance, in the Setup drop down list, select Recruiting and Candidate Experience.

In the Functional Areas, select the Recruiting and Candidate Experience Management row.

In the Task column, select the Enterprise Recruiting and Candidate Experience Information task.

Click the Recruiting Organization Tree Name field drop-down list.

Review the list of values.

Verify there is a value that contains the desired Recruiting Organization tree name; noting any changes from Solution 1.
