Working with Content Library Folders

The Content Library automatically provides a top-level folder called All Content. You cannot add content directly to the All Content folder. To add content, you need to create child folders of the All Content folder, then add content to those folders. You can also create child folders for any folder you create.

To add files to a folder, you can either create documents directly in the folder or upload files. You can upload HTML, TXT, JPG, GIF, PNG, BMP, PDF, SWF, and ZIP files.

About Favorites and Recent folders

The Content Library includes two Smart Folders: Favorites and Recent.

  • Favorites—you can add frequently used folders and content items to Favorites for quick access. A An image of the Favorites icon indicating that an item has been added to your Favorites next to the name of a content item indicates it’s already in your Favorites. To open an item in the Favorites folder, click Favorites in the Folder List and click the name of the item.
  • Recents—lists the last 15 folders and content items that you added, accessed, or edited. To open an item in the Recent folder, click Recent in the Folder List and click the name of the item.

Favorites and Recent folders in the Content Library differ slightly from their implementations in the Folders interface:

  • In Folders, Favorite Folders and Recent folders are shared across the account. This means that every user sees the same Favorite and Recent folders.
  • In the Content Library, Favorites and Recent are unique for each user. This means that user A has a completely different set of Favorites and Recents than user B.

To add a folder to Favorites, do one of the following:

  • Drag the folder to Favorites.
  • Click An image of an arrow next to the folder name and select Add to Favorites.

To add a content item to Favorites, do one of the following:

  • Point at the item name and click An image of the Add to Favorites icon.
  • Select the item in the Content List, click Actions and select Add to Favorites.
  • Click An image of an arrow next to the name of the item and select Add to Favorites.

To remove a folder from Favorites:

  • Click An image of an arrow next to the folder name and select Remove from Favorites.

To remove a content item from Favorites, do one of the following:

  • Point at the item name and click An image of the Favorites icon indicating that an item has been added to your Favorites.
  • Select the item in the Content List, click Actions and select Remove from Favorites.
  • Click An image of an arrow next to the name of the item and select Remove from Favorites.

To create a child folder for the All Content or any other folder, select the folder for which to create a child folder, then do one of the following:

  • Click An image of an arrow and select Create New Folder.
  • Click the Create New Folder link above the Folder List.

To move a folder, either drag a folder to the new location or:

  1. Click An image of an arrow next to the folder name and select Move.

    A confirmation message opens.

  2. Click Move.

    The Move dialog opens.

  3. Select the folder to which to move and click Move.

    The folder is moved to the selected folder.

Note: If the folder to which you are moving already includes a folder with the same name, you will be able to skip the move and leave the existing folder, or move the folder with a new name.

To copy a folder:

  1. Click An image of an arrow next to the folder name and select Copy.

    The Copy dialog opens.

  2. Select the folder to which to copy and click Copy.

    The folder is copied to the selected folder.

    Note: If the folder to which you are copying already includes a folder with the same name, you will be able to skip the copy and leave the existing folder, or to copy the folder with a new name.

Exporting a folder puts the contents of the folder (and, optionally, its child folders) into a ZIP file ready for downloading.

To export a folder:

  1. Click An image of an arrow next to the folder name and select Export.

    The Export Folder dialog opens.

  2. To export the folder’s child folders, select the Include nested folders check box.
  3. Click Export.

    The folder is downloaded to your browser’s download folder.

To rename a folder:

  1. Click An image of an arrow next to the folder name and select Rename.

    A confirmation message opens.

  2. Click Rename.

    The folder name is selected.

  3. Type the new name and press Enter.

    The folder is renamed.

To upload a file:

 The file size must not exceed 1,000 KB. To upload larger files, please contact Responsys Support.

  1. Click An image of an arrow next to the name of the folder into which you want to upload and select Upload.

    The Upload content page opens.

  2. Follow instructions for uploading files.

To delete a Folder:

Warning: Deleted folders cannot be restored.

  1. Click An image of an arrow next to the folder name and select Delete.

    A confirmation message opens.

  2. Click Delete.

    The folder is deleted.
