Replacing the Deprecated 3-Way Salesforce, OpenAir and NetSuite Integration With the Customers (Customers) or Projects (Projects) Export Workflows

OpenAir has ended support for the 3-way Salesforce, OpenAir and NetSuite integration for customers and projects. You should use the Projects (Projects) and Customers (Customers) export workflows instead.

If you are using the deprecated 3-Way Salesforce, OpenAir and NetSuite integration to export customer or project records from OpenAir to NetSuite, you should change your OpenAir NetSuite Connector configuration before the feature is removed from OpenAir.

To replace the 3-Way Salesforce, OpenAir and NetSuite integration with the Customers (Customers) or Projects (Projects) export workflows:

  1. In OpenAir, go to Administration > NetSuite Connector.

  2. Click the Tips button, then NetSuite Connector administration.

  3. On the NetSuite Connector administration form, do the following:

    • Clear the DEPRECATED Enable 3-way Salesforce.com, NS OpenAir and NetSuite integration box under the Legacy compatibility section.

    • Check the applicable boxes under the Exports section:

      • Customers (Customers) if you are exporting customer records from OpenAir to NetSuite.

      • Projects (Projects) if you are exporting project records from OpenAir to NetSuite.

  4. Click Save. A message appears confirming that your NetSuite Connector administration settings were changed successfully.

  5. Click Close to return to the main NetSuite Connector page.

  6. Click Mapping.

  7. Click Customers (Customers) or Projects (Projects). The field mapping for the Customers (Customers) or Projects (Projects) export workflow appears.

    Note:

    Repeat this and the following steps for each workflow, if applicable.

    Note the following changes. With the 3-Way Salesforce, OpenAir and NetSuite integration enabled, the mapping included a default field mapping row for the custom fields in NetSuite and OpenAir holding the Salesforce record ID. With the Customers (Customers) or Projects (Projects) export workflow enabled instead of the 3-Way Salesforce, OpenAir and NetSuite integration, the field mapping row needs to be mapped again or removed — it is no longer a default mapping row.

  8. Do one of the following:

    • Select the applicable OpenAir field for this field mapping row, if you want to retain this field mapping in your integration. Refer to the tables in the previous step for the custom field name.

    • Switch the Active toggle off for this field mapping row, or delete the field mapping row, otherwise.

  9. Make sure the workflow is active (the switch next to the workflow name is on) and click Save.

    Note:

    Saving the workflow mapping adds the Export Customer to NetSuite or Export Project to NetSuite check box on the entity form in OpenAir. This box must be checked to export a new customer or project record from OpenAir to NetSuite. For more information, see Customers (Customers) and Projects (Projects).

Note:

The 3-Way Salesforce, OpenAir and NetSuite integration requires the Customer.customer_sf_id or Project.project_sf_id custom field to be populated to export a new OpenAir customer and project record from OpenAir to NetSuite. You may use your own API integration application to populate this custom field, and continue using the deprecated 3-Way Salesforce, OpenAir and NetSuite integration to export customer and project record to NetSuite until the functionality is removed from OpenAir.
