Location Options in WFM

There are lots of options to look at when editing a location, and each plays an important part in weekly shifts.

To edit a location, go to Setup > Locations and select the one you want to edit.

When you've selected a location to edit, you'll see the following options:

Details

When you edit a Roster Unit, the first tab is for editing the basic details.

The Details tab has a few basic info pages for the Roster Unit.

There are seven tabs on this screen.

Name

Change the Roster Unit name.

Custom ID is a custom identifier for the Roster Unit.

  • Some csv reports can display the custom ID to help when importing to a spreadsheet

  • If using our Generic Email importer, we can match location names to the Custom ID

Address

Enter the location name or address.

Ensure the timezone and state are correct. Timesheets and public holidays will be calculated based on these details.

Important:

To comply with the Biometric Information Privacy Act (BIPA), devices in Illinois locations may not be used to capture biometric data through fingerprint scanning.

When you change a location previously set outside of Illinois to within it, an error message may appear with a list of devices that use biometric data to authenticate.

To continue changing the device location, click each of the device links and go through the device wizard. On the Authenticate by field, select PIN only as the authentication method.

Contact details

Phone will fill by default when publishing by SMS.

Contacts

These include any outside contacts who might need to be called, such as maintenance workers, delivery services, or customers.

Groups

This option only appears in specific setups.

Scheduling

Schedule days and times

Choose which day your schedule starts, like Wednesday if your week is Wednesday to Tuesday.

Shift interval – This interval is how often your shifts are scheduled, usually every 30 minutes. If you schedule shifts 15 minutes before or after the hour, select 15 minutes.

Shift interval

Daily start and finish time – These times are the earliest and latest someone can be scheduled.

Show shift finish times – If you check this, shift end times will show on printed schedules.

Clear this if you only want employees to see they're needed until required.

You can have breaks auto-applied if shifts are long enough. Set this to match your award conditions, along with break length. You can still edit this while making a shift.

Display breaks on printed reports – If employees take breaks when it's not busy and don't have preset breaks, clear this option. The break will still count even if it doesn't show.

Default stats

If you have a POS integration for importing sales data, you can set the default schedule to fetch the data so you don't have to change it every week. You can also apply an index.

KPI Targets

Setting key performance indicators (KPIs) for a roster unit helps management keep a record of important information. The two main types of KPI are:

  • Sales Related Targets

  • Absolute Targets (Per-Week)

Sales related targets

Labour Percentage is a helpful sales-related KPI. It lets you set a daily or weekly goal for how much you spend on wages compared to profits.

Set the productivity goal KPI to see how many units get sold per hour. For example, in an electronics store, the goal might be 3 units per hour per employee. With ten employees, selling within 10% of 30 units means you met the goal.

Absolute targets

Absolute targets are limitation goals for a week's shifts.

Costs lets you set a goal for how much gets spent on wages..

Hours for the total hours worked by all employees.

You hit these targets if the result is less than or equal to the goal.

Modifiers

You can add things like superannuation and salary on-costs.

Multiplier

You can add any required costs as a percentage multiplier for the weekly schedule. You can set an effective from date and apply it to an employment status.

An example of a multiplier is superannuation.

Fixed Costs

You can add any required fixed costs to the weekly schedule. You can set an effective from date and apply it to an employment status.

An example of a fixed cost is the work cover.

Approvals

Availability

You can select which managers can be approvers for availability requests at each location. The manager will receive availability requests from employees that have that location as their primary location.

Leave

You can select which person/s can be approvers for leave requests at each location. They will receive leave requests from employees that have that location as their primary location.

IMPORTANT NOTE: This setting does not prevent the manager from adding an approved leave event for employees that they ‘manage’ this is defined by any roster unit/location that the manager is available to be rostered at.

Actual

If you set this, you'll get a warning if you try to approve a shift longer than what you've set.

Jobs

Note:

Before you can assign jobs to a Roster Unit, you must set them up. To do this, go to Workforce Management. Go to Setup > Jobs.

Select which jobs can be worked at this location. Move them over using the arrow. If all jobs apply click Choose All, then hit Save.
