Viewing the Payments and Vendors Section of the Payment Dashboard

In the Payments and Vendors section, you can track payments submitted to BILL and manage new or linked vendors for the subsidiary. You can also sort lists and records in ascending or descending order based on the selected field.

Viewing the Payments and Vendors Section

From the Payment Dashboard, you can open the Payments or Vendors page for any subsidiary that you have access to.

Note:

By default, the Administrator, Payment Manager, and Payment Clerk roles have preconfigured permissions to access Payment Processing. For standard or custom roles and permission requirements, see Setting Up Intelligent Payment Automation Roles and Permissions.

To view the Payments and Vendors section:

  1. Go to Payment Automation > Payment Dashboard > View.

  2. If you use OneWorld:

    1. The Subsidiary Dashboard opens. Click Enabled.

    2. In the Actions column, click View to open the Payment Dashboard for the selected subsidiary.

    If you do not use OneWorld, the Payment Dashboard opens directly.

  3. In the left panel, under Payments and Vendors, click the page you want to view.

  4. (Optional) At the left panel's header, from the dropdown list, you can select another subsidiary that you have access to.

Bookmarking the Payments and Vendors Page

You can save the Payments or Vendors page as a browser bookmark and return directly to the same page. If you open a bookmark without an active NetSuite session, log in when prompted. After successful authentication, NetSuite opens the saved page.

For OneWorld accounts, a bookmark includes the subsidiary context, so the page opens for the correct subsidiary. You can save a separate bookmark for each subsidiary and page you use.

Note:

Your existing role, page permissions, and subsidiary access still apply to bookmarked pages. If you don't have access, or you don't have the required permission for a subsidiary, NetSuite displays the an error message.

Payments

On the Payments page, you can view the list of all payments, outstanding checks, or payments pending approval associated with the subsidiary. Beside the Search box, the following filters can be used to narrow down the list: Vendor, Payment Creation Date, or Status. Alternatively, the value for any of these filters can be entered in the Search box.

Below the filters, the Export to CSV option appears, which enables you to generate and save a soft copy of a CSV file. Depending on the volume of transactions, multiple files of 10 MB each may be generated.

In the Reference No. column, the reference number link appears to provide access to the associated bill payment record.

Vendors

On the Vendors page, you can view the list of new and existing vendors associated with the subsidiary. The list includes vendors for which the subsidiary is assigned as a primary or secondary subsidiary.

For Administrators or Payment Managers, the Sync Vendors with BILL option appears when you have vendors in Pending Sync status that qualify for syncing. Also, the following message appears at the header: Vendors Pending Sync with BILL. For vendors that do not qualify, the error icon appears to provide more details.

For example, in the Vendor column, when you point to the error icon, it may display the following message: Missing billing address. To add a U.S. address or other required details, click the vendor link.
