Shifts Reports

With Workforce Management (WFM), you can generate reports about various shift metrics affecting your operations.

The available shifts reports are:

Print Ready

To access the Print Ready report, from the Workforce Management tab, go to Reports > Shifts > Print Ready.

Hours

To access the Hours report, from the Workforce Management tab, go to Reports > Shifts > Hours.

The Hours report lets you to generate scheduled data and approved shift data.

You can change the shift type on the reporting screen. If you choose Actual shifts, it will display shifts that are approved. If you choose Schedule shifts, it will display shifts that are scheduled.

You can filter the Hours report and Hours and times report by employment status and staff members' age. These filters are helpful if you want to run a report for only casual or junior-aged staff.

Both the Hours and Hours and Times reports are related to employees' scheduled, timesheet, and approved shifts. The Hours reports display the wage breakdown which includes penalty rates and overtime setup in your account.

After setting the Hours report options, you can print employees' shifts by downloading a PDF file of the report.

Hours and Times

To access the Hours and times report, from the Workforce Management tab, go to Reports > Shifts > Hours And Times.

Approved Hours, Times, and Stats

To access the Approved Hours, Times, and Stats report, from the Workforce Management tab, go to Reports > Shifts > Approved Hours, Times, and Stats.

The Approved Hours, Times, and Stats report shows a breakdown of approved times alongside shift metrics specified by the manager. The report includes tips.

You can specify the period and locations that you want to appear in the report.

You can download a CSV file of the data included in the report.

Variance (Tardy+)

To access the Variance (Tardy+) report, from the Workforce Management tab, go to Reports > Shifts > Variance (Tardy+).

The Variance (Tardy+) report lets you to use presets of company or employee time fraud. You can also create your own report to compare two shift types over a period of time. For example, you can compare timesheet shifts to actual shifts for staff members.

The Variance (Tardy+) report will display the approvers' names for staff members' shifts. If the shift is automatically matched, there will not be an approver's name displayed.

The Variance (Tardy+) report also displays total shift costs. You can compare the variance of hours between the two shifts for a staff member and the cost variance of those shifts.

Note:

You will only see costs for users in lower access groups.

Timesheet

To access the Timesheet report, from the Workforce Management tab, go to Reports > Shifts > Timesheet.

The Timesheet report allows you to generate a CSV file with time data from SuitePeople Time Clock or time and attendance data from SuitePeople Workforce Management.

Overtime Checks

To access the Overtime Checks report, from the Workforce Management tab, go to Reports > Shifts > Overtime Checks.

This report lets you flag consecutive work days, excessive hours, and clear breaks across specified locations and durations.

Percent Approved

To access the Percent Approved report, from the Workforce Management tab, go to Reports > Shifts > Percent Approved.

The report identifies the rate of shifts actioned or approved for each location.

You should have your time approved daily by your managers. The schedule should be 100% actioned or approved before processing the payroll.

Weekday Split

To access the Weekday Split report, from the Workforce Management tab, go to Reports > Shifts > Weekday Split.

This report provides a summary of the percentage of hours each staff member in the company worked in the report period that fell on a weekday.

Only staff who have shifts during the report period will appear in the list.

The report lets you download a CSV file with detailed information and raw data used to calculate the percentages.

Allowances

To access the Allowances report, from the Workforce Management tab, go to Reports > Shifts > Allowances.

This report provides a summary of the allowances for your employees.

You can download a CSV file of the data included in the report.

Employee Payroll Query

To access the Employee Payroll Query report, from the Workforce Management tab, go to Reports > Shifts > Employee Payroll Query.

The Employee Payroll Query report lets you view employees' scheduled, timesheet, and approved shifts.

Day Worked Frequency

To access the Day Worked Frequency report, from the Workforce Management tab, go to Reports > Shifts > Day Worked Frequency.

The Day Worked Frequency report lets you identify the frequency that employees work on a specific day of the week.

The report lets you download a CSV file with detailed information and raw data used to calculate the frequency.

Zero Hours

To access the Zero Hours report, from the Workforce Management tab, go to Reports > Shifts > Zero Hours.

The Zero Hours Report allows you to track staff members who work intermittently or when staff members have stopped working altogether. It also tracks when staff members have not worked any shifts or taken leave.

You can select the start date and end date for the time period in which you want to view shifts or leave. This lists staff without any:

  • Scheduled shifts

  • Timesheet shifts

  • Actual shifts

  • Approved leave

DST Ambiguous Shifts

To access the DST Ambiguous Shifts report, from the Workforce Management tab, go to Reports > Shifts > DST Ambiguous Shifts.

During a daylight savings time (DST) backward transition, the times between 2:00 am and 3:00 am, or other times depending on your timezone, are repeated. Because of this, any punch in or out events that occur during this two-hour period are potentially ambiguous. This report will show all actual shifts at all locations that have any events during this period on a selected DST transition day.

It will not show any shifts if the selected day is not the day of a backward DST transition.

Punch Breaks

To access the Punch Breaks report, from the Workforce Management tab, go to Reports > Shifts > Punch Breaks.

This report lets you identify paid and unpaid breaks taken by employees. With this report, you can filter by punch breaks by location, break type, shift length, employment status, age range, and number of breaks.

When you run the report, you can filter by:

  • Date range

  • Locations

  • Employment status

  • Age range

  • Shift Length (including breaks)

  • Minimum unpaid breaks

  • Minimum number of paid breaks

  • Types of break taken

    Note:

    If you do not select a type of break, all shifts with that type of break will not be included. For example, if you do not select unpaid breaks, no shifts with unpaid breaks will appear. This also applies to shifts with paid breaks even if the paid break option was selected.

The report lets you download a CSV file with detailed information relevant to punch breaks.
