Ability to Perform Approval Unit Actions from Forms

You can now review approval data and perform approval unit actions when working in a form grid, without needing to navigate separately to the Approvals page. When you create a form, you can select to show approval unit information such as Status, Owner, Previous Owner, Last Action Taken and Total Values. Administrators can view and work with all available approval units. Users can perform actions on approval units based on the approval unit status and their security access.

These approval actions are available from forms:

  • Change Status of an approval unit, such as Promote or Reject
  • Change approval unit owner if needed
  • Add comments in the annotation area
  • View annotations and status history

In addition, in newly created and upgraded applications, a new dimension called HSP_Metric is now provided. It enables you to view Total Values associated with approval units within forms. The HSP_Metric dimension is automatically created and seeded with dimension members when you create an application, and you can create additional members. By default, these new members are automatically created:

  • HSP_Approval Unit Submission Group
  • HSP_Approval Unit Hierarchy
  • HSP_Cell Level Security Access

The HSP_Metric dimension is available in newly created and upgraded applications.

In Smart View for Office release 26.100+, you can take approval actions in forms using a new right-click context menu. When you right-click the cell containing an approval unit, a list of approval actions specific to that unit is displayed. You can select an action, enter annotations, view history, and assign it to the next owner. When you submit the details, the form is refreshed to display the new status and the new owner of the approval unit. The new right-click context menu offers a faster and convenient way of taking action on approval units, in addition to the Approvals menu on the provider ribbon.

Business Benefit: The ability to access approval data and actions directly from a form enables you to easily view details about approval units, select an appropriate approval action for the data, and view the impact immediately.
