New Redwood Process to Promote and Change Position

We have introduced a new Redwood process, Promote and Change Position to change the position, assignment, salary and payroll details in a single transaction. The new quick action Promote and Change Position is available under My Team and My Client Groups tabs for line managers and HR Specialists respectively.

After you select the assignment, the process opens displaying an Info to include page with the optional steps, which by default, are turned off. You have to enable these steps on this page. Required steps such as When and why, Assignment, Position details, Position override, Seniority dates, and Need help? Contact us aren't displayed on the Info to include page.

On the When and why step, as a manager or HR Specialist you have to decide whether you want to modify the definition of the existing position on which the worker is or you want to promote the worker to a different position. If you select to move the worker to a different position, you can choose a different business unit and position. However, you can't modify the position information when there is more than 1 incumbent in the position.

Here are some key points to note about the Position override step:

  • Earlier the position override popup displayed the changed values. Now, all the attributes available for position synchronization are displayed.

  • Union, bargaining unit, and collective agreement are bound together.

  • Synchronized attributes will be read-only in the assignment.

  • All attributes are defaulted from the position.

This feature offers the following benefits:

  • Enables managers and HR specialists to make changes to a worker's position, assignment, salary, and payroll in a single transaction.

  • Eliminates the need for multiple approvals when using multiple processes.

  • Eliminates the waiting time for assignment changes to synchronize from position changes.

  • Prevents having to update salary, compensation, and payroll, separately after the assignment synchronization.

  • Reduces overall business process completion time.

Steps to Enable

Make the feature accessible by assigning or updating privileges, job roles, or both. Details are provided in the Access Requirements section.

Tips And Considerations

  • Guided journeys and contextual journeys are supported.

  • You can specify your own transaction effective date in the When and why step. Defaulting the date based on the Employment Transaction Date Set by Default (ORA_PER_EMPL_DEFAULT_EFFECTIVE_DATE) profile option setting is no longer supported for this process.

  • You can now revisit the Info to include step to select or deselect the steps. However, no warning message is displayed when you change the selection. When you deselect a step on the Info to include step, any data you enter will be lost.

  • If after having reached the end of the process you navigate back to the Info to include step, then you need to navigate to at least the Assignment step before you can submit the transaction.

  • If you navigate away from the process a warning message won't be displayed and your data won't be saved.

  • The Submit button will be enabled only when you navigate to all the mandatory sections in the process. However, there won't be any warning or error messages displayed if you don't navigate to the mandatory sections.

  • You can't add total weekly working hours that are more than the assignment normal working hours.

  • The Comments and Attachments step is visible when approvals are enabled.

  • The option to save and save for later isn't available.

  • If you have configured approval rules in the Transaction Console for the responsive process, the same will be applicable for the Redwood process as well.

  • In the worklist notifications, the approval history is expanded by default.

  • If there are any inflight transactions pending approval and you enable the Redwood process, then an error is displayed when you submit the transaction. From the worklist approval notification, you can access the responsive page for the submitted transaction.

  • These features will be implemented in future releases:

    • Defaulting and validation using Autocomplete.

    • Parameters for descriptive flexfields (DFF) and extensible flexfields (EFF).
    • Enabling of the Submit button after navigating to mandatory steps in edit by approval.

    • Reset of the step data when the user deselects the step after selecting it for the first time and entering or modifying the data.

    • Restriction on the effective date based on the assignment effective start date and end date.

    • Filtering of data based on the effective date for any of the LoVs.

    • Filtering of positions based on the ORA_POS_HIRING_STATUS_FILTER profile option value.

    • Validation of future-dated records and future incumbents on change of position.

    • Validation of grade based on profile option.

    • Validation of multiple row EFF in additional assignment info.

    • Automatic calculation of Full Time Equivalent (FTE) and Headcount.

    • Derivation of assignment category based on regular temporary and fulltime part time attributes.

    • Derivation of grade step based on grade.

    • Derivation of probation end date and probation period.

    • These assignment attributes will be added later - Adjusted FTE, Annual Working Duration, Annual Working Ratio, Assignment Number, Assignment Standard Working Hours, Assignment Status, Derived Standard Working Hour, Include in grade step progression, Notice period, Primary Assignment, Projected End Date, Standard Annual Working Duration and Work Tax Address.

    • People Group and Default Expense Account key flexfields.

    • Defaulting of action and assignment status from action.

    • Defaulting of location from department.

    • Defaulting of the manager in the Manager LoV based on position and department.

    • Ability to search for managers without having to enter at least 3 characters in the LoV.

    • Ability to add nonworkers as managers.

    • Display of manager name in edit mode.

    • Sorting of manager based on manager type and manager name.

    • Retaining of valid employment changes based on ORA_PER_EMP_RETAIN_CHANGES profile option.

    • Add and reassignment of direct reports.

    • Post approval notification for additional assignment info.

    • Ability to view document record attachments in approval notification.

    • Multiple column layout to show additional information in Position, Union, Bargaining Unit and Collective agreement.

    • Automatic display of the remaining working hours in the Weekly working hours step.

    • Addition of currency switcher in the Salary and Individual Compensation steps.

    • Support for budget and stock integration in the Individual Compensation step.

    • Support for highlighted instruction provided in the individual compensation plan setup to appear with the highlight.

If you're using the predefined roles, no action is necessary. However, if you're using custom versions of these roles, you must add these function privileges to your custom roles to use this feature.
