Automatic Addition of On-Call Shifts on Time Cards

Whenever a person or a process creates a time card for a period with worker-assigned on-call shifts, an on-call entry can be automatically defaulted to the time card. The defaulted on-call time card entries use the hours from the person's on-call defined shifts for all their assignments. You can also identify on-call pay time types to exclude from schedule deviation calculations for time totals and include in on-call schedule deviation calculations.

We suggest you default on-call time entries on enhanced time cards. While the on-call entries can also default on classic and responsive time cards, time totals displayed for them might not be completely accurate.

Here's an example of the defaulted on-call shift entries for 8am to 5pm on the enhanced time card.  The worker has assigned on-call shifts that intersect the time card period and defaulted on the time card when it was created.

Improve productivity by automating the inclusion of on-call entries on time cards. Also, reduce payroll errors and the administrative burden of fixing time cards with incorrect entries.

Steps to Enable

  1. Create a payroll element for on-call entries.  You might have more than one payroll time type to identify on-call shifts, but only one can be used to default entries on time cards.
  2. Ensure the default on-call payroll time type is included in the worker's time card field drop-down list using the Time Entry Layout Components task.
  3. Create a time category that includes all on-call payroll time types the worker might use on their time cards.
  4. Add the default on-call payroll time type and the on-call time category to the appropriate worker time processing profiles. The payroll time type enables the on-call defaults when the time card is created. The time category is used in schedule deviation calculations.
  5. Make sure the people who should have their on-call entries defaulted have workforce schedules assigned with shift types of On-call.
  6. Make sure the people who should have their on-call entries defaulted have worker time processing profiles assigned with on-call entry options configured.

Tips And Considerations

  • Remember to run the Generate Data Dictionary Time Attributes process after creating your on-call entry payroll elements.
  • Currently, the defaulted on-call shifts don't consider the worker's work day definition, if any exists. This enhancement will be delivered in a future release.
  • You can stop the automatic creation of on-call entries at any time by clearing the Payroll Element to Apply to On-Call Entries field for the worker's time processing profile at any time.
