Redwood Experience: Restrict Updates to Candidate Personal Information

You can restrict recruiting users and candidates (contingent workers, ex-contingent workers, ex-employees) from updating the name, phone, email, and address on both the candidate portal and Hiring app.

Business benefit: You can use this feature to control updating of address by ex-employees directly as this could have an impact on payroll, tax, and communication as applicable. Alternately, you can request ex-employees to communicate the updating of address to Human Resources. Once updated by Human Resources, updated address will be reflect in the Hiring app.

Steps to enable and configure

Here are some setup scenarios.

Scenario 1: For contingent workers, updates are blocked as follows:

Since updates on the candidate portal are blocked for name, phone, email, and address, a lock is displayed next to Contact Information and Address, and the candidate can’t modify fields. If there are mandatory fields within a blocked area, the candidate can still modify the value.

Scenario 2: For recruiting users, updates are blocked as follows:

Since updates on the Hiring app are blocked for phone and address, recruiting users can’t modify the Country, Area Code, and Phone Number fields in the Personal info section. Also, there’s no Edit button for the Address section. If there are mandatory fields within a blocked area, those fields can't be modified.

If you've configured the following profile options in previous releases, their configuration will be automatically applied to the new Updates to Candidate Info setting in Setup and Maintenance.  

• ORA_IRC_ALLOW_CWK_EXT_RECRUITER_ADDRESS_UPDATE: When set to Y, recruiting users can update the address of contingent workers treated as external candidates.
• ORA_IRC_ALLOW_CWK_EXT_CANDIDATE_ADDRESS_UPDATE: When set to Y, recruiting users can update the address of external candidates.

For example, if you've configured the ORA_IRC_ALLOW_CWK_EXT_CANDIDATE_ADDRESS_UPDATE profile option to "N" (which means recruiting users can't update the address of external candidates), the Updates to Candidate Info setting for Contingent Worker / Address will be automatically configured to Candidate Portal.

Note: You can make updates using HCM Data Loader, irrespective of the configuration.
