Agency Defined Email Addresses

Agency system administrators can now configure agency specific sender email IDs and use them in ad hoc communications.

A new Email Configuration page allows the agency to define and manage the sender email address used in communications such as ad hoc communications from the agency.

After you enable a sender email address and save it as the agency default, it will appear in the From email address field on the Ad Hoc Message. Agency staff can choose from the current user email, or use the choices in the Agency email options list.

Allows the agency to define the acceptable 'From' email address for agency communication.

Steps to Enable

If your agency wants to use this feature, you must set up the email addresses on the Email Configuration page. Additionally, if the agency uses the Business Rules Framework Notify on Error functionality, you must configure at least one Agency Default email enabled on the Email Configuration page which will be used as the sender email address on Business Rules Framework error notification emails.

To set up email addresses:

  1. Navigate to Common Setup > Agency.
  2. Select your Agency row.
  3. On the Agency Information tab, click on the Email Configuration link.
  4. Click Add, the "New sender email communications" drawer opens.
  5. Enter the email address and description.
  6. Turn on the "Enabled" and "Agency Default" switch.

After the email address is enabled and set as the default, it will appear in the "From" field of the ad hoc message.

Tips And Considerations

In an ad hoc communication the 'From' field will be read-only. If there is no agency default email setup in the Email Configuration page, then the system will default to the logged in user's email ID in the From field. In order to change the email address to another enabled agency email option, the user needs to use the + button next to the From field to select from the options.
