Contractor License Expiration Monitoring and Email Notifications

Enhancements to the Business Rules Framework (BRF) Scheduled Rules for contractor license and license insurance expiration management enable agencies to automate communications and streamline the resolution of contractor conditions associated with expiring or expired licenses and insurance.

The Scheduled Rules for Contractor License Expiration and Contractor License Insurance Expiration now include these configuration options:

  • Send Communication: Automatically send notification emails to the business and/or license holder when a license or insurance is about to expire or has expired.
  • Resolve Conditions: Automatically resolve specified contractor conditions related to license or insurance expiration, reducing manual intervention.

Agencies can also add template details for outgoing email using these new communication events:

  •  Contractor License Expiration - Leverages Contractor Licenses resource attributes.
  •  Contractor License Insurance Expiration - Leverages Contractor License Insurances resource attributes.

Automating contractor license and insurance expiration management reduces manual effort for agency staff, ensures timely notifications, and helps maintain continuous compliance.

Steps to enable and configure

New actions are available for existing BRF schedule events:

  • Contractor License Expiration
  • Contractor License Insurance Expiration

Navigation:

To enable the new actions: 

  1. Navigate to the Business Rules Framework. 
  2. Select Scheduled Rules
  3. Use the Search function to find the following events:
    • Contractor License Expiration
    • Contractor Insurance Expiration
  4. For each event, select the rules or add new rules based on the new configuration options as shown below.

  1. If you select Send communication, select templates for the communication events 'Contractor License Expiration' and 'Contractor License Insurance Expiration'. Templates need to be set up in the Communication Events page. See steps below. 
  2. If you select Resolve conditions, configure to resolve specific or all conditions on the contractor license. 

To set up the templates in the Communication Events page: 

  1. Navigate to Setup and Maintenance of Offerings > Offering: Any > Task: System Administration > Manage Communication Events
  2. Search for Contractor License Insurance Expiration and Contractor License Expiration. 
  3. Click on an event to open. 
  4. In the Communication Template section, click Add

  1. Enter the required information and click Save
  2. Complete for both events.

Tips and considerations

Communication event template tips:

  • Agencies can select the ‘License Holder Email’ and/or ‘Business Email’ attributes as communication recipients.
  • All attributes from the Contractor Licenses resource are available for personalization in the message body of outgoing communications.
