For field service work orders, when ordering certain parts that are not stocked or that are out of stock, automatically create purchase requisitions to purchase the needed parts and ship them directly to the customer site or field technician.

A new Item Master attribute, Parts Sourcing, defines how to source the part. Select one of the following values from the list:

Buy Only: Not stocked and only purchased when needed for a work order.

Inventory then Buy: Purchased when out of stock and needed for a work order.

Inventory Only: Sourced only from inventory. This value represents current functionality. When an Inventory Only item is out of stock, a transfer order is created as a back order.

Null: Functions the same as Inventory Only.

The following Part Requirements page shows items with all types of parts sourcing policies. These part requirements have been created, but not ordered yet.  When part requirements were created, the parts search program automatically attempted to find parts in inventory for the Inventory Only and Inventory then Buy items.  In this case, the parts were found in inventory for the two Inventory Only Items and for one of the Inventory then Buy items.  The parts search program ignored the Buy Only Items as they are not stocked in inventory.  The magnifying glass icon is displayed for the Inventory then Buy Item where no parts were found so the user can access the Parts Search UI to alter the search criteria and search inventory again.

After clicking Order, a purchase requisition, transfer order, and reservation are created and displayed in the order column.  When a purchase order is created from the requisition, the purchase order number will be displayed instead of the requisition number.

You can cancel purchase requisitions before purchase orders are created, as shown in the following screenshot.

With this feature, you can wait to purchase parts until they are needed for a field service work order, which reduces inventory carrying costs and obsolescence.

Steps to Enable

Select a Parts Sourcing policy for each of your items. Valid values are Buy Only, Inventory then Buy, Inventory Only, and null (which functions the same as Inventory Only).
