Redwood: Perform Mass Item Attribute Changes Using Guided Tasks

You can use Guided Tasks to perform a mass change of item attributes using the predefined process from the Guided Task Library. The item attribute change tasks guide a user through the steps to change attributes for a large set of items. An administrator can create distinct guided task flows by copying and editing the predefined tasks to create their own task. Any number of personalized guided task flows can be created to support a user's distinct update requirements and use cases.

You can run the guided task flows that are configured by administrators.

Running the Predefined Task Flow for the Mass Item Attribute Change Process

The following are the predefined tasks in the guided task flow for running the Mass Item Attribute Change process:

This task allows you to perform a mass change of item attributes. 

  1. From the Tasks panel tab, click Perform Guided Tasks to run a guided task flow. The Perform Guided Tasks page is displayed as shown.

  1. In this example, click Capacitor Specification. The basic information and the tasks are displayed as shown.

  1. Click Start Guided Task to begin the first task. In this task, you can search for the items you want to update using the Search text box. The task details are displayed as shown in the following screenshot.

  1. Select the items for which you want to perform the mass update. 

Review and Submit Changes

After the items have been selected, you can move to the next step of reviewing and submitting the item attributes that must be edited. Click the Review and submit task. The Mass Update Summary is displayed as shown in the following screenshot. Review the information and click Done.

The guided task flow is automatically updated and simultaneously exports the items you selected to an Excel spreadsheet as shown in the following screenshot.

After you open the Excel spreadsheet file, you can see the items you selected in the first step of the guided task. In this file, you can edit the required item information.

After you've edited the information, these changes need to be uploaded back to the guided task flow. To do this, in the Add-ins tab, click Validate, then click Upload Data as shown in the following screenshot.

After the updated data has been uploaded back to the Guided Task, you can go back to the Guided Task and view the order status of the changes you made. To check the order status, select the batch name and click Refresh. When the Job Status changes to Succeeded, then you have successfully completed the Guided Task flow. If the batch fails, then you can redo the data validation through Excel.

This feature helps your business by allowing you to have control over the steps and processes of updating item attributes. The guided task flow has all the steps so you can perform the mass item attribute changes seamlessly.

Steps to Enable

To enable this feature: 

  1. Make sure that an employee record is associated with the user. 
  2. Set the profile options. Use the Manage Administrator Profile Values task in the Setup and Maintenance work area to review and configure the profile options provided in the following table.

    Direct Uptake of Data for Oracle Search in Journeys Enabled

    Enable direct uptake of data for Oracle Search in Journeys. This profile option enables direct ingestion during UI operations instead of the default near real time ingestion. This only affects incremental ingestion during any updates happening in the UI. The ingestion bypasses the queue and is directly done on the index which guarantees the elastic-based journeys UI to show latest data immediately.

  3. Run the scheduled process ESS job to create index definition and perform initial ingest to OSCS with the Index Name to Reingest parameter set to the appropriate index for the feature. Run this process for the following indexes:
  • fa-hcm-workerjourney
  • fa-hcm-workerjourneytask
  • fa-hcm-acl

You must rerun this process after P2T.

After running the scheduled process for the indexes, the administrator must create and configure the guided task flow that allows users to mass update the item attribute changes.

To create and configure the Mass Item Attribute Change process:

  1. From the Tasks panel tab, click Configure Guided Tasks. The Configure Guided Tasks page is displayed as shown.

  1. Click Create. A drawer panel appears. Here, you must provide the details as shown in the following screenshot for the guided task you're creating. After adding all the details, click Create Draft.

The following <Guided Task Name> Draft page is displayed. In this example, the guided task name is Capacitor.

  1. In the Configure Criteria section, specify the attributes and its values as shown in the following screenshot.

  1. In the Tasks section, the following tasks are available by default:
  • Search items
  • Review and submit
  • View change order status

If required, click Add to add additional tasks.

  1. After you've configured the guided task, click Activate on the top right corner of the Capacitor Draft page to publish it as shown in the following screenshot.

Tips And Considerations

  • When configuring a guided task flow, the guidelines for runtime are defined.
  • When an organization is defined, the item search is limited to that organization.
