Accurate supplier profiles are critical to efficient procurement operations. When self-service profile management in Supplier Portal is not intuitive, supplier usage drops – leading to outdated or incorrect profile information which causes transaction errors and an increased support burden on internal procurement teams. A new user experience based on the Redwood design system, which includes guided journeys for self-service support makes profile updates extremely easy for your suppliers. Empowering suppliers to maintain their company details drives supplier data quality which leads to better transaction outcomes, enhanced reporting, and reduced support costs.

Suppliers access this redesigned flow from the new Redwood Supplier Portal home page using the Company Profile task. This task navigates to the company profile page allowing supplier to view organization details as well as addresses, contacts, bank accounts, business classifications, and products and services in a simple tab layout.

Suppliers initiate updates to their company profile using the Change Profile action which presents the profile in edit mode enabling them to provide updates on any profile information. 

Bank account maintenance is significantly improved and follows the same user experience in the new registration flow which supports country driven UI layouts. This helps suppliers provide only the necessary bank account details in a much more simplified experience. A seeded configuration is delivered for most countries out of the box such as showing routing number for United States and sort code for United Kingdom. You can modify or add country-specific rules to show or hide attributes, make them required or relabel them.

All profile updates are presented in a consolidated format for a quick overview as a change request. Suppliers can review the profile change request prior to submission, however it's no longer mandatory. When they return to their company profile the current change request, or the most recent one applied are available to the supplier to view. These improvements provide suppliers with a seamless and intuitive user experience.

Built-in support for guided journeys and business rules throughout the flow gives you the flexibility to present your suppliers with a company profile management solution that caters to your specific business needs. For example, you can publish a guide on the company profile page that sets expectations for conducting timely reviews of their profile information, and how they can capture changes to update it as needed. Similarly, business rules allow you to configure different properties for attributes on organization details, addresses, contacts, and business classifications. Also attribute properties can be set based on the supplier's tax country, tax registration country, supplier type, and organization type. For example, specific attributes associated to tax details can be hidden when tax country is United States.

Steps to Enable

To enable this Supplier Portal feature:

  1. Opt in to the feature Redwood: Enable the New Supplier Portal Home Page Experience under Procurement > Supplier Portal.
  2. Enable the profile option: Redwood Company Profile in Supplier Portal Pages Enabled (ORA_POS_COMPANY_PROFILE_SUPPLIER_PORTAL_REDWOOD_ENABLED). By default, this profile option is disabled.

Follow these steps:

  • In the Setup and Maintenance work area, search and select the Manage Administrator Profile Values task.
  • On the Manage Administrator Profile Values page, search for and select the profile option name or code.
  • Set the Profile Value to Y.
  • Click Save and Close. Changes in the profile value will affect users the next time they sign in.

These setup steps are optional, depending on your requirements:

  1. Configure Supplier Registration and Profile Change Request setup task:  Access the Supplier Profile Change Request tab of this setup task to update configuration options to meet your business process objectives. This task allows you to enable or bypass approvals for specific entities of the company profile such as organization details, addresses, contacts, and so on, based on the supplier's business relationship. You can also configure the bank accounts' attachments as mandatory using this task.
  2. Manage Supplier Profile Change Approvals setup task: Access this setup task to configure approval routing rules to route changes made by suppliers for approval.

  3. Manage Supplier Descriptive Flexfields, Manage Trading Community Organization Site Descriptive Flexfields, and Manage Trading Community Person Descriptive Flexfields setup tasks: Access these setup tasks to configure descriptive flexfields for company profile, addresses, and contacts respectively.

  4. Use Country-Specific Bank Account Rules: You can create or update the country-specific bank account rules using the Bank Account User Rules REST API directly or by the Oracle Visual Builder Add-in for Excel. You can refer to Customer Connect post to learn how these rules can be configured. NOTE: These rules are shared with the Redwood: Next Generation User Experience for Supplier Registration feature (both internal and external registration flows). Any changes made to the Bank Account User Rules REST API will be applied to both the features.

  5. Opt in to the Smart Data Service for Supplier Addresses feature to use Loqate address service with autosuggest address search. This feature requires a separate subscription to Oracle Address, Email and Phone Verification Cloud Service.

Configurations set in existing setup tasks will continue to be honored.

Tips And Considerations

  • After enabling this feature, supplier-initiated changes to the company profile will be routed for approval based on the configuration in the setup task Configure Supplier Registration and Profile Change Request, regardless of whether the Full Profile Change Management feature is opted in or not.
  • It's recommended to process all your existing supplier profile change requests in draft and pending approval statuses before enabling this feature.
  • All existing functionalities after a supplier submits changes to the company profile remain unchanged.
  • Personalization using VB Studio can be achieved using express mode. Use the Supplier Portal - Company Profile - View page to personalize view company profile page and the Supplier Portal - Company Profile - Edit page to personalize edit company profile page. Both these can be found under Supplier Management in VB Studio.
  • Separate guided journeys support is available for view company profile and edit company profile pages at page, tab, section, and drawer levels as applicable.
  • All individual attributes including descriptive flexfields (DFFs) are available for personalization in VB Studio. DFFs are hidden by default and will need to be configured as visible in VB Studio.
  • Payment methods isn't yet supported and is planned for a future update.
  • Ability to reset passwords for contacts is no longer supported. Forgot password link on the Supplier Portal login page can be used for the same.
  • Marking supplier addresses as shared addresses isn't supported as part of this feature.

To setup this feature, you'll need a configured job role that contains these existing privileges:

  • Manage Bank (CE_MANAGE_BANK_PRIV) to create or update bank account rules.

  • Administer Sandbox (FND_ADMINISTER_SANDBOX_PRIV) to personalize the company profile pages in VB Studio.

  • Configure Supplier Registration (POZ_CONFIGURE_SUPPLIER_REGISTRATION_PRIV) to access Configure Supplier Registration and Profile Change Request setup task.
