Redwood: Manage Negotiations

The new Redwood negotiation page delivers an enhanced user experience for searching, tracking, and managing negotiations. It provides a workbench experience for category managers to efficiently locate, review, and take action on negotiations. Category managers can leverage the advanced search capabilities to manage all types of negotiation documents such as RFQs, RFIs, and auctions. The modern filters and keyword search enables quick document access, allowing users to take timely actions to manage negotiations through the lifecycle.

The following list of key features are available on the Negotiations Search page in the Oracle Sourcing application:

Metrics Scorecard: The scorecard presents an overview of key metrics to help you manage negotiations in all stages. The counts indicate the negotiations you have access to based on your data security permissions.

  • All: The total count of all negotiations that you have access to view or manage.
  • Opening Soon: Shows all the negotiations with a future open date.
  • Active: The count of all active negotiations.
  • Draft or Rejected: The count of all negotiations that are either in Draft status or haven't been approved.
  • Pending Award: The count of all negotiations where the award decision is either pending or in progress.

On clicking the card, the negotiations are retrieved for the metric.

If you're an administrator, you can use the Edit Page Layout button on this page to create your own scorecards by adding OTBI-based KPIs and data visualizations that best represent your business and are important for your category managers to track on this page.

Search: The Negotiations Search page is powered by an elastic-based search engine, ensuring fast and efficient retrieval of relevant results. When a keyword is entered in the search bar, it's matched against all searchable attributes to display negotiations, with the most relevant results appearing at the top.Sort By offers different options to view search results .

To further refine your search, additional filters can be applied alongside the keyword searches. You also have the option to save your search using the ribbon icon, allowing you to create a personalized list and set a default search for future use. You can enter keywords in the search box to find a specific negotiation by number, type, or title.

The negotiation search results are presented in a dynamic table, accompanied by a count of the entries. You can drill down to view the negotiation, and export the search results to Microsoft Excel.

Filters: They are applied in conjunction with any active keyword search. The following filters are available below the search bar:

  • Procurement BU
  • My Role – When you land on this page, the default results are filtered based on your role as either a negotiation owner or a member.
  • Status
  • Line Category

Actions

  • Unlock Draft: Enables you to unlock a draft negotiation that has been locked by another category manager.
  • Delete Draft: Allows you to delete any draft negotiations that need to be discarded.
  • Reassign Owner: Provides the option to reassign a negotiation to a new owner.
  • Download PDF: Allows you to download the negotiation document in PDF format.

NOTE: Actions such as Create Negotiation, Monitor Negotiation, Monitor Activities, Analyze, and Award Negotiation will become available in future updates. Continue using the classic application to perform these tasks.

The redwood page offers a workbench experience for proactive negotiation monitoring. It drives timely action that reduces delays and improves overall sourcing process efficiency for category managers.

Steps to Enable

To enable the Redwood: Manage Negotiations feature you must enable the following profile option and set up elastic search for Manage Negotiations.

1) Profile Option

Follow these steps to enable:

  1. In the Setup and Maintenance work area, search and select the Manage Administrator Profile Values task.
  2. On the Manage Administrator Profile Values page, search and select the profile option: Redwood Pages for Sourcing Enabled (ORA_PON_SOURCING_REDWOOD_ENABLED).
  3. Set the Profile Value to Yes.
  4. Click Save and Close. Changes in the profile value will affect users the next time they sign in.

2) Elastic Search for Manage Negotiations

Follow these setup steps:

  1. In Manage Administrator Profile Values task, set the values for these profile options:
    1. Enable/Disable Search Ext Framework profile (Code: ORA_FND_SEARCH_EXT_ENABLED) to Yes.
    2. Set Row fetch count for initial ingest process (Code: ORA_FND_SEARCH_FETCH_COUNT) to 100.
    3. Set Time in minutes to reset the ResultSet (Code: ORA_FND_RESULT_SET_RESET_MINS) to 30.
  2. Navigate to Tools > Scheduled Processes and then click Schedule New Process.
    1. Search and select process name: ESS job to create index definition and perform Initial Ingest to OSCS.
    2. Parameter Value for Index Name to Reingest: fa-prc-pon-managenegotiations
    3. Parameter Value for Index Name to Reingest: fa-prc-pon-buyermessages

Tips And Considerations

  • The maximum number of negotiations shown in the results is 10000.
  • The Guided Journey support is available on the Negotiations Search page.
  • OTBI-based KPIs and visualizations can be added to the metrics scorecard. Requires a privilege to access the Edit Page Layout action.

  • Delete Draft Negotiation (PON_DELETE_SUPPLIER_NEGOTIATION_PRIV )
  • Manage Supplier Negotiation Collaboration Team (PON_MANAGE_SUPPLIER_NEGOTIATION_COLLABORATION_TEAM_PRIV)

Users who are assigned a configured job role that contains this privilege can Edit the page layout to add custom KPI and visualizations.
