Redwood: Manage Maintenance Exceptions

View, search, create, and edit maintenance exceptions for a maintenance organization using a new Redwood user experience, as shown in the screenshot here.

Search for Maintenance Exception

You can quickly search for an exception by entering the exception name, material name, or resource name, and you can also filter your results by type and status, such as open, pending approval for closure, or closed. Additionally, you can sort the results by Severity, Date Reported and Exception Number. This screenshot shows search and filter

Report New Maintenance Exception

To report a new exception, use the Report Exception button. When reporting a new exception, you can select from the available types: Resource, Material, Work Area, Work Center, or Miscellaneous. After you select the exception type, specify the item, resource name, work area, or work center, filtered for your organization. You can also include the expected downtime in minutes and the expected resolution date or add attachments to the exception to provide additional details or supporting documents.

View and Edit Maintenance Exception

You can view and edit exception details by selecting the view icon. On the Exceptions page, you can add a work order operation, close the exception, update the work order status, reschedule the operation start or completion dates, and view any attachments.

On the Exception Details page, you can add a work order operation, close the operation exception, update the work order status, and view or add attachments.

You can also edit the exceptions by updating the description, changing the status and severity, entering the expected downtime in minutes, setting the resolution date, and adding new attachments. You can choose to cancel your changes or click the Update button to save your edits to the exception.

Close Maintenance Exception

You can close an exception after the underlying issue is resolved. From Exceptions page, you can select the exception and then click the Close Exception button.

Review Maintenance Exception from Work Order

You can also view maintenance exceptions directly from a work order whenever an exception is associated with an operation, resource, or material. For each operation, material, or resource linked to an exception, you see a clear indication and have the option to navigate to the view the exceptions in a drawer after you click the View Exception Details action.

Similar to how you navigate from the Exceptions screen directly, when you click the view icon, the Exceptions page opens. On this page, you can review all related information, update the exception details as needed, edit fields such as description, status, severity, expected downtime and resolution date, add attachments, and proceed to close or update the exception.

These new capabilities let maintenance supervisors and managers streamline the process of reporting, tracking, and resolving exceptions, reduce downtime, and ensure that maintenance activities move forward as planned. This way, your maintenance teams can make sure all relevant information is recorded and up to date.

Steps to Enable and Configure

  1. In the Setup and Maintenance work area, search for and select the Manage Administrator Profile Values task.
  2. On the Manage Administrator Profile Values page, search for and select the profile option code for Redwood Page for Maintenance Exceptions Enabled (ORA_MNT_EXCEPTIONS_REDWOOD_ENABLED).
  3. In the Profile Values section, set the Site level to Y or N. The default value of the profile option is N.
    • Y = enables the feature
    • N = disables the feature
  4. Click Save and Close. Changes in the profile value will affect users the next time they sign in. 

Access Requirements

Users who are assigned a configured job role that contains these privileges can use this feature:

  • View Maintenance Exceptions (MNT_VIEW_MAINTENANCE_EXCEPTIONS_PRIV)
  • Manage Maintenance Exceptions (MNT_MANAGE_MAINTENANCE_EXCEPTIONS_PRIV)

These privileges were available prior to this update.
