Run Sync Scheduled Processes

Three processes keep the data in your Sales application synchronized with Microsoft Exchange.

This table shows the processes:

Process Description Recommended Schedule
Microsoft 365 Instant Sync Job Synchronizes the Exchange activities shared with the Sales application.

Appointments are synchronized as appointments and emails are synchronized as conversation messages.

Schedule this to run every 15 minutes.
Microsoft 365 Standard Sync Job

Synchronizes the contacts and activities between Exchange and the Sales application.

Emails and appointments shared from the add-in (or through the Shared with Oracle category) while being composed aren't synced until the Microsoft 365 Instant Sync Job runs.
Schedule this to run every 30 minutes.

Microsoft 365 Token Refresh Job

This process keeps the Sales tokens active all the time.

Schedule this to run every 3 hours.
Note: For your data to be synchronized, you must make sure that synchronization is enabled. See Review and Modify Data Synchronization Settings. You should have already completed this setup while enabling the integration.

Other Things to Consider

Here are some other things to consider for the processes:

  • If you're required to change the frequencies of the Standard Sync and Instant Sync jobs, evaluate the customer environment's configuration before making the changes. Also, consider factors such as number of total users and volume of data being synchronized.
  • A good approach to determine the optimal frequency is to monitor these jobs for some time and evaluate how long the jobs are taking to complete. Based on the actual time it takes for a job to complete, you can adjust the frequency as needed. For example, if the Standard Sync job instances are consistently completing in 10 minutes, you can change the frequency, say, to 15 minutes. Similarly, you can review the Instant Sync jobs completion time frame as well and make adjustments to the job frequency.

    As you on-board more users for sync, you must monitor the sync duration and reconfigure the sync frequency accordingly.

  • Even if these processes run successfully, a user may still get sync errors. As an administrator, you can see these in the sync monitor. For more information, see Use Microsoft 365 Monitor to Manage Sync and Users.

Steps to Run the Processes

Here's how to run or schedule the processes:

  1. Sign in to the application as a setup user.

  2. Navigate to Tools > Scheduled Processes.
  3. Click Schedule New Process.
  4. In the Schedule New Process dialog window, ensure Job (not Job Set) is selected.
  5. Click the drop-down arrow next to the search box and click Search.
  6. In the Search and Select: Name dialog window, enter the name of the job you want to schedule or run and click Search.
  7. Click the name of the job in the search results, and click OK.
  8. Click OK again.
  9. To run the job immediately: In the Process Details window, select your options and click Submit.
  10. To set up a schedule for the job: Click Advanced Options and enter a schedule before submitting or saving changes.
