Bypass Extending a Job Offer

Your administrator can configure the candidate selection process to bypass extending offers to candidates. When this candidate selection process is used in a job requisition, the Offer Team will indicate if the offer is accepted or declined without the need for any online communication to or from the candidate.

There are different reasons why your organization might decide to enable this feature. One could be that there are many different languages used by candidates and they prefer to communicate directly with candidates instead of having to translate all the notifications used in the regular offer process. Or, your organization wants to avoid having back and forth written communications with candidates during the offer process.

As soon as an offer reaches the Approved state, you can tell the candidate about the offer. If the candidate tells you that they accept the offer, use the Accept Offer action as long as there are still available openings on the job requisition and if any related position has sufficient open headcount. The offer goes from Offer - Approved directly to Offer - Accepted. If the candidate tells you that they decline the offer, use the Move action to change their status to Offer - Withdrawn by Candidate.

Because the offer is never extended to the candidate, no automated notification is sent to the candidate, inviting them to view and accept their offer. And no offer letter is displayed to the candidate. It’s the responsibility of the hiring manager, recruiter, or anyone in the offer team to discuss the details directly with the candidate and to record whether or not they accept the offer.

When this feature is enabled, here's what it means for candidates:

  • The candidates don't receive any automated notification informing them that an offer was extended to them.

  • The candidates can't see their offer before responding to it.

  • The candidates tell someone on the Offer Team whether they accept or decline the offer.

  • The candidates don't receive a notification confirming that their response was received, unless this is configured.

For hiring processes configured to bypass extending offers, there's no need to select an offer letter while drafting the offer. If an offer letter is specified, you'll still be able to preview the candidate's offer letter, and it will get stored in the worker's Document Records when the candidate accepts the offer. If the selected offer letter is configured to track e-signature, it won't show that the candidate e-signed it; but it can show the name of the user who accepted the offer on behalf of the candidate, the date, and time.

The Resend Offer action isn't available because no offer invitation was sent in the first place.

There are a few places where the candidate can see their offer letter, if any was selected, after the user has accepted it on their behalf. If an alert was configured to acknowledge that they accepted the offer, this may contain a link to view that offer letter. Internal candidates can view their letter in the My Jobs > Accepted Offers work area. And all candidates may be able to see it in their Document Records after they join the organization.
